Girl Scout & Troop Service Unit Council Parent/ Guardian Fall Product Manager Fall Product Manager Customer Care IMPORTANT NOTE! Troops cannot add girls in the QSP online system. This can only be done at the council level. Be sure to verify that all registered girls are listed in the QSP Online System prior to when orders are due.

Service Unit Fall Product Manager job description Purpose: Organize, coordinate, direct and manage the Fall Product Program and QSP online ordering systems at the Service Unit level. Term of appointment: 1 year (August 1-July 31, renewable upon completion of evaluation). Time commitment: 6-8 hours per month Supervision: Reports to the Service Unit Manager and Council Staff teams as necessary. Support: Supported by the Service Unit Manager and Council Staff teams along with relevant learning opportunities and training materials. Responsibilities: Prepare and distribute Fall Product Program materials Plan and conduct a training with all Troop Fall Product Managers to discuss the purpose of the product sales Follow up on those Troop Fall Product Managers that did not attend and train them individually as needed Obtain all Troop Product Sales Manager Agreements from troops participating in product sale. THERE MUST BE A SIGNED MANAGER AGREEMENT BEFORE ANY MATERIALS ARE RELEASED TO TROOPS Instruct troops on the importance of adhering to the start date of each product sale Collect all troop information within your service unit and accurately compile a comprehensive service unit order; check all troop orders for correct information; submit all information required in paperwork and the QSP online ordering system to council on or before scheduled deadlines Secure a proper delivery site for the Service Unit nut and candy delivery Coordinate the Service Unit nut and candy delivery and contact all Troop MagNut Managers with pick-up information Communicate regularly with Troop Fall Product Managers Work closely with the Council throughout sale to obtain answers to any questions or concerns from troops Collect all information (paperwork, payments, etc) from troops on or before the scheduled deadlines and submit to council Divide and distribute rewards to troops within reasonable time upon receiving Respect all Council deadlines and policies Be a self-motivated individual and possess administrative, organizational, financial and computer skills with online access Be willing to provide Council and Troop Fall Product Managers with accurate contact information that includes telephone numbers and other ways to be reached during the sale Have an understanding of Girl Scout Fall Product Program goals, procedural expectations of the sale and safety guidelines Be willing and able to utilize the QSP online system throughout the sale Expectations for all Service Team Volunteers: 1. Register as an adult member and be a positive representative of the Girl Scout Promise and Law 2. Be at least 18 years old and complete the volunteer screening process 3. Attend preliminary training to learn the job and participate in on-going learning opportunities for continuous growth in the position 4. Participate in the development of yearly service unit planning 5. Participate as an active member of the service unit team by attending service team and unit meetings 6. Provide excellent customer service by fulfilling responsibilities promptly and courteously 7. Build and maintain an effective working relationship with service team, association team, and council staff 8. Possess and utilize sound judgment, flexibility, organization, delegation, communication, and prioritization skills 9. Understand and help others understand and embrace diversity and inclusion 10. Follow all GSUSA and GSHS policies, standards, and procedures 11. Display a positive, enthusiastic attitude that reflects the acceptance of the mission, vision, and goals of GSUSA and GSHS 12. Support, promote, and maintain a commitment to and knowledge of the Girl Scout Leadership Experience and the National Program Portfolio which includes Journeys and Girl s Guide to Girl Scouting 13. One system for all Fall Products! Girl Scout Heart of the South is participating in the QSP Online System pilot program - giving volunteers one site to manage the entire Fall Product Program! The new QSP Online System will consolidate not only sites, but paperwork as well, making the Fall Product Program easier for Service Unit Fall Product Managers. Girl View Service Units will be able to message troops, enter delivery site information, easily track troop activity, and quickly pull reports. Volunteers can view council troop online trainings, troop guides and download permission forms! Volunteers will be able to see all online orders in real-time, view troop rosters, message families, post message, easily track girl activity, and quickly pull reports. Girls, and their parents, will be able to enter Nut & Candy card orders and select their rewards - saving the troop leader time! Troop View

program dates Dates below are deadlines set by the council. Some service units and troops choose to change due dates. Be sure to set realistic deadlines for orders and money to be submitted. September: Service Unit Fall Product Managers: Receive materials via UPS/FedEx to your home Train Troop Fall Product Managers (TFPM) Collect a Troop Product Sales Manager Agreement Form and Product Sales Policies and Procedures Form and ACH Authorization Form from each troop participating Use the Troop Product Sales Manager Agreement to set up each troop in the QSP System and to assign login and password information, then contact each TFPM with this information. Follow up on those TFPM that did not attend and train them individually as needed Check with your Service Unit Registrar Chair to see if there are individually registered girls in your area Contact them and encourage them to participate in the Fall Product Program Secure a site for Service Unit Nut & Candy Delivery September: Troop Fall Product Managers must: Have troop and girls registered for the 2017/2018 membership year Train troop parents and girls and obtain a Parent/ Guardian Permission Form for each girl Collect and keep all signed permission forms until both the Fall Product and Cookie Programs are completed and all money is paid Parent/Guardian Permission Forms contain sensitive information. Please keep these in a secure location. Once both the Fall Product and Cookie Programs are completed and all balances are submitted in full to the council, permission forms must be destroyed Familiarize themselves with the QSP online ordering system along with obtaining a login and password from Service Unit Fall Product Manager or Council Update troop contact information in the QSP online system and select With recognitions or Without recognitions on troop detail page Verify all registered girls are listed in the QSP online system. October 29 Service Unit Fall Product Manager reviews by Midnight all Troop Nut & Candy Orders in online It is not necessary to submit paperwork for Nut & Candy Orders to the council Make any requested changes/additions to Troop Orders if necessary SUFPMs Locked out of online Nuts/Candy Ordering at midnight SUFPMs will still have access to QSP, rewards and report sections in the system October 31 Council submits Nut/Candy Order to Ashdon Farms November 14 QSP Online System Webinar: Delivery and 6 p.m. Q & A Step 1: Login in at https://www1.gotomeeting.com/join/570001573 Meeting ID: 570-001-573 Step 2: For audio use your computer s speakers or join the conference call at 800-582-3014 Passcode: 926464227# Prior to November 16-18: Service Unit Fall Product Managers check QSP online system for any updates or changes Recruit volunteers to help at delivery Print reports for dividing troop orders This report has a signature line and is a good way to capture a signature at delivery when troops pick-up product November 16-18 Nut & Candy Items delivered to Service Units SUFPMs must double count & verify totals before truck leaves and before dividing out to troops TFPMs must double count their order & sign a receipt before leaving with product Nut & Candy items are ordered to the piece, there should not be extra items leftover Notify the council of any discrepancies Damaged items can be replaced at the council service centers Troop Fall Product Manager promptly disperses product to girls TFPMs can print reports from the QSP online system for parents to double count their order and sign for receipt at Troop pick-up November 16- Girls deliver nut and candy items, December 5 continue selling online nuts and candy, paper and online magazine and keepsake orders and collect all payments. program dates Prior to December 7 Troop Fall Product Manager must: Review EACH magazine order for correct and complete information Verify totals are correct for any online nut, candy orders and paper/ online magazine and keepsake orders BY GIRL in QSP online system Select rewards choices BY GIRL in QSP online system Deposit girl payments into troop account Complete any Outstanding Balance Forms necessary and attach proper documentation Check the QSP online system for balance due The QSP online system will automatically tally proceeds and deduct from amount due to council By December 7 Troop ACH shortage information due to council By December 7 Troops are locked out of the QSP and rewards portion of the QSP online system at Midnight Troops needing to make additions or changes must contact their SUFPM December 9: Troop Fall Product Manager submits to SUFPM: Magazine order cards Any Outstanding Balance Forms with proper documentation Prior to December 10: Service Unit Fall Product Managers must: Review EACH magazine and keepsake order for correct and complete information Contact TMM to make corrections if needed Be sure that all Troop s information balance against the QSP Online System By December 11: Service Unit Fall Product Managers submit to council for each Troop: Magazine order cards Any Outstanding Balance Forms with proper documentation December 12: ACH Payment from Troop Bank Accounts December 15: Deadline to submit Outstanding Balance Forms to council After this date the Troop Fall Product Manager will be responsible for payment of any outstanding debts owed by parents December 18: Council submits reward order to QSP January 8: SU ACH Payment Form deadline to council January 8: Rewards begin shipping to SUFPMs Check packing slips and notify council immediately with any discrepancies Print Recognitions report from QSP online system for each troop Divide rewards by troop using Recognitions report Do not give rewards to troops until they have submitted full payment Have Troop Fall Product Manager check their rewards for accuracy Mid-January Late January September 14, 2018 Troop Fall Product Managers will receive and give out girl rewards to those with a zero balance using the Recognition report from QSP online system SU Proceeds paid via ACH Passport Bucks expire December 10: Service Unit Fall Product Managers are locked out of the QSP online system. SUFPM still have access to reports on the QSP online system Prior to December 11 Service Unit Fall Product Managers must: Complete Outstanding Balance Forms for troops that have a remaining balance and have not submitted Outstanding Balance Forms for parent debts. Keep ALL information separated BY TROOP

Training Reminders Nut & Candy Delivery Girls and their families must always decide whether or not to participate. Leaders do not make that decision for them! Any registered girl can participate in the Fall Product Program, including girls registered as individuals or not in the traditional troop setting. This is not necessarily a door-to-door sale; it s a family and friends activity. Simply encourage your friends and family to order their favorite magazine and nut products from their favorite Girl Scout. It doesn t matter if we do it or not! We are all a part of Girl Scouts Heart of the South. In order to provide the programs, activities, and services offered, it takes everyone to participate in both council sponsored money-earning activities. As Service Unit Fall Product Manager, you are responsible for securing your service unit delivery site. Excellent delivery site locations are fire stations, National Guard Armories, schools, churches, businesses, warehouses. If your site has access to an available covered loading dock, it s even better! Even though the business is open, they may have an unused dock or area available. All products should be picked up the same day so overnight security will not be a factor. Helpful Hints: Planning early helps you select and secure the best possible location for your troops and delivery agent. The people donating their space and time appreciate the advance notice so they can plan accordingly. Check with prior Service Unit Fall Product Managers or the Association Product Sale Chair in your area. Ask long-time community people for recommendations. What makes a good delivery site? A centrally located area within your service unit. Streets and parking area must be wide/long enough for a large delivery truck to maneuver without backing into yards or off driveways and with no low hanging power/phone lines. The delivery truck and Troop Fall Product Managers need to be able to get close to the entry door for loading and unloading. Locations which have a forklift on premises are beneficial and will make your job easier. Entry door opens into the room in which items are stacked rather than having to maneuver up and down stairs or through a maze of hallways. Room should be large enough to accommodate all the nut & candy items, and room enough to separate by troops. Try to choose a location that is easily found and

Service Unit Proceeds All troop and service unit and association proceeds are reviewed annually and are subject to change. 2% - Service Units earn 2% of all items sold within their area! 1% Bonus for No Debt Service Units can earn a bonus of 1% of all items sold within their area IF there are no debts to the council for their service unit 1% Bonus for 85% Participation Service Units can earn a bonus of 1% of all items sold within their area IF they have 85% of the registered girls in their area participating in the Fall Product Program. Numbers will be based off of registered girls as of November 1, 2017. The Service Unit has the potential to earn a total of 4% from their sales. The council does not encourage troops or service units to cover a parent s debt to ensure the bonus for the Service Unit. If a troop or service unit remits payment for a parent s outstanding balance, then the troop or service unit is responsible for collection of this debt. Service Units will recieve procceds via ACH transaction into their Service Unit bank account. Have your Service Unit Finance Chair submit a Service Unit ACH Authorization Form to brittan.davis@girlscoutshs.org by January 8, 2018. Proceeds will be transferred via ACH in late January to all service units with forms submitted. If no Service Unit is established or if there is not a Service Unit bank account, the Service Unit proceeds will be held at the council until a Service Unit and/or bank account has been established and a request submitted to the Product Sales Manager for proceeds. Service Unit proceeds will be forfeited if requirements have not been met prior to next membership year. NOTE: Service Unit proceeds will be held until all unregistered girls participating in the Fall Product Program are registered for the current membership year. Individual Girl Scouts for individually registered girls Service Unit Fall Product Managers will be responsible for individually registered girls participating; making sure they are trained, collecting parent permission slips, orders and payments, entering orders and rewards in the QSP online system and distributing rewards. for pathway groups The process for Pathway groups will be dealt with individually. Several factors will apply to how the process will be handled. Is there a registered adult within the group; is there a bank account linked to the group; are they seasonal and how frequently do they meet; etc. Please contact Brittan Davis to determine the best way for these girls to participate. QSP online system For orders to be placed in the QSP online system, individually registered girls/pathways must be assigned a troop number. A specific Pathway number has been assigned for each SU to place orders online. All individually registered girls orders will be placed under this dummy number so that her orders arrive with the rest of the SU s delivery. This number has no meaning outside of the Fall Product Program; it is only to process their order within the QSP online system. This number is simply a 99 in front of the SU number (example: 99236 for Alcorn County and 99327 for Washington County.) If there is a pathway group as well as other individual girls selling within the same SU, please contact Brittan Davis to obtain a separate number. proceeds & rewards Individually registered girls that participate and do not align themselves with a troop for the sale will receive Passport Bucks. Passport Bucks will be issued at a rate of $5 to every $50 increment in sales. (Example: $100 in total sales = $10 Pathway Bucks) Passport Bucks may be used to pay council-sponsored program activity fees, resident camp fees, resident camp trading post, and to purchase items in the council shops; may not be cashed for real money and cash will not be given as change; has no value outside of Girl Scouts Heart of the South; is non-transferable; expires September 14, 2018. Passport Bucks certificate must be presented at time of use. Passport Bucks certificate cannot be replaced or re-issued for any reason. Passport Bucks will be for the full amount received and will have a ledger on the certificate that will show all activity reducing the amount until it either expires or is depleted. Passport Bucks will only be issued if balance is paid in full.

Product Program Proceeds Standards Troops/groups should be financed by troop/group money-earning activities and by a share of money earned through council-sponsored product sales. Girl Scouts engage in troop budgeting activities that help them to learn money management. The girls are part of the decision-making process in determining troop dues, troop moneyearning projects and uses of collective funds. The funds are for Girl Scout activities and are not to be retained by individuals as their property. Girl Scouts may not earn money for other organizations. However, girls may contribute a portion of their troop treasury to organizations or projects they consider worthwhile (for example, local or international community service organizations or environmental projects). Girls should be encouraged to designate a portion of their troop treasury for the annual membership dues of all troop members. This is a sound and efficient practice that enables girls to meet membership dues and lessens the potential burden to individual members. All proceeds earned by girls through product activities must support Girl Scout program experiences for girls (such as camp, troop/group travel and program events; but not scholarships or financial credits toward outside organizations.) Individual gift cards or individual tickets to external establishments would not be within guidance. Example: Accepted: Tickets for a troop/group trip to the zoo Not Accepted: Tickets given to an individual girl or her family to the zoo Do not reimburse girls for experiences travel and event rewards should be Girl Scout hosted and funded. If a girl is unable to attend an event sponsored by the troop/group, she is not to be reimbursed for the funding that would have been spent for her experience. Proceeds received by a troop/group are non-transferable Girls who leave the troop or leave Girl Scouting are not entitled to proceeds earned while in the group when they leave. Proceeds do not follow the girls. Proceeds may only be allocated to Girl Scout troops/groups for Girl Scout program activities. Cash based accounts may not be kept for or distributed to individual girls. Do not track proceeds for individual girls in any pathway either by council or troop/group.
