I. Foreword The objective of this Charter is to lay down the expectations of the Oetker Collection with regard to its suppliers and subcontractors. It is part of our establishments commitment to Corporate Social Responsibility based on the ISO 26000. The goal of our establishments, through this Charter, is to share their commitment with their suppliers and subcontractors, which are the key players in their success, and involve them in sustainable development. II. Approach CSR CHARTER 2017 Commitment 1: Ensure respect for human rights and optimise our working conditions 1.1. Ensure that each of our employees is treated fairly while fighting against discrimination. 1.2. Favour an optimum quality of life at work and support social dialogue. 1.3. Encourage the development and employability of our employees. Objective: Ensure gender equality, optimal health and safety conditions for all employees Commitment 2: Control our consumption and protect our environment 2.1. Through innovation reduce our consumption of resources. 2.2. Understand, protect and restore the biodiversity that surrounds us. 2.3. Apply the regulations on waste and we strive to limit any type of pollution. Objective: Measure, compare and reduce our water and energy consumption Commitment 3: Guarantee a service of an exceptional and sustainable quality increasing the awareness of our guests and our staff on social responsibility 3.1. Guarantee an impeccable and responsible service and through fair operating practices. 3.2. Encourage our guests and staff to contribute to our vision of a sustainable future. Commitment 4: Take part in the social, cultural and economic development of the regions in which we operate 4.1. Favour local producers who are a guarantee of the rich heritage of our region. 4.2. Commit alongside our partners in sustainable projects that are linked to the values we defend. Objectives: Establish a new sustainable product for each month of the year, favouring local suppliers where possible Create a relationship with a local charity Our Ethical Charter has been drawn up based on the Oetker Code of Good Conduct and focuses on the commitments made by our Hotels to their stakeholders. Our Responsible Purchasing Policy draws upon the recommendations included in the Afnor documentation booklet, FD X 50-135, on the integration of Sustainable Development challenges in the purchasing function, and upon the charter of inter-company relations of the CDAF (Association of Purchasing Managers in France) and the Credit Mediation Department. III. Principles Our 4 commitments are presented in the form of principles that are linked to the relations we have with our suppliers and subcontractors. As an extension to the implementation of its CSR strategy, Oetker Collection expects its suppliers and subcontractors to make the same commitments based on the following principles: 1. Increase the awareness of our various stakeholders on our approach Our hotels commit to: Establish and maintain a dialogue based on: Responsibility Transparency Ethics Respecting the stakeholders interests Provide their suppliers and subcontractors with regular updates on CSR progress. Comply with reasonable payment deadlines in accordance with the LME (French Act on the Modernisation of the Economy). Ensure that the programming of orders is relevant. Our suppliers and subcontractors commit to: Provide updates on their sustainable development progress (reports, partnerships, results, certifications, etc.). Put the dialogue that has been established on a permanent footing. Eliminate any form of discrimination regarding access to employment and career paths. Comply with the legal provisions governing the maximum length of employment. Favour the inclusion of persons who are excluded from employment. Our Hotels refrain from working with suppliers and subcontractors which might use child labour or forced labour. Oetker Collection Responsible Purchasing Charter 6
2. Limit pollution and our waste Our hotels commit to: Comply with regulations governing waste management. Reduce its emissions of greenhouse gases. Replace its fleet of internal combustion vehicles with electric vehicles. Our suppliers and subcontractors commit to: Cut down their consumption of water, materials, paper and energy. Cut down on packaging when a new product is designed. Favour the use of reusable cases when delivering goods as opposed to disposable containers. Optimise deliveries to avoid emissions of greenhouse gases (pooling working hours / delivery days with other customers). Favour soft mobility vehicles for deliveries (electric, hybrid ). 3. Favour sustainable purchasing and local suppliers Particular attention is paid to Sustainable Purchasing. Sustainable Purchasing includes in particular: Eco-purchasing or Green purchasing, in other words purchases which are environmentally friendly; the approach involves selecting products that have the least impact on the environment (European Ecolabel, NF Environment trademark ), Solidarity purchasing which involves purchases from structures that employ people in difficulty, Ethical purchasing which takes into consideration concerns of a social or moral kind, Fair Trade purchasing which takes into consideration economic aspects in the North- South relations, for example by giving basic producers a fairer remuneration. Our hotels commit to: Promote the local economic fabric near to their sites and areas of influence. Increase the percentage of sustainable purchasing in their overall purchases in particular in: - stationery products (envelopes, headed notepaper ), rubbish bags, napkins and handkerchiefs that are made from at least 30 % of recycled materials. - eco-labeled cosmetic and maintenance products that are environmentally friendly. - antibiotic-free food products with traceability. - fish certified by the Marine Stewardship Council. Our suppliers and subcontractors commit to: Promote the local economic fabric near to their sites and areas of influence. Comply with our Hotels requests for sustainable products and be proactive in this field. Put forward proposals and be competitive in sustainable purchasing. SUPPLIERS AND SUBCONTRACTORS COMMITMENT: By adopting the principles of this Charter, the suppliers and subcontractors of Oetker Collection commit to assist the hotels in implementing their CSR strategy and accept to be assessed on the aforementioned principles. They undertake to implement the requisite means to be able to uphold their commitments and undertake to pass them on to their own suppliers and subcontractors.
