PROCESSES Order Processing Use this menu item to process Requisitions for review only, or to review and update the Consumables Inventory database, accordingly. When you perform this process, requisitions at Level 1 approval are filled. Any requisitions on HOLD will be bypassed during order processing. Restrict records that are included and determine how this process is performed based on data entry specifications in the following fields: Building: Required. Select a building (established in the BUILDING DIRECTORY) to be included in this process. Only Buildings with a valid Delivery Day and for which you have Security access will display for selection. Delivery Day: By default this field is blank, indicating ALL delivery days will be included in the process. Select a valid Delivery Day on which consumable items are delivered to restrict the process to include only that delivery day. Run Type: Select an option to process requisitions. Select Create Orders Only to review how requisitions WOULD BE PROCESSED, based on item quantities currently in stock; inventory WILL NOT be updated. Select Create Orders & Update to process requisitions AND to subtract item quantities from the Ship From building/location; note that the receiving location's inventory is not updated because items are considered to be CONSUMED. When this option is selected REQUISITION ENTRY/ITEM accounts are included with shipment history records; if no REQUISITION ENTRY/ITEM accounts are found, shipment history records are updated using REQUISITIONER/ACCOUNTS records. Create Packing Slips: Select this option to generate PACKING SLIPS based on this order processing run. NOTE: This option is unavailable if the Run Type: Create Orders Only option is selected. Create Status Report: Select this option to generate an ORDER STATUS REPORT based on this order processing run. While NOT processed, requisitions on Hold ARE noted on the status report. After all selection criteria are established, click the Run Now button to perform the process or click Cancel to exit without processing. Based on this processing run, the Pick List report is automatically generated. In addition, if any requisition cannot be completely filled for any reason the Order Processing Exceptions report is automatically generated. As items become available from inventory, the next order processing run will fill the requisitions. The asterisk shown in this example indicates that the item listed is on backorder. As this process concludes, a message displays: "Order updating complete." Click OK to clear the message from your screen and return to the main window. Pick Lists The PICK LIST report lists items that can be used to fill orders and/or requisitions, based on criteria selected during the most recent ORDER PROCESSING run. The report can be used to determine how orders will be filled based on current stock levels or as a shipping report to aid in filling and delivering orders. If an order is completely backordered, it will not display on the Pick List report because there will be no inventory items to pick or to deliver. The report includes the order number, indication of delivery day, type of order, item code and description, current storage location, inventory unit of measure, quantity requested, quantity shipped (received), quantity on backorder, warehouse location, last average cost, and last sell price. The report is sorted by the sequence you select. Building: Required. Select a building for which the report should be generated. Only Buildings with a valid Delivery Day and for which you have Security access will display for selection. Sequence: Select an option by which to sort the report. Packing Slips The Packing Slips report lists picked orders and includes items processed during the most recent Order Processing run, items on back order, and items previously shipped. The report can be used as a packing slip to accompany order delivery. The report includes the date the packing slip was generated, the building/location TO which the order will be delivered, order number, delivery day, and requisitioner. Each requisitioner begins a new page of the report, which includes order type (regular or backorder), item code and description, pick location, inventory unit of measure, quantity ordered, quantity shipped (received), and quantity on backorder. If the Print Account Code Distribution option is selected, the report includes the item's average cost and sell price, listing the requisition's account (if available); otherwise, the requisitioner s accounts will display. The report is sorted by the building/location FROM which items have been picked, delivery day, the building/location TO which the items will be delivered, requisitioner, order number, group (current shipment, backorders, previously shipped), and item number sequence. Items listed as backordered and/or prior shipments are NOT included in the order's total calculation. Building: Required. Select a building for which the report should be generated. Only Buildings with a valid Delivery Day and for which you have Security access will display for selection. Print Account Code Distribution: Select this checkbox option to include the account code distribution on the printed report. If this option is selected, the report also includes the item's average cost in the far right column. Revised: 10/12/2010 2010 Central Susquehanna Intermediate Unit, USA Page 5
