JOB DESCRIPTION JOB TITLE: Operations and Finance Coordinator DATE: 6/28/17 DIVISION: Administration STATUS: Exempt Full Time REPORTS TO: Manager of Operation & Finance POSITION SUMMARY: direction of the Manager of Operation & Finance, performs a wide range of administrative duties related to the AmeriCorps program, database management, financial management, and general office support. The Operations and Finance Coordinator requires an extremely organized and detail-oriented individual with significant knowledge of, or a willingness and ability to learn, internal company processes and procedures, including those related to managing AmeriCorps member files, managing program data in Salesforce, and financial management assistance, including data entry. The Operations and Finance Coordinator also has responsibility for coordination of certain office matters, including incoming calls, mail distribution and flow of correspondence. The Operations and Finance Coordinator requires excellent communications and customer service skills. The Operations and Finance Coordinator is responsible for upholding the mission and values of Project Transformation, including the covenant relationship of the United Methodist Church. PRINCIPAL ACCOUNTABILITIES: This position requires daily, weekly and monthly responsibilities that must be completed in a timely manner, including but not limited to: Providing support to the Manager of Operation & Finance with human resources and hiring protocols, including processing of all Criminal Background Checks for AmeriCorps members and staff. Supporting summer hiring and recruiting by receiving AmeriCorps member hiring packets; recording/maintaining very detail and organized hiring list; following up on missing hiring information, as needed; preparing summer housing residents list. In conjunction with the Manager of Operation & Finance and oversight from the Director of Programming and Leadership Development, ensuring completion and organization of all AmeriCorps member hiring paperwork and packets and maintenance of member files in compliance with all rules and regulations, including AmeriCorps requirements. Ensuring timely completion of data collection and outcomes for reporting and audit purposes, including for the AmeriCorps grant. In conjunction with the Manager of Operations & Finance and oversight from the Director of Programming and Leadership Development (and in cooperation with Project Transformation
North Texas partnership team), working in Salesforce to ensure accurate data inputting and collection. Preparing various reports from Salesforce, in support of the administration and program teams. the supervision of the Manager of Operations & Finance, working with the Director of Communications and Donor Relations to transmit and ensure accurate and quality program data for communications and reporting purposes. Acting as point of contact for the North Texas Food Bank, which includes collecting, reviewing, recording and sending site weekly and monthly Daily Meal Counts, Food Logs, and Temperature Logs to NTFB. Assisting the Manager of Operations & Finance with data entry, including for payroll. Answering telephone and directing the caller to appropriate personnel. Greeting and directing visitors to the company. Taking and retrieving messages for various personnel. Providing callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information. Receiving, sorting and opening all incoming mail, may also assist with other related clerical duties such as photocopying, faxing, filing and collating. Order/maintain office supplies as needed, receiving, stocking and distribution of office supplies. Assisting in facilities management, including the organization of office space and housing for AmeriCorps members. Gathering staff updates and creating reports and agendas for staff meetings. Assisting the Executive Director with various daily, weekly, and monthly tasks, as assigned. Assisting with special projects, as assigned by supervisor or the Executive Director. Must review any major problems with the supervisor. Must complete all duties and projects as assigned by the supervisor and back up to specific employee positions and/or procedures. EDUCATION, EPERIENCE AND JOB REQUIREMENTS: This position requires at least the following minimum requirements: Must have a GED or High School diploma. This position requires at least 1 year of specialized office experience. Must have excellent organizational and detail orientated abilities. Must be able to work well under pressure. Possession of strong organizational skills. Must have excellent communication skills, both verbal and written. Must be able to work with others to resolve issues and maintain composure in an environment of changing priorities. Must have excellent computer skills including Excel, Microsoft, QuickBooks, Word and Outlook and demonstrated skills in database management and record keeping. Must be able to type 40-45 wpm. Experience working with Salesforce a plus.
Must have knowledge of all company policies and procedures. Must be able to work on a time table, follow instructions, responds to management direction and solicits feedback to improve performance. Ability to work independently on assigned tasks as well as to accept direction on given assignments. Must be able to create a nurturing, supportive work environment for AmeriCorps members, volunteers, interns, children, and staff. Must have positive demeanor, self and balance. Poised and comfortable in relating to a variety of people in multiple settings. Excellent interpersonal and communication skills. Ability to establish priorities, work independently, and proceed with objectives without supervision. TYPICAL PHYSICAL AND MENTAL DEMANDS: This position requires working in an office setting. The position requires long hours, handle conflicts, and make decisions under pressure. This position requires sitting, standing lifting (maximum 25 pounds) for at least 8 hours and a normal range of hearing and vision. The noise level is from quiet to moderate. This position requires operation of computer and other office machines such as fax, calculator and telephone and so on. This position must be able analyze complex information and keep confidentiality. What We Do Leadership development and career/ministry exploration opportunities for college age young adults through summer and one-year service terms. Community-oriented after-school and summer day camp programming for children and youth from low-income neighborhoods. If you re new to Project Transformation, the easiest way to understand how we live out our mission is remembering the three C s: Children, College students, and Churches. Since our founding in 1998, this ministry has been addressing three unique challenges with one program: o How to meet the academic, physical, and spiritual needs of children from low-income communities, o How to provide meaningful ways for college students to explore ministry opportunities and develop as young adult leaders for the church and the world, and o How to help revitalize struggling urban churches. Project Transformation uses a collaborative model of ministry that successfully addresses all three of these challenges. We do this by harnessing the creative energy and ideas of 100 college age young adults each year, who live in intentional community, and plan and implement free summer day camps and after-school programs for approximately 1,000 children and youth in various underserved neighborhoods. In addition to learning first-hand about the uphill battle facing children and families in low-income neighborhoods, the PT Corps Members spend time each week meeting with church and nonprofit leaders, discerning a vocational call to service and ministry. The programs are held at United Methodist churches located in the heart of low-income neighborhoods, thereby helping those churches connect in meaningful ways with their communities. Dozens of other churches and organizations throughout Dallas partner together to support this work, including financially sponsoring PT Corps Members, bringing meals to PT Corps Members, and sending volunteers to the site churches to read one-on-one with the children.
