Office Coordinator Job Description PROGRAM OVERVIEW The Mayor s Office of Gang Reduction and Youth Development (GRYD) was established in 2007 with the primary goal of establishing data-driven gang prevention and intervention programs in the City s most gang-impacted communities. Summer Night Lights (SNL), a component of the GRYD strategy was piloted during the summer of 2008 as a response to research that point to youth being most likely to commit violent crimes during the summer months in the City of Los Angeles. Now in its 10th consecutive summer, the SNL program is implemented in 32 parks across the city with the goal of reducing gang related violence in and around SNL sites & providing community engagement and employment opportunities for youth as well as adults. Hourly Pay Rate: $22.00 per hour Employment Period : 4/3/17-9/8/17 32-40 hours per week (Candidates will be notified of any modifications to employment period. Availability of position is contingent upon available funding. Health benefits are not available.) GENERAL RESPONSIBILITIES The Office Coordinator maintains office services by organizing office operations and procedures; preparing and monitoring office inquiries; managing filing systems; coordinating program supplies, and assigning and monitoring clerical functions. Office Coordinator will work independently, communicate well, and be extremely organized. The Office Coordinator also assists in the supervision and scheduling of seasonal office staff including Regional Assistants. WORK DUTIES Manage office administrative needs; including scheduling of meetings, fax & copy machine organization, distribution of incoming documents. Weekly site visits to assigned SNL sites. Manage online database, documents, and submissions status. Manage seasonal program staff and collect staff evaluations. Manage and collect sports program data. Proofread and edit SNL program materials and reports. Manage online timesheet completion, collection and submission for seasonal staff. Assist with vendor invoice review, data entry, filing, and check distribution. Create forms and collect/organize information from site staff as needed. Maintain inventory of program supplies and assist in equipment and supply distribution. Respond to inquiries via phone, email, and fax. Provide support to GRYD staff (i.e. event planning) as needed, other duties as assigned. Liaison between GRYD Office and Recreation and Parks. MINIMUM REQUIREMENTS Graduate from a recognized four-year college or university in a related field, or a minimum of 2 years of professional experience in an administrative capacity with a track record of increased responsibilities. Flexible work schedule Including late evenings and weekends on occasion. Demonstrated knowledge of, and relevant ability working alongside culturally diverse communities. Basic math, working knowledge of Microsoft Office package, and internet. 1

The RA will provide hands on support at assigned SNL sites as needed, as well as assist with administrative tasks within the office. RA s will have opportunities to develop their leadership skills, assist sites with program development, and improve administrative capabilities. WORK DUTIES Assist with managing the logistics for SNL special events (including hiring/interviewing, training and site visits throughout the summer) as requested by GRYD staff. Maintain inventory of storage space supplies and assist in equipment and supply distribution. Provide onsite hands-on staffing support at assigned SNL sites as needed. Assist with office administrative needs, including supply orders and distribution, data entry, and filing. Provide mentorship to youth hires in program development, work readiness, and community engagement, other duties as assigned. Monitor and assist with sports program needs. Monitor and assist with site(s) inventory. MINIMUM REQUIREMENTS Full time availability March- September Previous enrollment in academic setting (high school, college, trade school, etc.), and/or previous work or volunteer experience in a community based organization or office setting. Specifically, the Site Coordinator is responsible for implementation of programming, management of site coordination team, implementation of an outreach plan and program calendar, while overseeing administrative tasks (i.e. timesheets, invoice submission, nightly reports, etc). The Site Coordinator will work collaboratively with diverse populations; which include potential perpetrators and victims of violence, and manage complex situations effectively. WORK DUTIES Management of the SNL site coordination team, which includes supporting the Youth Squad via the implementation of daily curriculum, developing schedules, monitoring performance, providing direction, input and feedback. Coordination of daily setup and breakdown of program activities and equipment. Implementation of site outreach plan, ongoing assessment of community participation and identification of additional outreach efforts. (i.e local CBOs and business resources) 1

EDUCATION AND EXPERIENCE Bachelor s Degree in a related field, or minimum of (2) years of experience in family, youth, or community based program implementation, or a minimum of (2) years of professional experience working with families, youth, community organizing, or program development, prior experience in a supervisory capacity preferred.
