GENERAL RESPONSIBILITIES The Office Coordinator maintains office services by organizing office operations and procedures; preparing and monitoring office inquiries; managing filing systems; coordinating program supplies, and assigning and monitoring clerical functions. Office Coordinator will work independently, communicate well, and be extremely organized. The Office Coordinator also assists in the supervision and scheduling of seasonal office staff including Regional Assistants. WORK DUTIES Manage office administrative needs; including scheduling of meetings, fax & copy machine organization, distribution of incoming documents. Weekly site visits to assigned SNL sites. Manage online database, documents, and submissions status. Manage seasonal program staff and collect staff evaluations. Manage and collect sports program data. Proofread and edit SNL program materials and reports. Manage online timesheet completion, collection and submission for seasonal staff. Assist with vendor invoice review, data entry, filing, and check distribution. Create forms and collect/organize information from site staff as needed. Maintain inventory of program supplies and assist in equipment and supply distribution. Respond to inquiries via phone, email, and fax. Provide support to GRYD staff (i.e. event planning) as needed, other duties as assigned. Liaison between GRYD Office and Recreation and Parks. MINIMUM REQUIREMENTS Graduate from a recognized four-year college or university in a related field, or a minimum of 2 years of professional experience in an administrative capacity with a track record of increased responsibilities. RA s will have opportunities to develop their leadership skills, assist sites with program development, and improve administrative capabilities. WORK DUTIES Assist with managing the logistics for SNL special events (including hiring/interviewing, training and site visits throughout the summer) as requested by GRYD staff. Maintain inventory of storage space supplies and assist in equipment and supply distribution. Provide onsite hands-on staffing support at assigned SNL sites as needed.
