How to calculate the total cost and payback period for your company When calculating the total ramp-up costs for MagiCAD adoption, one must take into account the cost of the software, the cost of initial training as well as the cost of the learning period in day-to-day design work. As a specialist design solution for the building services disciplines, MagiCAD always requires an initial training, typically ranging between 2-4 days. CALCULATING TOTAL COST There are many variables to take into account when making the cost/benefit assessment. The starting point for the calculation has been calibrated based on the most commonly encountered ways that the adoption process goes forward when the engineers have previous experience in performing MEP design with Revit. Since each company and adoption process is different, this section will aim to provide a reference point for each company to adjust the numbers to reflect their particular situation. To make the cost/benefit calculation reliable and comparable regardless of the company and its particular circumstances, the calculation model analyses return on investment strictly from the perspective of saved man hours, and leaves out any additional positive variables such as the increased profit from being able to accomplish more billable projects with the existing resources. However, as with any investment, also the cost of the initial learning period with temporarily lower productivity should always be taken into account. 10

This conservative estimate is to balance the calculation in a way that takes into account individual variance to an extent that we can expect it to cover even the more demanding implementations. For the purposes of the calculation, the period of gradual learning before the customer reaches the full productivity enhancement is taken to be approximately 6 months after the initial learning period based on previous cases of MagiCAD adoption. In other words, in cases where the engineers have previous Revit background, the average time for reaching better productivity in Revit-based MEP design with MagiCAD is 6 months. This is an average which should cover most companies regardless of the starting point, but depending on the case, months may be added to this expectation to adjust the calculations to reflect a longer adoption process. After the initial learning period, the productivity is calculated to increase during the first month by a modest +5 % compared to the original productivity before MagiCAD adoption. During the second month the increase is calculated to be +10 %, with gradual increase of +5 % per month until the full productivity increase of + is reached during the sixth month. In most cases, the standard start-up training package offered for MagiCAD provides new customer companies all that is needed for integrating MagiCAD effectively to their daily working processes and to quickly begin materialising also some of the business-enhancing benefits. The initial training consists of one day focusing on MagiCAD s productivity-enhancing features for Revit and one day for more specialised, discipline-specific features. MagiCAD integrates well with the Revit logic and it is for this reason relatively easy for engineers with background in Revitbased MEP design to integrate MagiCAD into their daily working processes in a productive manner after the initial training. MagiCAD automates many conventionally time-consuming procedures, and as such, the productivity-enhancing effects are expected to begin to show quite quickly after the training. Revit background is not a prerequisite for MagiCAD adoption. To facilitate a smooth adoption process, multi-day trainings can be tailored to cover all the necessary aspects of the MagiCAD software and the Revit platform. If the customer has experience in using MagiCAD for AutoCAD, the MagiCAD logic can often act as bridge which facilitates the transition from the AutoCAD technology to Revit, making the process easier and more efficient. When the learner has previous Revit experience, the adoption of MagiCAD will make the design process more efficient quite quickly because MagiCAD features generally make native Revit s design workflows easier, faster and more automated. 11

AN EXAMPLE CALCULATION To illustrate the costs and the time scale involved, below is an example calculation for a company with 4 engineers who are all considered to be proficient in Revit. After the training, they are expected to be able to integrate MagiCAD into their daily working processes immediately, while also being able to begin benefiting from some of MagiCAD s features which replace some of Revit s more time-consuming workflows. In this way, the benefits begin to materialise instantly, with the full level of benefits expected to be reached during the first 6 months after the initial learning period. For the purposes of this example case, we will set the total cost of one engineer to 5000 per month, adding up to 60,000 per year. You can easily modify this and other key values when performing the calculation for your company using the APPENDIX 1: Calculation table for total cost, profit and payback period on page 17. Based on the values above, we will be able to calculate both the expected payback period for the investment and the approximate return on investment in the first 12 and 24 months. In this example case, the total investment will be completely paid back already during the first six months after the initial learning period as a result of the gradually increasing man-hour savings, with the full efficiency boost reached during the sixth month. 12

MagiCAD adoption process CASE: DERRY LTD, UNITED KINGDOM Based in Newark-on-Trent in Nottinghamshire, Derry Ltd carry out Mechanical and Electrical Services engineering nationwide, from inception to providing full coordinated installation information for the construction team. The team consists of 26 employees, 8 of whom are designers. In recent years, Derry have made significant investments to implement 3D design technology and to support industry requirements for BIM. Today they offer a true multidisciplinary approach to design development and coordination. When making the transition to the new design technology, Derry moved from designing with 2D tools directly to simultaneous adoption of both Revit MEP and MagiCAD for Revit. Derry s MagiCAD adoption began with an initial training session at the company s premises, with one day dedicated to MagiCAD s general productivity-enhancing features on Revit and the other to MagiCAD s discipline-specific features for ventilation and piping design. Participating in the training session were three engineers with Revit backgrounds, as well as two engineers not engaged in the projects on a daily basis who did not have previous Revit experience.
