Introduction EPIC s LiNX online administration system is an added way for you and your employees to manage the group insurance benefits offered through EPIC. The goal of the system is to ease the administrative burden associated with group insurance by streamlining the onboarding process and reducing the time needed to process enrollments and member changes. EPIC LiNX benefits include: 24-hour online capabilities Simplified and accurate online billing information, and Access to benefit documents and employee benefit information In this guide, you will learn: 1. How premium is calculated for a partial month of coverage 2. How to access EPIC LiNX 3. How to view, approve and pay your monthly bill 4. How to find and view an employee s information 5. How to view and print a plan document and ID card for an employee No More Need for Partial Month Payments Calculating daily premium for employees who have a partial month of coverage is complicated and time consuming. To remediate this issue, premium calculation is being streamlined and pro-ration is a thing of the past! No monthly premium is due for an employee whose coverage terminates before or is effective after the 15 th of the month and a full month s premium is due for an employee whose coverage terminates after or is effective before the 15 th of the month. Accessing the system LiNX supports most browsers. To access EPIC LiNX, use the URL provided by EPIC. The URL follows the following pattern: https://mybenefits.epiclife.com/company name A login name and password will be or has been provided to you to access the EPIC LiNX system. You will be prompted to change the password at first login. Please note the requirements for a strong password. Page 2
You will then be asked to add a security question to help you recover your password if you forgot it later on. If you try to log in and enter an incorrect password, your account will be locked after 3 unsuccessful attempts. If this happens, please contact your EPIC Customer Service Representative at 800-520-5750 to reset your account. Page 3
Find an Employee: To find an employee within EPIC LiNX, click on the Employee link located in the top navigation bar. Once you are at the Employee Search page you have many options for how to locate an employee. Using the Choose a Letter feature allows you to find an employee by searching for the letter associated with their last name. In the fields that follow you can find an employee by: First Name, Last Name, Employee ID or Social Security Number. You can also use a percentage sign in the search field if you are not sure of the spelling of their name. For example, if you were to input %s% in the Last Name field of the search box, the results would list all the employees whose last name contains the letters s. If you leave the search fields blank and click the Search button, a list of all employees will be provided. You can also search for all employees within a given department, location, division, status, and enrollment status. Page 4
At the Employee Search Result page you can click on an employee s name to see their specific information. Page 5
After you select the employee you would like to view, you will be sent to the Employee Benefits Portal for that individual. The employee information is organized in various screens, which can be accessed by clicking on the links in the left-side navigation menu. The Profile link includes information related to the employee s demographic and work status. Additional job-specific information about the employee s work is listed under the Job History link. Other often-used information can be found under the Address, Phone Number, Dependents, and Compensation links. Page 6
View and Print an Employee s Benefit Elections, Schedule of Benefits and Plan Certificate To see an employee s benefits, click on the Current Benefits link on the left-side navigation menu. Every benefit for which the employee is eligible is indicated on the screen, along with the coverage amounts. To see the detail of a given coverage, click on the View link on the right side of the screen. You can also view the plan documents, such as Schedule of Benefits and Certificate of Insurance by clicking on the Plan Documents link next to the coverage. The Print Confirmation Statement link at the bottom of the screen produces a benefit confirmation statement that can be printed or saved for later reference. Page 7
View Invoices You can access the billing section by clicking on the Billing link in the top navigation bar. On the Billing page the current invoice will be displayed with the date of the invoice (10/16/2014 invoice date for November 2014 coverage month). To see details of an invoice, click on the No link. You can access previous invoices and see the money applied to them by clicking the Closed Group Invoices link on the left-side navigation menu. Page 8
Approve Invoices Invoices are run on the 16 th of each month for the following month. You will receive an email notifying you that your invoice is ready to review. You can then log into EPIC LiNX and click on the Billing link to review the current invoice. If you agree with the invoice, you can approve it by entering your user ID and password at the bottom of the screen and click the Approve Invoice button to approve it. If you need to make adjustments to your invoice, please contact your EPIC Customer Service Representative at 800-520-5750 to notify them of the required changes. You have until the 20 th of the month to review, make updates, and approve the invoice. Any changes communicated to EPIC after that date will show up on the following invoice. Page 9
If you do not approve the invoice, it will be deemed automatically approved on the 20 th of the month. Pay Invoices If you have registered for Automated Clearing House (ACH) services, the premium shown on your invoice will be deducted automatically the first of the coverage month. If you are paying by check, print the Payment Coupon by clicking on the Printable View link, and mail it along with your payment to EPIC. Page 10
