Add/Manage Business Users Primary Admins and Secondary Admins are set up by your FI and have full access to functionality your FI grants that business; these Admins set up other employees as Business Banking users via the Entitlements function, aka Manage Users. Add a User 1. Go to Additional Services menu > Manage Users. 2. Click Add a user. 3. Enter user info at the top. Email address is used to send login instructions to the user. o The user gets 2 emails with username and password Phone number is used for multi-factor authentication. o Phone extensions don t work with MFA 2 3 Tips: Only the Primary Admin and Secondary Admins can access this screen. Unlimited users are allowed. September 2016 3

Add/Manage Business Users Modify Account Specific Access Permissions can be broad to very narrow. The hierarchy is TIN > Account > Feature > Task (for example, Pottery Place > Operating account > ACH Payments > Approve ACH Payments). See page 4 for definitions for each permission in this section. 1. If the business has multiple Tax IDs, select one to view linked accounts. 2. Grant full access to all accounts within the selected TIN, if desired. 3. Grant full access to a specific account within the selected TIN, if desired. 4. Add/Manage Business Users Set access for all accounts Give the user access to certain functionality for all accounts, i.e. some permissions are not assigned on a per account basis. 1. SSO options display here (for example, Bill Pay and Online Statements). 2. ACH File Import: Displays only if this is part of the business s segment (as assigned by the FI). Approve a Business User If the company has at least one Secondary Admin, approval is required for new users. Only the Primary Admin or a Secondary Admin can approve a user. Approval is also required if an edit is made to a user s profile. After adding a new user, user status is "Setup Pending". emails are sent to other Business Admin(s) the user s name shows in the Approval widget Steps to Approve a User: 1. Go to My Approvals widget. 2. Click the user s name to review details. 3. Click Approve (Decline is also an option). 4. A pop-up prompts the Admin to verify identity. 1 4 2 3 Tips: If your FI offers tokens, the Admin may choose to enter the security code from the token (not showing here). Token is the only option if tokens are enforced for the business. September 2016 8

Approve a Business User 5. Depending if the Admin chooses Call me or Text me: a. The Admin answers the phone, and presses 1 per the automated instructions. b. The Admin receives the text and replies back with the security code. 6. If successful, the user no longer shows in the My Approvals widget, the user receives 2 emails with username and password, and the user s status changes to Active. 5a 5b Tips: Users requiring approval stay on My Approvals widget indefinitely. The pop-up automatically closes after 5 minutes. If the Admin closes the pop-up before completing verification, approval will not go through. September 2016 9

Add/Manage Other Services Business Users Set transaction limits for all accounts For each permission granted above, limits must be established. Check Apply Company Limits to grant the maximum limits (set by the FI) or enter a lower amount. See table below for options when each limit type is expanded. Add/Manage Business Users Manage Users Business Admins and Users show on the Manage Users screen, in alphabetical order. Business users names appear as blue hyperlinks indicating they re editable; Business Admins names show in black and are not editable. Editing Business Admins is only done by the FI. User status descriptions: Active user is able to access Business Banking *Setup Pending an Admin added a new user; must be approved by another Admin before receiving login credentials via email *Update Pending an Admin edited a user s profile; must be approved by another Admin before the user can log in again Disabled Access toggle is set to No; user cannot access Business Banking. Add/Manage Business Users Manage Users Business Admins can manage users and assist users with login issues on this screen. These functions may NOT be performed on other Business Admins. Options for an Active User: Print user details full printout of all the user s access and limits Edit user change anything except the user s name Copy from user select to copy this user s permissions for a new user *Reset password sends a temporary password to the user s phone via call or text *Generate access code delivers a one-time access code on the screen that the Admin gives the user if needed during login (not for payment approvals) Delete user permanently deletes the user from Business Banking Slide Access toggle to No to change status to Disabled (temporary hold) Options for a Locked User same options as above except: No Reset password and Generate access code options *Reset password and Unlock user unlocks the user and sends a new temporary password to the user s phone via call or text *Unlock user unlocks user so they can login with original password * Options show only if the FI has enabled these features for businesses September 2016 13

ACH Import ACH File Import provides for an efficient and secure way to streamline ACH initiation by importing recipients using a delimited or NACHA file. A new payment is created with the imported data, which can then be initiated in Business Banking. Two key parts to processing: 1. Create the file map The business needs to tell Business Banking how to make sense of the data that will be imported; this screen defines the file attributes, fields and positions in the file. ACH Import - Manage Import File Definitions is the permission for users to access this screen. 2. Import the file Once the map is created, the business imports the data and initiates payment creation in this step. ACH Import - Import Recipients is the permission for users to access this screen. 2 1 All other options under ACH/Wire Payments are not involved in importing files and initiating the imported data. ACH Import Manage Import File Definitions Step 1: File Details The fields under Payment Details are the same as the fields to begin adding an ACH template (see the ACH Template Training Guide for details). Tip: the File definition name must be unique from other file definitions. September 2016 15

ACH Import Manage Import File Definitions Step 1: File Details (con t) The File Definition fields are unique to ACH Import. 1. Select Delimited or NACHA as the file type. 2. If the file has a header in the first row, check this box. 3. If Delimited is the file type, select the delimiter (what separate the data). 4. Enter number of fields (at least 6). These are the required fields for Business Banking: Recipient ID, Recipient Name, Routing Number, Bank Account Number, Account Type (checking or savings), Amount, Addenda (optional) 5. For imports after the initial one, select a matching field. 1 2 3 4 5 Tips: Matching records options allow the user to import new or updated information using an existing map. When importing a NACHA file, the file must be unbalanced, i.e. no offsetting transaction. September 2016 16

ACH Import Manage Import File Definitions Step 2: Map Fields Here, tell the system where the data is located (in what column) within the file that will be imported. All the required fields for ACH entries must be included in the initial file import. September 2016 17

ACH Import Manage Import File Definitions Step 3: Test & Confirm It s advisable to do a test import with an actual file to validate the mapping is correct. The system validates each field to make sure only valid characters are imported (as defined by NACHA requirements). Tips: Approval is not required when creating an import file map. Once created, import maps are saved for future use. Import maps can be edited later if file layouts change. September 2016 18

ACH Import Import Recipients Now that the map is created, the business user can now import the file via the Import Recipients screen. 1. Select the file import definition (created in previous step). 2. Click Browse and locate the file on the computer. 1 2 September 2016 19

ACH Import Import Recipients 3. The recipient details from the file display. Confirm the information is correct. 4. Opt to save the file as a template, if desired. 5. Set the deliver on date. 6. Click Make a Payment to initiate the file. 3 4 6 5 Tips: Importing recipient data in order to create a template can save much time over building the template from scratch. The Deliver On date follows same requirements as when initiating a file via Make/Collect a Payment screen. See ACH Initiation Training Guide for details. September 2016 20

ACH Import Import Recipients If the File Definition has already been used in a previous import, the business must select a reason for import. 1 2 3 4 5 1. Add new and update existing add recipients from import file where no match is found on matching key if matching key is found, replace any existing values with new value if existing recipients from previous import are not found in import file, delete and remove from payment file 2. Add new recipients only add recipients from import file where no match is found on matching key do not change existing recipients, even if new information is in the import file 3. Update existing recipients if matching key is found, replace any existing values with new value if new recipients are included in import file do not add if existing recipients from previous import are not found in import file, leave unchanged and include in payment file 4. ACH Import Import Recipients Approval for payments created from a file import will follow the same approval flow as other ACH payments. See the Payment Approvals Training Guide for details. The success screen also prompts the user if they would like to save the payment as a template (in addition to the link above the Deliver On date when initiating an import). Make/Collect ACH Payment Businesses are able to initiate ACH payments and collections via Business Banking. They also have the ability to set up templates for recurring payments and collections. Payments screen layout 1. Options to make payments, collect payments, or upload pass through file. Only those options for which the user has permission display, e.g. if the user can only make payments, Collect and Upload options will not show. 2. View scheduled, processed, and declined payments 3. View Monthly limits. User limits show here, not the limits set by the FI for the business. Click More details link to view daily and transaction limits as well Limits are checked upon initiation and when the payments is sent to Admin Platform. 1 3 2 ACH payments and wires are aggregated in this area of Business Banking. Click in the Enter a template name field to select a template (start typing to filter list) or add a new template. 4. Upon selecting a template, screen refreshes with template info. Amount and addenda are the only editable fields. 5. The Deliver On date defaults to next business day. If past the cutoff time (set by FI), the date defaults to two (2) business days out. User can pick another business day up to one year in the future. 6. If desired, make the payment repeating. 1 2 3 4 5 6 September 2016 24

If past the cutoff time (set by FI), the date defaults to two (2) business days out. User can pick another business day up to one year in the future. 6. If desired, make the collection repeating. 1 2 3 4 Tip: If prenote is selected for a participant on the template, and this is the first time the template is initiated, that record is grayed out. The participant is included in the ACH file but with a zero dollar amount. After 3 business days, the hold is lifted. 5 6 September 2016 25

Select the Deliver On date (same logic as for template payments). 11. Click Pay. If batch exceeds limits, an error message displays and prevents initiation. If batch exceeds available funds in the funding account, the batch is initiated (flagged as insufficient funding in Admin Platform). If pre-funding is on for this business (set by the FI) and the threshold is met, a transfer debits the Funding account 1-2 days before the Delivery On date and credits the FI-owned account. 9 11 10 Tips: System calculates the total, i.e. the user doesn't create a settlement entry (aka control amount). One time payments cannot be repeating payments. Option to save as a template after clicking Pay. September 2016 29

Make/Collect ACH Payment Collect a one time payment All the steps are the same for making payments and collecting payments, except for Payment Type options. POP, BOC, ARC and TEL are only for collecting payments. This list is filtered based on the business segment and user entitlements. The user must have Create ad hoc ACH collections permission to collect a one time payment. September 2016 30

Make/Collect ACH Payment Payment Activity The bottom half of the Payments screen provides a view of scheduled, processed and declined payments. For all tabs: Payments display as a negative number and collections display as a positive number All activity for the business displays, not just activity by the current user logged in Scheduled payments The next payment in a recurring series displays at the top; future single payments are listed below. If approval is pending, the payment cannot be edited or cancelled. If the payment is approved, the payment can be cancelled. Two (2) business days before the payment date (at 12:01am PT), the file is sent to the FI to process, and the payment moves to the Processed tab. Exception: prefunded ACH files process one business day before the payment date. September 2016 31

ACH Pass Through ACH Pass Through allows the business to take an ACH file, created in another system, and use Business Banking as a pass through system to get that file to your financial institution. ACH Pass Through access is granted to the business via the chosen segment. If this feature is not enabled for the business, the Upload pass through file radio button (see bottom screenshot) will not display. Navigation options go to the same screen: 1. Move Money > Make/Collect a Payment 2. Move Money > Upload an ACH Pass-Through File September 2016 33

ACH Pass Through Upload the File 1. Select the Upload pass through file radio button. 2. Select the funding account (must be entitled for ACH File Pass Through) 3. Click Browse to locate and select the desired file. Must be a file with.ach as the extension 4. If the file is not balanced, check the box. 5. Click Upload. If any errors are found, the error is detailed out on the screen. Edits are not allowed on the file. To fix an error, the business must do so in the system that created the file and try another upload. 6. Approval flow kicks unless this is a single admin company with no ACH approvers (See Payments Approval training guide for details). 1 2 3 4 5 The system validates: ACH File Pass through limits Entitled funding account NACHA format All transactions have the same settlement date See KB article INF70033 for full list of validations. Create the template first, and then initiate transactions quickly with no need to enter (and possibly enter incorrectly) details such as account number and routing number. ACH Templates Steps to Add a Template: 1. Enter a Template Name, which must be unique from other templates. 2. Choose Funding Account. Entitlements determine the accounts that display, including accounts across multiple TINs. 3. Select Template Type. Tax payments require details in the addenda record. ACH Templates Adding participants: No limit on entries per template. Pop-up window except for Tax template Addenda is available except for Payroll or Web. Routing number is validated. Prenote is optional. Amount field can be $0 and then actual amount entered during initiation. More on prenotes: Prenotes are optional entries if a business wants to test that the recipient information is accurate. Upon checking that box, a message appears: You will not be able to schedule payments for this employee until this prenote processes. A mandatory 3 day waiting period is enforced; then the business can initiate ACH payments to that recipient. September 2016 40

ACH Templates Enter information for each participant (in this example, employees). The employees are listed in alphabetical order (according to first name) here and throughout Business Banking for easy viewing and editing. When complete, click Save Template. If approval is required, status is Approval Pending; for single admin companies, the template is immediately available for use. See the ACH Approval job aid for details. September 2016 41

ACH Templates Approve Templates If approval is required, templates must be approved before they are available for use. Also, if edits are made, the template is unavailable until approved. 1. Go to the My Accounts screen > My Approvals widget. 2. Click the template name to review details. 3. Click Approve for desired template. 4. Click OK on the pop-up window (not shown). 5. The template is now available to use and shows as Approved on the template screen. 1 2 3 Tips: Approving a template does not require additional verification via MFA. The approver may decline the template, which moves the template to Needs Attention and sends an email to the person who created the template. 4 September 2016 42

Payments Approval Initiating ACH and Wire templates and payments requires approval with dual control. This means the initiator cannot approve their own work. Important! If the Primary Admin initiates one of the events below, and the business doesn t have any Secondary Admins nor business users with approval permission for that event, dual approval is waived. (see page 4 for details) These event trigger approval: Add/edit an ACH or wire template Initiate an ACH payment or collection Upload an ACH pass through file Import an ACH file Initiate a Wire Email notification sent: Events above trigger an email to Business Admins as well as business users with ACH or Wire Approval permission. Emails are not sent to approvers when the transaction exceeds their remaining approval limit. Payments Approval Dual Approval 4. A pop-up prompts the user to validate identity: a. Call Me: user answers and presses 1 (one) on the phone b. Text Me (only shows if the user text-enabled their phone): user receives the text and replies back with the security code c. Enter security code (only shows if the FI offers tokens and the user entered the credential ID in My Settings). Only option if tokens are enforced. 5. The payment no longer shows in the My Approvals widget. 4 4a 4b Tips: If the Admin doesn t answer the call or reply to the text within 5 minutes, the popup closes. If the Admin closes the Awaiting your response pop-up, approval will not go through. They should wait for it to automatically close after step 4. September 2016 45

Payments Approval Approval by Initiator If the Primary Admin initiates a payment and the business doesn t have any Secondary Admins nor business users with payment approval permission, dual approval is waived. In this case, the payment is either a. Immediately routed to the financial institution for processing or b. The Primary Admin is presented with out of band (OOB) authentication When is OOB authentication invoked (option b)? The FI may opt to set a dollar threshold for wire and ACH payments that applies this scenario. Payments greater than the threshold would trigger OOB prompt. 1. Upon initiating the ACH, the user is prompted to get a call or text. 2. Call me: initiates a phone call; the user answers and presses 1 (one) on the phone. 3. Text me: initiates a text with a security code; the user must texting the code back. 1 2 3 Tip: Do NOT close this window while responding to the call or text since it would cancel the process. The window automatically closes when authentication is satisfied. September 2016 46

Payments Approval Common Questions Q: Do I have to approve each payment if it s a repeating payment? A: No, the repeating payment series needs approval only for the first payment. Q: What happens if I decline a payment? A: The payment shows in Declined activity and the system sends an email notification to the person who initiated the payment. Q: If I approve one payment, do I have to pass identity verification every time for remaining approvals? A: Your financial institution may enable approval caching, where identity verification is required for the first payment (see step 4) but not subsequent payments approved within a certain timeframe (5 minutes or less set by the financial institution). Q: What happens if I approve a payment after cutoff time? A: If a wire with today as Deliver date is approved after cutoff, it will be routed to the financial institution the next business day. If an ACH with Delivery date as one day out is approved after cutoff, it will be routed to the financial institution the next business day. Q: How long to payments stay here awaiting approval? A: Indefinitely Q: What happens if I approve a payment past the date? A: Approval will go through and the payment will be routed to the financial institution. The system automatically adjusts the date (current business day for wires and next business day for ACH). Q: After a payment is approved, what happens next? A: If a wire has the current day as the Deliver date, it goes to the financial institution within 5 minutes for processing. If an ACH transaction has the Deliver date as 1-2 business days out, it goes to the financial institution within 30 minutes for processing. For payments further out than these timeframes, the payments sit on the Pending tab on the Make/Collect a Payment screen. September 2016 47

Include only if the wire instructions include sending the funds to a correspondent bank before the receiving bank. 7. Enter the payment information. Option 1: send wire in US dollars. If Send in foreign currency is checked, convert the amount to that currency upon receipt of the wire. Option 2: send wire in another currency. Business selects the currency and enters the amount of the wire in that currency. 6 7 Tips: The payment section is not customizable, i.e. you cannot hide the radio button to send exact amount in foreign currency. The system doesn t provide exchange rates; that conversion needs to happen once the FI receives the wire. September 2016 54
