JOB DESCRIPTION TITLE: DEPARTMENT: REPORTS TO: FLSA: Practice Educator and Compliance Coordinator Primary Care Physician Practices Practice Director Non-Exempt SUMMARY OF JOB: This position is a member of the leadership team for Primary Care and Pediatrics. Develops education, assistance with policy development and compliance oversight to all staff for all functions, workflow and competencies for hospital owned primary care and pediatric practices. Is given broad guidance and direction and is expected to function with initiative and independent judgment. Provides leadership to staff on practice transformation efforts and ensuring consistency across practices. Participates in the activities of the hospital owned physician clinics, trains and supervises personnel, directs clinic activities; and confers with the Practice Director and Supervisors on hiring, firing, promotions, disciplinary action and personnel evaluation. Should assist with the development, interpretation and application of clinic policies, budgets and strategic plans. Represents clinics on hospital based teams for education, infection control, compliance and IT. Responsible for quality assurance in the clinics consistent with organizational policies and procedures. In addition, Primary Care Practices are expected to collaborate with each other to ensure seamless provision of high quality, population health care by engaging the other practices along with the practice and support departments. ESSENTIAL DUTIES AND RESPONSIBILITIES: (The following statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. Responsible for the staff education of the hospital-owned clinic. a. Assists in developing, implementing and maintaining departmental policy and procedure changes consistent with all primary care practices b. Develops education, review mechanism and monitors every office procedure to ensure that systems and procedures are being followed correctly, working closely with Practice Care Management, Practice billing department, EMR Informatics and hospital departments. c. Coordinate training of staff with practice supervisors/director to ensure competency of staff d. Insures implementation of requirements of practice transformation innovation programs such as CPC+ across practice in conjunction with Care Management Program Manager. 1

e. Coordinates and implements annual skills and education. f. Develops orientation program and provides oversight to new practice employees. g. Works with hospital education department to implement monthly clinical orientation. h. Works with and helps coordinate training program for incoming students into the clinic (MA student, nursing student, medical student, mid-level student, etc.) i. Works with Director of Lab and Radiology to ensure that all licensing, training and quality assurance requirements are met. j. Implements and oversees infection control program, working closely with hospital infection control department. k. Must be able to complete all functions of practice positions in which certification/licensure allows. Supervisor is expected to cover when staffing needs require it. 2. Electronic Health Records, IT and forms a. Super user for all software systems used within the clinic. b. Coordinates with IT to maintain functionality and security of computer systems, phones, printers, etc. c. Evaluates and makes recommendations for HER system improvements. d. Training of all clinic staff in correct use of systems, including documentation, innovation program requirements, and trouble shooting issues. e. Clinic representative to hospital IT department for any new HER software or conversions. f. Maintains documents used in clinic. Coordinates with providers, Leadership and committees regarding form changes to support best practices. g. Coordinate form approvals through MAC and QI/Compliance committee as appropriate. 3. Support role for the human resources function of the hospital-owned clinic. a. Assists with hiring process for professional, administrative, and support staff b. Assists in ongoing recruitment and retention efforts for departmental staff c. Provide routine formal and informal rounding with employees d. Provides input for all staff evaluations e. Provides input/recommends disciplinary procedures and performance increases pursuant to Employee Manual f. Ensures that all staff have adequate time and training available to enable them to perform their jobs to the very best of their ability g. Ensure staff recognition is implemented practice wide. h. Assist medical staff with completion of required credentialing and licensure requirements 4. Support role for process improvement, compliance and patient satisfaction within the hospital owned clinic a. Participates in developing monthly inter-department staff meetings, including agenda s and meeting minutes front office, and clinical. Available for physician and managerial meetings as secretary of minutes. b. Instills culture of customer service, compliance and process improvement throughout practice c. Participates in PI projects established by the Care Management team d. Assists with patient and public satisfaction in dealing with staff, billing, collection and general public contact. Is liaison between practice and practice and hospital patient financial service departments 2

e. Performs customer service recovery including patient complaints and grievance committee f. Assists with reviewing all patient satisfaction surveys and review of policies and procedures for process improvement opportunities g. Performs routine audits of staff compliance with workflows and documentation requirements and provides Practice Director/supervisors with feedback on areas needing improvement. h. Ensure all staff demonstrate competency in job functions for each clinic role i. Cultivates and maintains good working relationships with area providers and community healthcare partners j. Develops program to audit documentation for quality and compliance programs, including billing, coding, competencies k. Ensure all licensing renewals (ie CLIA, Fire Department, etc) remain active and renewed in a timely manner 5. Participates in the strategic planning implementation of the hospital-owned clinic. a. Coordinates strategic planning activities of clinic with Practice Director to ensure implementation b. Provides information for forecasts and budgets for future growth c. Assists in developing facility plans to accommodate growth d. Assists providers in developing strategic plan for services e. Fosters and promotes communication among all personnel so that all staff understand the long term plans and goals. 6 Provides coverage of all job duties for Practice Director or Practice Supervisors as needed. a. Ability to work the front desk Scheduling, taking payments, starting new charts, updating demographics, opening and closing daily batches, trouble shooting daily problems with batches. Answering the phone, routing calls properly b. RMA, LPN, or RN able to room patients for providers in a timely matter. Ability to fill out any incoming paperwork. Answering calls/triaging patient calls for priority, routing prescriptions c. Coverage for the Referral coordinator when needed d. Coverage for the Prior authorization/prescription coordinator when needed e. Ability to answer questions reqarding billing/coding procedures for projects accurately f. Ability to cover supervisor when appropriate for vacations/sick time g. Ability to assist and work with full management team h. Ability to work directly with the practice director when needed. 7. Front desk and Medical Assistant EDUCATION and/or EXPERIENCE: 3

Associate s Degree in business administration or related field with at least one (1) year of clinic management experience including documented experience in teaching/mentoring employees. CERTIFICATES/LICENSES: Registered Medical Assistant or Licensed Practical Nurse (required) Certification in one of the following organizations is required: AHIMA, AAPC (RHIT, RHIA, CCS, CCS-P, CPC, or CPC-H) (to be obtained within one year of hire) LANGUAGE SKILLS: Must be able to speak, read and write English. Ability to read and interpret documents such as physician orders, medical charts, insurance forms, EOB s, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to supervisors, patients, patient's family and other employees of organization. Able to work in a team-oriented environment. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
