FRIENDSHIP HOUSE JOB DESCRIPTION Position: Supervisor: Working Schedule: Employment Status: Chief Financial Officer Executive Director Full Time: Monday - Friday 9AM-6PM, Weekends and evenings as needed Exempt/Salaried w/ Benefits Service Responsibilities: Administration: Oversee all staff and direct programming in the absence of the Executive Director Proofread and/or edit various correspondence, publications, and grant proposals. Complete month end, mid-year and year-end duties including compiling and printing reports as necessary. Perform other administrative duties as defined by the Executive Director. Actively participate as a member of FH s Executive Team, including all planning meetings, agency-wide decisions, and administration of ongoing programs. Track billing, deposits, invoices, and accounts. Finance: Responsible for implementing financial policies and procedures, planning, analysis, budget and cash management. Responsible for advising Executive Director and Board of Directors on financial matters, as well as creating and maintaining integrity of internal and external reporting and fiscal controls. Responsible for the sound investment of FHCS s funds- both operating and Endowment- in accordance with the Investment Policy, as outlined by the Board of Directors and Executive Director. Responsible for informing and coordinating of the Board of Directors Finance Committee. Lead bi-monthly finance staff meetings, implement strategic and tactical actions as required by the Executive Director. Ensure monthly financial activities including reconciliations, reports and budget alignment data is completed. Keep current and enhance FHCS s insurance coverage, as FHCS needs and environmental changes dictate. Provide timely counsel and monitoring of claims and/or potential areas of exposure.
Assist Executive Director and Management Team in developing and implementing the strategic plan of FHCS and aligning/procuring resources to meet the goals and objectives of FHCS. Responsible for technology, telecom and software architecture design, selection, implementation and maintenance. Overseeing maintenance of IT infrastructure, IT security and data management. Protection, accuracy and improvement of data are vital IT duties managed by this position. Assist Executive Director in the expansion of program and the diversification of FHCS s revenue base through the development and/or acquisition of programmatic activities, enterprises and businesses. Oversight of Human Resources: o Responsible for Oversight of HR Staff o Ensuring HR staff are maintaining general and administrative, employment and financial policies. o Ensuring HR staff are maintaining legal and other strategic documents. o Ensuring HR staff are developing and properly overseeing hiring, firing, compensation, benefits, legal staffing and policies in this area. Oversight of Accounting Operations including: o Directly supervising data entry staff and volunteers. o Carrying out supervisory responsibilities in accordance within FHCS s policies and applicable laws. o Responsibilities includes assisting in interviewing, hiring and training employees. Planning, assigning and directing work. o Appraising performance; rewarding and disciplining employees. o Addressing complaints and resolving problems. o Accounts Payable o Accounts Receivable o Contribution Revenue/Accounts Receivable/Data Processing o Gifts In Kind o General Ledger o Payroll o Benefit Accruals and Liabilities o Fixed Assets o Quarterly FICA and Workers Comp Payments o TRNA o Internal and External Reporting o Maintain financial records for audit Generating accurate and timely internal financial reports for Leadership Team, Department Heads, Finance Committee, and Board of Directors. Coordinate annual Financial Audits with external auditors and prepare appropriate financial statements. Coordinate preparation and filing of Form 990 with external auditors. Coordinate preparation and filing of other needed reports.
Monitor and prepare local, county, and state annual and/or periodic reports and renewals. Ensure all bills are paid in a timely way in under 30 days. Ensure donor receipts are issued in a timely way under 48 hours. Maintains Professional Oversight of Finance Staff by coaching, counseling, and disciplining employees; planning, monitoring, annually reviewing and appraising staff job results. Manage and enhance on-line and in person banking services and relationships. Manage auditing and technical consulting relationships. Assist HR Director in maintaining 401K, Health, Workers Comp, Insurance, and other key relationships. Assist in training new Board of Director members and maintaining Board and Committee relationships. Conduct regular analytical work on monthly financial statements, budgets, investments, and cash positions. Provide analysis and projections on projects and department performance to key staff as necessary. Provide analysis and financial information for fundraising asks and grant applications. Develop, maintain and implement financial policies and procedures. Maintain and enhance the integrity of the internal control structure. Monitor financial policies, procedures and internal controls to ensure proper use and effectiveness. Develop and implement annual operating and capital budgets. Develop, maintain, and monitor business integrity and contingency. Maintain Financial Software and recommend changes in technology as needed. All other tasks assigned by the Executive Director. Oversee and guide all departments in development and justification of annual budget. Ensure that FHCS policies and procedures are implemented in assigned departments. Ensure assigned departments create policy and procedure manuals of best practices. Ensure effective financial and employment communication between Administration and all other departments. Ensure that assigned departments are managed with integrity and biblical stewardship. OUTCOMES/STANDARDS/MEASUREMENTS: Financial, HR and administrative duties are being completed on time and with excellence. IT systems i.e. phones and computers are operating with minimal disruption. Annual budget is completed by April 1 each year and ready to present to Board by May 1.
Expense statements are presented to Departments Heads monthly for discussion and controls. Finance committee is adequately informed in order to make financial decisions. Annual audit by Independent CPA is issued with an unqualified opinion. Excellent stewardship of resources will be evident in assigned departments. FHCS Staff policies and procedures are implemented in assigned departments. Written manuals of policies and procedures are in place for assigned departments. Effective communication exists between Administration and assigned departments. Evaluation of management by Administration and department heads as to effectiveness. Evaluation reveals assigned departments are managed with integrity and biblical stewardship. Duties are done with integrity while displaying a professional and pleasant demeanor. SKILLS AND QULIFICATIONS: A strategic visionary with expertise financial skills, analytical ability, good judgment and strong operational focus. Extremely well organized and self-directed, diplomatic and adept at developing and maintaining interpersonal relationships within a team dynamic. Level-headed, purposeful in reactions, proactive problem solver. Gathers all information before making decisions and makes decisions according to sound Biblical principles and Accounting standards all in alignment with FHCS values and purpose. Ability to translate financial concepts to and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds. A decisive individual who possesses a big picture perspective and is well versed in systems. Ability to read, analyze, and interpret complex documents. A Skilled negotiator who is experienced in contracts. Ability to respond effectively to sensitive inquiries or complaints. Problem analysis and problem resolution at both a strategic and functional level. Highly computer literate, knowledgeable in Microsoft Office suite software, QuickBooks, other accounting software, internet and email. Substantial and proven knowledge and skill within Finance, IT and HR. Knowledge of and subscription to ECFA guidelines and standards. Relies on extensive experience and judgment to plan and accomplish goals. Effective oral and written communication skills. SUPERVISORY RESPONSIBILITIES: The Chief Financial Officer is responsible for approximately (5) five employees in the respective department under supervision.
EDUCATION & EXPERIENCE o Minimum of a B.A. in a related field, Preference given for an MBA/CPA or related advanced degree. o 7+ years related experience, ideally some of which includes working in nonprofit sector. o 4+ years of management/supervisory experience. o Excellent customer service skills. o Experience using data management software to manage data and files, calculate and analyze numbers, communicate information and produce documents and reports. o Solid and consistent demonstration of good judgment and discretion regarding highly confidential information. o Must be accurate and detail oriented; possess strong organizational and time management skills; and the ability to prioritize competing priorities in a complex and fast paced environment. o Ability to work under pressure with tight deadlines. o An ability to prioritize tasks during periods of high activity and demonstrate initiative to seek out projects during low activity periods. o A positive self-motivated, disciplined and results-oriented work ethic will prove equally important in meeting deadlines and cooperating successfully within Friendship House. o Ability to use good judgment and maintain confidentiality of information.
