JOB DESCRIPTION POST: Faculty Office Administrator DATE: June 2016 POST NO: BLS-S29 FACULTY: Business, Law & Sport STARTING DATE: September 2016 SALARY RANGE: Grade 4, 19,273-21,605 per annum, pro rata HOURS: Part-time, 30 hours per week, 33 weeks per year INDEFINITE/FIED TERM: Indefinite REPORTING TO: Faculty Manager THE POST As the Faculty s main point of contact, your main role will be to provide a friendly and efficient front-line support service to our students and staff, answering general enquiries and ensuring the smooth operation of the handing in and return of student assignments. In addition, you will be asked to fulfil a number of Faculty wide administrative duties including supporting other team members as required. MAIN DUTIES AND RESPONSIBILITIES To act as the first point of contact for enquiries to the Faculty Office from students, staff and external visitors, either in person or by telephone To be responsible for the taking in and return of student assignments and the setting up of appropriate procedures. This will include ensuring that all assignments are recorded, stamped and receipted and that the central spread sheet detailing all assignment submission dates and related information is regularly updated To manage the Faculty s audit of coursework, collating hand-in and return dates and preparing the final audit at the end of Semester 1 and 2 To co-ordinate the Extenuating Circumstances process, with responsibility of informing students and staff of the outcome of Extenuating Circumstances applications and keeping a central Faculty log To keep and update Faculty information including the Staff Telephone Directory

2 To support and assist Department and Programme Administrators with programme administration as required To manage the Faculty Office ensuring student information is kept up to date, coordinating stationery ordering, distributing staff and student post on a daily basis To administer photocopying and printing facilities within the Faculty, ensuring adequate supplies of paper and toners, investigating and reporting problems to IT Services and engineer To assist with the organisation and arrangements for Faculty events to include administration through the University s Store Shop To co-ordinate and book visitor car parking, issuing permits and updating car parking signage liaising with University Reception staff To support administrators and research technicians with the inputting and disseminating of data for surveys and report To book rooms across the University as requested To issue absence notes for staff liaising with the Faculty Administrator and Payroll as necessary To ensure the distribution of student learning agreements to the appropriate subject areas To assist the Faculty Administrator in the booking and administration of staff travel and student excursions To carry out any other administrative task as required by the Faculty Manager and to cover absence for other members of the administrative team when necessary General Information It is anticipated that this job description will change over time in accordance with the needs of the role. The role holder will be fully consulted on any proposed amendments. CONDITIONS OF SERVICE The appointment will be at Grade4, with a salary range of 19,273 to 20,400 per annum and annual incremental progression within this range. An upper range of 20,989 to 21,605 per annum will be available (again with incremental progression) to those who, having gained considerable experience relevant to the role, are able to demonstrate added value through activities or contribution which are over and above the normal expectations for the role. Your normal centre of duty will be the King Alfred Campus, Winchester. However, you may be required to work in any part or department of the University or as otherwise required by the due performance of your duties and responsibilities.

3 Normal hours of work will be 30 per week, 33 weeks per year, to be worked between the hours of 9.30am and 4.30pm, Monday to Friday, by agreement with your Line Manager. The annual leave year runs from 1 August to 31 July. Holiday entitlement is 21 days per annum, plus Bank holidays and two extra statutory days. A proportion of the entitlement is allowed pro rata for part-time staff working less than five days per week and/or not throughout the year, and for all support staff during first leave year at the University. Facilities Staff catering facilities are available. West Downs Day Nursery - is situated within the grounds of The University of Winchester. The nursery offers care for children from the age of six weeks to five years in a stimulating and homely environment. The nursery provides 62 places each day from 7.30am to 6.15pm on a full time or sessional basis. The opening times are designed to accommodate the working parent who may wish to continue their career. Further details are available from the Human Resources Department. Sports facilities are available, e.g. gym, squash, badminton, cricket, indoor soccer, tennis, etc and staff organise their own sporting activities.
