The Competency Based ATS Platform Application Process Candidates access all information and apply via a dedicated, branded recruitment site. All information regarding the roles and any information that should be accessed and read before application will be available on the site. Candidates register securely via the site and, if required, all communication can then be sent via the site. Eligibility Questions A range of eligibility, information based or killer questions can be utilised. Certain answers can preclude candidates from progressing any further with their application. This will encourage ineligible candidates to self select themselves out of the process at an early stage, thereby reducing administration costs. Any information that needs to be highlighted or could present risk if not documented is captured and easily visible in the client administration area. Career Summary Detail Additional information can be gathered prior to candidates answering the more detailed competency questions which should be helpful to those sifting. Information can include location/region, qualifications, career history, areas of expertise/experience etc. We can ensure that candidates are asked not to disclose certain information that may result in unconscious bias for those sifting. Competency Questions Candidates are asked to answer a number of evidence based competency/capability questions. These questions can be effective in distinguishing candidates who may have a similar career background or can make similar claims in terms of experience. Questions asked should relate to the specific competencies of the role and aim to draw out tangible examples and outcomes that clearly evidence the competencies. We can advise you on suitable questions, if required. Word Limits Question answers can be word limited. Applicants will be able to save their answers at any point prior to submission and return at a future point for completion. When candidates are happy their answers are complete, they simply click the submit button. Equal Opportunities An online form is integrated to the system with real time information available at any stage of the process.
Client Portal A key benefit of the system are the tools that will be provided to you and your recruitment advisers to sift and manage candidates. User Permissions Different users/stakeholders can have different authorities to view specific documents or folders making it a very flexible, yet secure area from which to manage your own documentation and administration. This is particularly useful for stakeholders who may be in different locations but can still access relevant data at any time with an internet connection. Sift Applications can be sifted more efficiently with a clear rationale against the stated competency criteria, helping to reduce time investment at this stage of the assignment. Each applicant can be scored using a points system based, eg. 0-5. A total score is then calculated with a benchmark score determining candidates who will progress to the next stage. Sifters can support their scoring decisions with commentary indicating,briefly, how the applicant addresses the competencies. Our experience to date suggests that sift times can be reduced by around 40% vs a traditional sift using CVs and Supporting Statements. Exporting Data You can export relevant information, such as name and address data via CSV file as well as CVs via zip files directly from the client portal. This can then be uploaded on any other recruitment system you may be using. Managing Candidates right up to appointment The dedicated client portal will allow you to manage candidates at every stage of the process. Candidates who are progressing are moved to the next stage of the process. Relevant stages are established when the job is created. The user interface provides a simple intuitive project management tool that is auditable and transparent, should you need to demonstrate a rigorous process. Communicating with Candidates The system can be used to automate notifications to candidates. Not only will this save you time, but will also provide a fully auditable process. This can be particularly helpful in providing proof etc. of communication at the appropriate time. Candidates receive the notification via the email address they have provided and must follow the link and sign in to access the message. This again provides an additional level of security for any candidate who may not be using a personal email address.
Reporting /data requirements Reporting is automated providing real time summary and individual information as well as aggregate equal opportunities data. In addition to our standard reporting, the system is flexible and we can produce bespoke reports to your requirements at an extra cost. Raw data in csv format is also available. API s can be developed to assist with upload to your own internal systems at an extra cost. Training Documentation is provided in addition to online training assistance. The system is designed to minimise training. Additional training can be provided on site or remotely as required at an agreed additional cost. Compatibility Compatible with mobile phones and tablets, thereby improving the candidate experience We undertake penetration testing to identify any areas for security improvement which forms a rolling programme to ensure we stay abreast of current threats. Back up and Data Recovery Automatic backups are taken daily and stored within the secure hosting environment. These backups include bin logs so that the database can be restored to any point in time. The live hosting site and database is also replicated to a fall-back server. Technical requirements: GatenbySanderson's competency based applicant tracking system is a software as a service (SAAS) solution. No software or hardware installation is necessary. On-Boarding In terms of set up, our standard product requires 10 days set up. We can also provide bespoke content and functionality at an extra cost, based upon day rate. Data Security We constantly review the systems we have in place to protect against potential data breaches. The website hosting the assessment is https protected and we have a number of protocols in place in terms of collecting and storing personal data. Our server sits behind a Firewall, hosted by Rackspace, a leading provider and personal data is encrypted.
