Employee Dashboard Located off the main toolbar the Employee Dashboard is a way to add and access employee data. The dashboard can be used to Add and View employee information. The Employee Dashboard also has the capability to add multiple Employees at one time through an employee import feature. The Employee Dashboard is broken up into an upper and lower grid. The upper grid contains the Manage Employees and Imports tabs. The lower grid is where the individual employee information is displayed. Manage Employees Tab The Manage Employees tab can be used to add a single employee at a time and view current employees. Adding Employees To add Employees, click on the Add Employee symbol at the top of the Manage Employees grid. This will add a line to the grid and allow you to enter the employee s last name, first name, employee ID number and their start date. Employees with an employment end date will become deactivated. The only required fields are First and Last names. Upon completing the data entry, click the Update button. You will be prompted with the message Do you want to continue assignments for this employee?. Page 2
Clicking ok will take you directly to the client assignments page. Clicking cancel will return you to the Employee Detail tab for your new employee. Client assignments can be made or changed at any time by clicking on the Client Assignments tab. Training will not be set up and a user id for Training Centre will not be created until the employee is assigned to a client site or category that has a training course associated. Imports Tab This tab may be used if you have a list of employees to enter into the system. Rather than entering one employee at a time you can upload a.csv (Comma Separated Value) file and all employees will be entered at once. After the file is uploaded you will need to enter the Client Assignments for each employee individually. Creating a.csv (Comma Separated Value) file Create a table in an Excel document containing any of the following headers. Each header should be in a different column with the employee data below. Enter Last Name, First Name, ID, Email, Cell Phone, Employment Start date, Employment End date, I-9 On File. Last name and First Names are required, the other columns are optional You can use different naming for your headers as you desire. When the file is uploaded you will be able to map your columns to the appropriate columns in the system. Once the data is entered go As. to File, Save Select CSV Page 3
(Comma Delimited) from the Save as type: dropdown. Click Save. Importing file Click the green plus (+) at the top of the Imports tab grid. Click select File(s). Find your csv file and click Open. Change the description, if desired (this will autopopulate to the file name). Under CSV Import Mapping match the columns from your sheet to the fields listed. If you have used your own namingfor the headers you will need to use the dropdowns to match a column from your sheet to each field. If you have used the same naming as the system it will auto-populate the columns that match. When all applicable fields have been mapped. Click import. Select your current file from the list of import files on the Import grid. Page 4
Ready for Import This tab shows the list of employees from your list who are ready to be imported into the system. You can import all employees at once by clicking the Import all button at the top of the list grid, export the list to a CSV file or make changes to any individual employee by using the Actions on the right of each employee. edits an employee moves an employee to the Ignored tab. These employees will not be imported into the system. to import the individual employee After you have clicked import you will be prompted with a message that shows you the number of records that have been processed. Errors This tab will show any employees from your list that will not be imported due to an error in the data. ie. Incorrect format for email address. These errors can be addressed before or after importing those in the Ready for Import tab. Simply click the pencil icon under actions to make the appropriate changes. When finished if all errors are fixed the employee will automatically move to the Ready for Import tab. Imported This tab shows all employees that have been imported from the selected list into the system. If you feel an employee should not have been imported you can remove them here by clicking the Undo Import icon under actions to the right of the employee. Ignored This tab shows any employees from the list who have been selected not to be ignored therefore have not been imported. If you feel an employee should not be on this list you can move them back to the import list here by clicking the Undo Ignore icon under actions to the right of the employee. Page 6
Employee Detail Tab This tab contains basic data about the Employee including the Training Centre user ID. The tab includes a photo upload tool, a Training Centre Password reset button and a View/Print QR Code tool. Upload Photo To upload a photo of your employee select Click to Upload Photo from the Employee Detail tab. Click choose file and select the employee s photograph jpg file. Click Open, then Submit. Any file uploaded will replace the image that previously appeared in their file. Reset Password The default password for training centre is Welcome1 (case sensitive) for all employees. Upon logging in the employee will be asked to change their password. The password they choose will be their password for all trainings going forward. Page 7
