WHY STRATEGY MANAGEMENT? The Program Measurement Service Grant is part of Taproot s Strategy Management practice. The Strategy Management practice provides critical support for your organization s planning process, providing you with the data you will need to create a solid strategic plan and ways to monitor and measure your success in executing that plan. Program Measurement Implement and Monitor Develop operating plan; measure and monitor progress; adjust as needed. Mission/Vision Define the mission, visions, and values of the organization. Strategic Planning Process Strategic Planning Perform internal assessment; facilitate discussions; define core strategies; write and adopt strategic plan. Research and Build Support Select team and ensure readiness; gather data for decision-making; build planning buy-in; define priorities.

PROJECT SCOPE In Scope Interviews with relevant stakeholders (up to 8 sessions) Best practice research Facilitated discussion about the program s Logic Model with the nonprofit team Map of current data collection process Design of 10-15 key metrics for a single program Program dashboard template in Microsoft Excel One staff training session Out of Scope Creating or revising a strategic plan External benchmarking Installing program measurement and management systems Crafting language for development, grant-writing, or other external communications Conducting a program evaluation
PROJECT FLOW Kickoff Discovery Metrics Design Dashboard Development & Training Celebration Evaluation & Closing The nonprofit and pro bono consultant teams get to know one another Teams discuss goals and expectations consultants create Project Plan to guide the project consultants conduct interviews and best practice research, review existing program data consultants facilitate Logic Model review with nonprofit team to clarify program goals and map current data collection process consultants design and present 10 15 key program metrics Nonprofit team provides feedback and pro bono consultants revise key program metrics as needed consultants develop and present a program dashboard template for tracking key metrics consultants deliver one staff training on the new metrics and program dashboard for nonprofit staff Celebrate successful project Complete evaluations Send deliverables to Taproot Close project consultants present discovery findings
NONPROFIT GRANTEE CRITERIA Clearly articulated strategic priorities and program goals (for the program being measured) A clear understanding of what program data is currently collected, where it lives, and the ability to provide the pro bono consultant team with access to all data files Demonstrated capacity to manage data collection and measurement, including one person whose job responsibilities includes managing program data An Executive Director or Program Director who is strongly committed to this project Staff who can invest the necessary time to make the project succeed.
NONPROFIT TEAM EXECUTIVE SPONSOR 1-2 hours per week. Available for key decisions and intervention as needed. PROGRAM MANAGER 2-3 hours per week. Helps articulate program goals and makes sure the program metrics and dashboard can be implemented and sustained. DATA MANAGER 2-3 hours per week. Works closely with the existing data and can answer the pro bono consultants data-related questions. DAY-TO-DAY CONTACT 3 hours per week. Maintains the project flow for the nonprofit team and serves as the main point of contact for the pro bono consultant team. Either the Program or Data Manager, or another team member, will serve this role. SELECTION OF BOARD MEMBERS AND STAFF 2-3 hours over the course of the project. Available for interviews and other input as needed.
PRO BONO CONSULTANT TEAM ACCOUNT DIRECTOR Staffs, supervises, and leads the pro bono consultant team. PROJECT MANAGER Maintains the project workflow for the pro bono consultant team and serves as the main point of contact for the nonprofit team. STRATEGY CONSULTANT Lead consultant on the strategy elements of the project. Leads the discovery process, including interviews, best practice research, and facilitation of a strategic discussion around the program s logic model. ANALYTICS CONSULTANT Leads the design of key program metrics and formatting the program dashboard. This person also takes the lead on the program dashboard training. DATA ANALYST Analyzes existing program data, maps current data, and builds out the program dashboard. This person also provides support for the program dashboard training and makes recommendations for collecting any missing data.
