A MESSAGE FROM OUR CAMPAIGN CHAIR Greetings to our wonderful workplace coordinators! I am honored to be the 2018 United Way Campaign chairperson. I am writing to say thank you for leading your workplace in our efforts to change our community for the better. Your company s commitment to our efforts is to be applauded. We hope to provide you with every resource possible to allow your employees to engage in our work. United Way of Hancock County s mission is to measurably improve people s lives in Hancock County. We can only do this with your help. Every dollar counts toward our desire to provide access to health, education and financial stability to every person in Hancock County. This year our theme is United We Win! We want to celebrate the winning spirit of our donors, our clients and our community as a whole. I appreciate the opportunity to lead United Way through this campaign, as I know what an impact this has had and will continue to have on our community. It s tough work. But, it is critical work. HOW TO HAVE A WINNING WORKPLACE FUNDRAISING CAMPAIGN STEP ONE: PLAN Build a team. Diversity is important. Involve people from various departments in your organization, such as marketing, human resources, payroll, plant floor/production, etc. Set regular committee meetings and delegate responsibilities. Set your strategy and goals. Our goal is Setting specific goals and objectives helps measure progress and obtain desired results. Planning will help you determine where to focus your energy in a productive way. Consider these strategies when asking: Make your pledge first so your coworkers know you are fully vested in the success of your fundraising efforts. Ensure that each and every employee has the opportunity to give. Reach out to your retirees. Use incentives for new supporters and to increase current giving levels such as: Every new donor that pledges at least $2.00 per pay is entered into a drawing to win a prize. Every current donor that increases their pledge by $1.00 a pay is entered into a drawing to win a prize. Incentives can include paid days off, jeans days, cook outs, gift cards, etc. Keep your campaign strategically timed and goal oriented. Campaign Start Date: Campaign End Date: 3

Starting a campaign with a clear kickoff and wrapping it up with a great finish is often the most important element when planning. Consider these guidelines: Less than 10 employees: Complete your campaign in one day at a staff meeting. Communicate to employees prior to the meeting letting them know that you will be discussing and completing your pledges for the campaign. 10-50 employees: Complete your campaign in one week. Kickoff on Monday morning and have pledge forms completed by Friday. 50+ employees: Complete your campaign two weeks. Develop a communications plan. Consider using email, intranet sites or personalized letters. Hang posters and fliers in prominent places to communicate the campaign dates and important information. Consider using brochures, posters, United Way videos, banners, signs, and Live United T-shirts. STEP TWO: ENGAGE Share United Way s work in our community. Participating in United Way fundraising campaign helps improve lives in Hancock County. It also gives your organization the opportunity to learn first-hand about the needs right here in our community. It is important to provide multiple opportunities for employees to learn and become more engaged with our community. Offer ways for employees to understand what their contribution, no matter the size, can accomplish. Invite speakers from one of our funded agencies to come and share with your team how United Way dollars help their organization. Our staff can also share several stories and facts about the great work being done with your donation. Consider hosting a collection drive to help an agency or even organizing a volunteer opportunity as a team building event. Both are excellent ways to educate and engage your team leading up your kick-off. 5

FUNDED PROGRAMS We recognize that no community issue can be addressed by one single entity. Take a look at the logos of some of United Way of Hancock County s funded partners. STEP THREE: RUN Kickoff your campaign. 7 Have fun! Make your kick off memorable and exciting! Hosting an organization-wide kickoff event is a great way to raise awareness, such as providing a breakfast, luncheon, or a special event. Or greet employees at the door with Live United buttons or T-shirts, visit departments mid-morning with cookies or hold door prize/raffle drawings throughout the day. Ask. Did you know that one of the main reasons people don t give is because they were not asked? Here are some tips on asking your employees to give: Identify others in different departments (or locations) to help you make the ask throughout the company. Be knowledgeable about United Way and ask us to join you at your kick off to answer any questions or concerns. Seek out employees who volunteer, are board members for United Way funded agencies, or who may have been impacted by a funded agency. Ask them to share their story. Peer-topeer advocacy is incredibly moving and will help you meet your campaign goals. Monitor progress. Keep a running pledge total and make employees aware of progress towards your company s goal. Follow-up with those who have not yet responded and kindly encourage them to participate

WINNING IDEAS! Hold a morning kickoff celebration that inspires employees to participate in the campaign. Include a welcome from management and brief remarks from a local United Way representative or from employees who have been helped by services supported by United Way. Ask all employees to turn in their investment forms by the meeting s end. Hold drawings for fun prizes for those who turn in their investment forms. Give away LIVE UNITED shirts. Order LIVE UNITED shirts by emailing Kara Keister at City Apparel, kara@cityapparel.net or 800-422-2489, extension 142. Have committee members help you track pledges received and follow-up with employees who haven t yet participated. Encourage all employees to turn in an investment form, even if they do not donate. Tally results and give employees the good news as they leave the building for the day. A handwritten note from your committee or a small thank you item adds a nice closing touch. Use e-mail or bulletin boards the following day to publicize the total and thank everyone for their efforts. Remember to solicit in advance any employees who will be unavailable or your kickoff so they can be included in the campaign totals and drawings. Plan your retiree and Gaslight Society ($750 or more) solicitation early so that the results are final by the time you hold your special day! Sample Thank You Techniques: Have your management serve breakfast or prepare lunch for employees who have made a contribution. Or, schedule an after-hours wine and cheese party for employees and their spouses/special guest. Scooping Up Success Ice-cream parties are always fun. Have your management team scoop up sundaes and personally thank each employee. Provide yogurt and fruit for employees on special diets. Thank You Gifts: Attach a small box of Raisins to the following note: THANK YOU for helping us with Raisin $$$$. Attach an Almond Joy candy bar to the following note: Thank You for supporting our community and helping to put Joy in people s lives. Attach a pack of gum to a note: Thank You for chewzing United Way. Your support is helping to improve lives 365 days a year. United We Win! On the last day of the campaign, surprise and thank donors with a balloon, flower or other small gift. Let us know when you have completed your campaign. We will come to you with a big banner and get a photo for social media!

STEP FOUR: THANK A little thanks goes a long way. Say it! United Way thanks you for your time, talent and effort. Your company s campaign could not be successful without YOU! Make sure you thank your CEO and management team for their leadership and guidance. Thank your campaign team for their hard work and support. Shout it! Through their generous gifts to United Way, your colleagues have helped make life better for our neighbors. Thank those who support your campaign at every opportunity, but the end of campaign is especially important. Share your successful campaign on social media. Tag us so we can share. And, you might inspire others to start a campaign. Show it! Every campaign is worth celebrating! Host a celebration event for everyone. Thank those who gave. Also include your final results. A public distribution of incentives during this event is a great way to share your collective success. Submit it! Report your campaign results to United Way of Hancock County by November 21, 2018. Complete your campaign report envelope, making sure the totals match what s inside your envelope. Conduct a session to debrief. Meet with your campaign team to review what went well and what could be improved. This helps prepare for next year s campaign. 9

UNITED WAY S COMPANY RECOGNITION PROGRAM Who doesn t appreciate a little competitive spirit, especially when it improves lives in Hancock County? Each year, we recognize workplaces that show outstanding leadership in their company s United Way campaign. The following awards will be presented at the 2019 annual meeting. Illuminate Awards: Awards will be given in each category based on company size: Company with the highest average employee gift of $100 or more Highest percentage of employee participation Largest campaign increase from previous year Highest number of employees contributing $750 or more Ignite Award: This award is for the best new campaign. Fired Up Award: Recognizes the organization who took the box, shook it up, and ran the most creative, fun and interactive campaign. LIVE UNITED Award: Recognizes a campaign team or individual who leads an exceptional employee campaign, demonstrates excellent leadership, has innovative ideas, admirably increases employee participation and/or employee giving and completes campaign by November 21, 2018. This team or individual exemplifies how Hancock County can LIVE UNITED. Additional information: Employee participation is calculated based on the total number of employee s gifts divided by the total number of employees in he workplace at the start of campaign. Annual percentage increase/decrease is calculated based on the information pulled from the United Way of Hancock County database for each workplace. Campaign performance is based on the overall change from previous year s campaign totals. 11
