Creating and Approving a Hiring is as easy as 1-2-3! Welcome to ework, Mason s online applicant tracking system. To access the system go to https://jobs.gmu.edu/hr. Log on using your ework user ID and password. We recommend using supported browsers to get all ework s newest features. A browser is an application you use to access the internet and various websites across Mason. Select the Job Posting Step 1: Once you have successfully logged in the Home page will be displayed. Hover over the posting tab at the top of the page, select the position type. Step 2: search for the position or simply select the position you wish to move forward with by clicking on the Role (State) Job Title as shown below. Page 2 of 9
Step 3: Select the applicant tab at the top of the summary page Step 4: Check the box next the applicant to be hired. The applicant must be moved forward in the work flow to the finalist status. Step 5: Select the action button on the left, to display the options menu. Select, Move in Workflow. Quick Tip: Hold down the shift key to check multiple applicants at one time. Quick Tip: The status of the applicant is called a work flow state. Page 3 of 9
Step 6: Select Finalist state for your applicant and Save Changes The applicant list will be displayed; it may take a few minutes for the applicant state to be updated. Quick Tip: Select F5 on your keyboard to refresh display. Step 7: Edit the workflow state of the remaining applicants. *You must disposition the remaining applicants for regulatory reporting. Select the remaining applicants by checking on the box next to the name. Under actions select Move in Workflow You can change the state for all applicants, by selecting Change for all applicants. Once all applicants have been dispositions, select Save Changes to proceed. You can also change the state for specific applicants. Select New State and Reason Code for each applicant. Once all applicants have been dispositions, select Save Changes to proceed. Page 4 of 9
Creating a Hiring Step 1: Select the finalist s name, highlighted in blue, to display the application. Step 2: Select the option to Start Faculty Hiring from the Take Action on Job Application Menu Page 5 of 9
You will be prompted to Start Faculty Hiring Step 3: Complete the hiring proposal by filling in all the necessary form fields. Quick Tip fields marked with an * are required. Step 4: Select Save and then Next to continue. The documents section allows you to attach supporting documentation for the hiring proposal. To attach a document, select Action and choose Upload New, Create New, or Choose Existing. Step 5: Select Hiring Summary to review/edit the proposal. Select the option to Take Action On Hiring to proceed. Step 6: Select Department Approver Review action to move the proposal to the approval queue. Page 6 of 9
You will be prompted to enter comments and add this proposal to your watch list. Select Submit to complete action. The Department Approver will receive an email notification that a proposal is pending action. Quick Tip adding document to your watch list, allows you a quick view of the status from the home page. Congratulations you have successfully completed a hiring proposal and have submitted it for approval! If you are a Department Approver go to the Approving a Hiring section of this guide to learn how to approve the hiring proposal. Page 7 of 9
Approving a Hiring Once you have successfully logged in the Home page will be displayed. Confirm role as Department Approver. If you are both Initiator and Department Approver, follow this link to Are you the Initiator and Department Approver?. Step 1: Select the Hiring Tab and click on Faculty. All hiring proposals pending your action will be displayed. Step 2: Click on the candidate first name to view proposal. Step 3: Select Take Action On Hiring Options and select Request Approved (move to HR Review). Congratulations you have successfully approved a hiring proposal! Page 8 of 9
Are you the Initiator and Department Approver? If you are already logged in as the initiator and you are also the department approver, you will need to change your role. Select the drop down arrow next to your current user group. Select Department Approver from the drop down menu then click the refresh button You should then see the following message at the top of your screen. Once logged in as the Department Approver, select the option to Take Action On Hiring. Page 9 of 9
