IMMUNISATION VIEWING A CHILD S IMMUNISATION RECORD MODIFYING A CHILD S IMMUNISATION RECORD 1. Click the Client Details toolbar button and select Registration Details from the menu. 2. The Search page is displayed. Search for the child using the standard search mechanism. 3. The Client Details page is displayed. Click on Immunisations link at the bottom of the page. 4. The child s immunisation record is displayed. 1. On the Immunisation History page click the name of the immunisation that you want to modify. 2. The Immunisation page is displayed. Alternatively access the Immunisation History for the same child via the Case Record. 1. From the child s Case Record, select the Child Health link and then select Immunisations. 2. The child s Immunisation History page is shown. 3. If you want to print the child s immunisation history, click Print. For best results, print in landscape. 3. Existing information for this immunisation is displayed. Click Amend.
MODIFYING A CHILD S IMMUNISATION RECORD 4. The page is updated to one that allows data to be entered. 5. Update the immunisation details that you need to change and click Save. 6. The immunisation list is displayed again, this time containing the new information. 7. To return to the list of immunisations without saving any changes, click Immunisations. 8. To delete an immunisation, select the box to the right of the immunisation you want to delete, once it is highlighted, then click Delete. 9. An information box, asking you to confirm deletion of the selected immunisations, is displayed. Click Yes to continue with the deletion and No to abandon the operation. 10. To select all immunisations, select the box below the Delete column heading. ADDING A SINGLE IMMUNISATION 1. Click Add Immunisation at the bottom of the child s Immunisation History page. 2. The Create New Immunisation page is displayed. IMMUNISATION 2 3. Choose immunisation required from the pick list. 4. The date will default to the current date, but can be changed using the calendar or by typing into the box, then click GO. 5. The Create New Immunisation page is updated. 6. Check that the immunisation number in the Part pick list is correct. 7. If an immunisation has more than 1 part, you can update this to another part if necessary. Additional information should be entered in the Comments box and click Save. 8. The Immunisation History page is displayed including the immunisations that you have added. 9. To outcome the immunisation, click the name of the immunisation on the Immunisation History page. 10. Enter the Date the immunisation was given by typing it in or using the calendars (Mandatory field) 11. To record the batch number, enter this in the Batch No box.
ADDING A SINGLE IMMUNISATION (Continued) 12. Select an Outcome from the pick list. This is a mandatory field. 13. Select the place where the immunisation was given from the Location pick list. 14. In Administered by, select the name of the person who administered the immunisation. 15. Select the Body Site from the pick list. The usual site for this immunisation is displayed. 16. Select the Administration Method from the pick list. The usual method for this immunisation is displayed. 17. In Comments/Problems record any other relevant information. 18. Click Save to save your changes or click Immunisations to return to the list of immunisations without saving any changes. SCHEDULING IMMUNISATIONS 1. Click the Child Health option on the menu. 2. Select Child Health Scheduler. IMMUNISATION 3 3. The Child Health Scheduler is displayed with the Current Server Time shown in non-editable text. 4. Enter the Schedule For Date into the From and To boxes. For auto appointing locations, all children who meet the criteria on the day the immunisation session is taking place, within this date range, will be scheduled for the session date. For non auto appointing sessions all children who meet the criteria on the last day of the date range will be scheduled. 5. If you wish to specify the age range for the children that will be scheduled, rather than using the preset RiO ranges, enter a date of birth range in Date of Birth Between and And. This may be used, for example, where immunisations need to be given to a school year cohort of children or for setting specific age ranges for health reviews.
SCHEDULING IMMUNISATIONS (Continued) 6. Enter the Schedule Run Date & Time. The scheduler will not run in the past. Therefore, if you want to run it today, you must make sure that the time is set a few minutes later than the Current Server Time. Check this carefully if you use the clock to enter the time, as it uses the time set on the PC, which may be different. 7. Check the Write children back to list after date. This defaults to 28 days but can be changed. It ensures that any child with an outstanding outcome from a previous schedule within the chosen period of time will not be included in this schedule. 8. If you are scheduling immunisations you may choose to select Dry Run. This will produce immunisation lists but not write information into individual children s records, enabling you to check that the scheduling you have configured is doing what you require. 9. If you a want to schedule for one or more GP practices select them from the GP Practice list on the left and use the arrows to move them into the box on the right. IMMUNISATION 4 10. If you a want to schedule for one or more schools select them from the School list, on the left and use the arrows to move them into the box on the right. 11. If you a want to schedule for one or more immunisation centres select them from the Immunisation Centre list on the left and use the arrows to move them into the box on the right. 12. To schedule immunisations, select the immunisations you require from the Immunisation list on the left and use the arrows to move them into the box on the right. 13. If you wish to change the priority order, for immunisations in an auto appoint immunisation clinic, select the priority you wish to change from the Priority box and use the Up or Down button to move to the required priority level. 14. Click Schedule. 15. A message is displayed confirming that the items have been successfully scheduled. 16. Click OK to close the message box.
ADDING TO A CHILD S IMMUNISATION HISTORY 1. Click Add Immunisation History at the bottom of the Immunisation History page. 2. The Create Multiple New Immunisations page is displayed. 3. Select the immunisation that you need to record from the Immunisations pick lists. 4. Select the correct part from the Part No pick list. This is a mandatory field. 5. To record the batch number, enter this in the Batch No box. 6. Enter the date the immunisation was administered in Admin Date, either by typing it in or using the calendars. This is a mandatory field. 7. Select the place that the immunisation was administered from the Location pick list. 8. Select the Outcome from the pick list. This is a mandatory field. IMMUNISATION 5 9. If you have additional information to record enter this in the Comments box. 10. Repeat steps 2 to 9 for each immunisation that you want to record. Click Save to save your changes. 11. The Immunisation History page is displayed including the immunisations that you have added. 12. To return to the Immunisation History screen without saving click Immunisation History at the bottom of the page. DELETING AN IMMUNISATION CENTRE HISTORY 1. From the Demographics page use the Immunisation Centre link to access the Client Immunisation Centre History page. 2. To delete one immunisation centre click the box at the end of the row that you want to delete, to delete all immunisation centre details click the select box in the header row. 3. Click Delete. 4. An information box is displayed asking you to confirm that you want to delete the selected rows. 5. Click Yes to delete and No to return to the Client Immunisation Centre History without deleting.
RECORDING OUTCOMES FOR SCHEDULED IMMUNISATIONS 1. On the Immunisation History page click the name of the immunisation you want to outcome. 2. The Immunisation page is displayed. 3. The Immunisation, Schedule/Added Date and Part are recorded in non-editable text. 4. Enter the Date the immunisation was given either by typing it in or using the calendars. This is a mandatory field. 5. To record the batch number, enter this in the Batch No box. 6. Select an Outcome from the pick list. This is a mandatory field. 7. Select Immunisation List, Quick Outcome from the menu. 3. The Immunisation Quick Outcome page is displayed. 4. Select the School, Practice or Immunisation Centre. 5. Click GO. The Immunisation Quick Outcome list is displayed.
RECORDING IMMUNISATIONS VIA QUICK OUTCOME PAGE 6. To see immunisations scheduled for a particular date, enter the date in View Date and click GO. 7. To sort the display alphabetically by Child, Date of Birth, Immunisation or App Date & Time, click the column heading. 8. For immunisations with common details record the Date, Outcome, Location, Administered by, Body site, Method and Batch at the top of the page. 9. Select the immunisations that you want to record these details against by clicking the box at the end of the row under Select. 10. The selected rows will be highlighted with a different background colour. 11. To choose all, select the box in the header. 12. If the immunisations were administered on different dates, you can leave this field blank and enter the date against the individual immunisation instead. 13. Click Save. The Immunisation Quick Outcome page will be displayed and the immunisations that you have recorded outcomes for will no longer be part of the list. IMMUNISATION 7 14. To select the Quick Outcome page for a new location click Establishment Selection at the bottom of the page. ALLOCATING AN IMMUNISATION CENTRE 1. Click the Client Details menu option. 2. Select Registration Details. 3. Search for the child using the standard search mechanism. 4. The child s Client Details page is displayed. 5. Click Immunisation Centre link at the bottom of the page and the Client Immunisation Centre History page is displayed. 6. To add an immunisation centre to a child s record click Add Immunisation Centre link at the bottom of the page.

Select the date that the child started to use the immunisation centre in the From Date box. 10. Click Save to save the record or Immunisation Centre History to return to the previous page without saving the record. IMMUNISATION 8 ENDING AN IMMUNISATION CENTRE ALLOCATION 1. From the Demographics page use the Immunisation Centre link to access the Client Immunisation Centre History page. 2. The Client Immunisation Centre History page is displayed (as shown previously). 3. Click into the row of the Immunisation Centre History that you wish to end. 4. The Client Immunisation Centre Edit page is displayed. 5. Enter the date that the immunisation centre allocation ended in the To Date box. 6. Click Save to save the record or Immunisation Centre History to return to the previous page without saving the record. 11. The Client Immunisation Centre History page is displayed listing any saved information 7. The Client Immunisation Centre History page is displayed listing any saved information.
