May 8 & 9, 2015 at the Athabasca Regional Multiplex Show Information This year, a strong partnership begins,as the show becomes even more focused on reflecting our community plus showcasing an increasing variety of displayers. You are invited to reach consumers interested in needs for the home and outdoors; whether at home, vacation or throughout Alberta. Automotive, RV, lawn & garden, tourism, suppliers and all businesses are invited to take advantage of the 90+ booth spaces available in 2 facilities and outdoors. Drive sales, services and awareness of new products and services. NEW Chamber of Commerce members bonuses included. Display booth information Each 10 display includes: Two (2) chairs & one (1) 8 table One (1) 1500 watt outlet 3 sidewall drapes & 8 back drape Carpeting, additional tables & chairs, lighting and any additional equipment and services you may need can be arranged directly with GES our show services provider. Outdoor signage at the corner of highways 2 & 55 intersection. Specific marketing options with booth rental is available to you. Additional multi-booth discounts are available. Move in/move out and show times Show is open to the public Friday May 8th 3p-8p & Saturday May 9th 10a-5p. Regular move-in begins on Thursday May 7th 4p-6p and continues on Friday, May 8th 8a-2p. If you have additional vehicles or other oversized items to display that require handling outside of these hours please contact us at athabascaoutdoorshow@newcap.ca to arrange adequate time. All displayers are expected to be finished with set-up and ready for the show by 2pm Friday May 8. Move out on Saturday May 9 th begins after the show ends at 5pm. Exhibitors are expected to leave their booths intact until this time.

There is no exclusivity of displayers as to like products or services in the show. All displayers can purchase a 94.1 The RIVER 1 hour feature remote directly from your display to drive focus and traffic to your location. Note that last minute requests are substantially more. I understand that the show management has final authority to make any changes to booth locations. I understand that I MUST confine all the contents of my display within the designated area. Show management will have the right to make necessary adjustments without permission. If my booth demonstrates noisy products stereos, vacuums, etc. I may be asked to take a booth at the back of the arena I must notify show management of such items. I understand that bulk space may consist of back drapes only, additional equipment will be at the cost of the exhibitor. I understand my booth must be manned at all times (reasonable breaks understood). If not, show management has the right to dismantle my booth or allow another exhibitor to use the booth spaces. If/as a food vendor I acknowledge I have submitted a Special Events Temporary Food Establishment application to Alberta Health Services. I will have my license at the event for inspection. Rules & REGULATIONS Booking Payment/Cancellations: All booths otherwise booked must be paid in full at time of registration. Cancellation of a booth/space must be received either by letter, e-mail or fax messages on the answering machine will not be acceptable unless confirmed by a call back from the show organizers that such a message was received. Cancellation must be received by 30 days prior to the Show. If cancelled 30 days or more, prior to the show, a full refund will be reimbursed with the exception of a $100.00 administration fee. If any ads have run, that come with your show package, then you are not eligible for a refund. (Cancellations less than 30 days from show date NO REFUND). NSF checks will have a service charge of $50.00. Organizers have the right to rent/use any exhibitor s space if not occupied by the exhibitor by 2:00 p.m. on Friday, May 8, 2015 or during the show if booth is left unoccupied. Payment will not be refunded. Security/Damage/Waiver: Organizers & Newcap Inc will take reasonable precautions to protect the property of the Exhibitors, however organizers and Newcap Inc will not be held responsible or accountable for any losses or damage to any of the exhibitors merchandise and property. The building will be locked with normal building security measures & security system after show hours. No other security is provided. Exhibitors are responsible to check their own insurance policies to be sure coverage includes Trade Show participation. Organizers & Newcap Inc reserve the right to limit duplicate booths or similar products though no exclusivity of products or services is implied. So book early. An exhibitor will not use space for any purpose now shown on the contract without prior approval of organizers & Newcap Inc. Exhibitors are liable for any and all damages caused by members of his/her staff or items going to, from or in rental space, or to any portion of the shows facility if damaged. i.e. dragging displays across floors, damage to curtains, etc. It is understood and agreed by the Exhibitor that organizers & Newcap Inc can cancel the said Show and may cancel this contract if, in the opinion of the Show Organizers, such Show would be impractical and/or inadvisable. 8 high back wall drape 3 high side wall drape 1-electrical outlet 2-chairs & table May 8 & 9, 2015 Each 10 Booth will include: Carpet, extra tables, chairs, lights, etc. are available from the show supplier GES for an additional cost. May 8 & 9, 2015 RULES & REGULATIONS continued Booths: There is no power provided to exhibitor s booths before/after show hours unless specifically requested on the application form and verbally the day of show to the actual show organizers and Display Company. Any exhibitor bringing in large display items: cars, trucks, boats, etc. will need to arrange to set up with show organizers & Newcap Inc to ensure easy accessibility. Upon takedown we ask all exhibitors to not block the entrances with their vehicle/trailers. Show organizers & Newcap Inc has the right to add or change layout/floor plan of show at any time, when in their opinion such moves are necessary to maintain the character and/or good order of the Show. General Exhibitor Information: Each booth will receive four (4) exhibitor passes. Additional passes (FOR STAFF ONLY) may be ordered only at time of application for a cost of $3.00 each be sure to advise all staff and volunteers of this. Should you leave your passes behind you will be required to purchase another one in order to enter the facility. Passes must be worn at all times. Passes may be exchanged when changing booth personnel only. Anyone giving their badges to others to circumvent rightful payment for entry to the show will have their passes revoked and require to pay full admission. Exhibitors parking in the front of the facility displaying promotional vehicles or signs may be asked to relocate to a different area. All rules and regulations relative to public buildings as prescribed by the Fire Regulations of the Town of Athabasca will be adhered to. All codes pertaining to Liquor, Health, Fire, Town Ordinates, Safety and Electrical must be adhered to. All exhibits must remain intact and manned until the close of the show on Saturday at 5:00pm. Unmanned booths are not permitted and will be dismantled by show organizers. All booths sold are to be used by the purchaser and are not to be sublet or shared with any company or organization without prior approval of show organizers. All exhibit structures, activities and materials must be confined to within the limits of the space assigned. Salespeople are to keep within the boundaries of their specified booth. Garbage Bags (bags only not boxes) placed in the garbage receptacles located in the facilities at the closing each day. Show management reserves the right to refuse admission to the show to any visitor, exhibitor, exhibitor s employee, family, friends, who: does not have an exhibitors badge or daily stamp to whom in the opinion of the management is unfit, intoxicated or in any way likely to create a disruption to the show. I understand that show organizers have final authority to make changes to booth locations. I understand that, if I require extra equipment (i.e. carpet, different table size, etc.) I must preorder with GES. Please be advised that the Athabasca Home & Outdoor Show will be booked on a first come first serve basis.
