1 2019 Public Works Road-E-O SPONSORSHIPS First right and/or refusal to sponsor next year s event at same level January 26, a.m. to 3 p.m. Department of Public Works You can be part of the City of North Port s 6th Annual Public Works Road-E-O on Saturday, January 26, Join us for a festive day that includes food vendors, bounce houses and other activities for children, vendor information tables, demonstrations, a big truck area and the highlight, a Road-E-O in which Solid Waste and Operations Divisions heavy equipment operators will compete in a skills testing course. SPONSORSHIP OPPORTUNITES: Bull Riding Sponsor - $1,500 Recognition as exclusive Presenting Sponsor of the event in all publicity and advertisements with prominent logo placement Special signage as a Presenting sponsor at the event Sponsor website link placed on City s website Complimentary large vendor space located near stage at the event to exhibit and/or distribute pre-approved promotional items Prominent recognition at the event Ability to have a single promotional item distributed at the Welcome tables Opportunity to address attendees during award s presentation Bareback Bronc Sponsor - $750 - (only five available) Recognition as Premiere sponsor of the event in all publicity Your company banner displayed at event Sponsor website link placed on City s website Complimentary large vendor space located in prime area at the event to exhibit and/or distribute pre-approved promotional items Prominent recognition at the event Ability to have a single promotional item distributed at the Welcome tables. 2 Steer Roping Sponsors - $ (only 10 available) Recognition as sponsor of the event in all publicity from date of commitment as a name mention Complimentary 10 x 20 information table space at the event to distribute pre-approved promotional items. Prominent recognition at the event Ability to have a single promotional item distributed at the Welcome tables. Barrel Racing Booth - $25 - (Up to 50) Information table space, 10 x 10, at the event to distribute pre-approved promotional items to attendees. Recognition at the event Buckaroo Exhibition - $10 Perform or give a presentation at the event to highlight your business 10 minutes allotted per spot Mutton Busting in Kind Provide an in-kind donation to help with the event. Priority will be given to those that apply first. The approval of this sponsorship application does not guarantee exclusivity of a food item or type of service/merchandise to be sold at the event. Sponsors deemed inappropriate for this family event will be declined - see Sponsorship Agreement. 4 The Public Works Road-E-O will take place rain or shine. The following information provides direction on what you need to make the day great. LOCATION: The Road-E-O will be held at the City of North Port Department of Public Works, 1100 N. Chamberlain Blvd. CHECK IN, SET UP & PARKING: Vendor check-in begins at 8:00 a.m. Booths must be set up no later than 9:30 a.m. You will receive your booth space assignment at least one week prior to the event. For safety reasons, all vendor vehicles must be removed from the festival area by 9:30 a.m. Reserved vendor parking will be marked on site. ROAD-E-O HOURS: The event hours are from 10:00 a.m. to 3:00 p.m. All booths are required to remain intact during that timeframe. You will be allowed to shut down your booth during event hours if necessary, however, no vendors will be permitted to breakdown and physically leave the event area prior to the 3:00 p.m. closing time. Due to safety concerns, vehicle access to the event area will remain closed during the 10:00 a.m. to 3:00 p.m. time period. Vendors may retrieve their vehicles at the conclusion of the event once the crowds have exited and the all clear signal has been given by event staff. SPACES: Booth space is normally 10 x 10 each and is uncovered - please bring your own tents, tables, chairs, canopies, generators, extension cords, etc. VENDORS ARE RESPONSIBLE FOR THEIR OWN SET UP AND EQUIPMENT. No electricity is available. If electricity is required for your booth, you will need to provide a generator. NOTE: extension cords and other possible tripping hazards must be covered. VENDOR ETIQUETTE: Vendor displays must remain in their assigned spaces. Loud yelling from the booth area and solicitation of sales or distribution of information outside of the booth area is not permitted. Vendors must arrange their booths to not interfere or obstruct view of other booths. Please place any trash/debris in your vendor area in the trash containers provided or secure in plastic bags. FOOD VENDORS: Food vendors will be permitted to sell the menu on their registration form and serve drink products (excluding alcoholic beverages). There may be some restriction on menu items to control duplicate items. Vendors must comply with safety standards set by The City of North Port. NOTE: Food vendors are requested to place non-flammable protection under their cooking element(s). Non-profits, please contact the Department of Health at for your temporary food license. For profits please call the Department of Business and Professional Regulations at A copy of the license must be present on site for review during inspection by the Fire Marshal. FIRE & LIFE SAFETY REQUIREMENTS: All vendors must comply with safety standards as established by the City of North Port. ALCOHOL/SMOKING: Alcohol use and Smoking are prohibited in the vendor area. SAFETY: Safety is important to all Road-E-O participants. Make sure your generator is in good working condition and open flame cooking under your tent is prohibited. Vendor spaces will be inspected by the Fire Marshall for compliance. Please note the City of North Port is not liable or responsible for the failure of vendor compliance with these requirements. Fees will not be refunded if a vendor fails an inspection. All vendors must meet the requirements outlined in the attached Fire & Life Safety Requirements Memo. CANCELLATION/NO-SHOWS: Fees paid by approved vendors are non-refundable. NON-COMPLIANCE WITH EVENT RULES & REGULATIONS AND SAFETY REQUIREMENT MAY RESULT IN REMOVAL FROM THE ROAD-E-O EVENT.
5 Public Works Road-E-O This Sponsorship Agreement (Agreement) is made between the City of North Port (City) and (Sponsor) for the Public Works Road-E-O on January 26, The Sponsor has agreed to contribute to the City at the level and contribution specified in the Sponsorship Application. In consideration of the Sponsor s contribution, the City agrees to provide the Sponsor with the benefits that correspond with the level and contribution as specified. The City may adjust such benefits, substitute benefits or provide other benefits upon mutual agreement of the City and Sponsor. The Sponsor agrees with the provisions of the sponsorship benefits and the following terms and conditions: In an effort to utilize and maximize the community s resources, it is the intent of the City of North Port to solicit sponsors and advertisers who provide services and/or products to residents of the community and whose product, message or service is consistent with the mission and values of the City. The City welcomes sponsorship and advertising opportunities that enhance our ability to deliver an additional source of financial, in-kind and technical assistance for the Public Works Road-E-O from both non-profit and for-profit entities and individuals. The City maintains its sponsorship program as a non-public forum and exercises sole discretion over who is eligible to become a sponsor according to the terms of this policy. PAYMENT The Sponsor s contribution shall be paid by check or credit card within 7 business days of the execution of this Agreement. If payment is not made within 7 days, the Agreement is subject to cancellation. LIMITATION OF SPONSORSHIP Unless otherwise provided, the cash or services and the sponsor benefits described in this Agreement are related solely to the Public Works Road-E-O being sponsored (as indicated in the Sponsorship Application) and its corresponding dates and time frames, and does not extend to other events or promotional activities. PERMISSIBLE SPONSORS AND MESSAGE CONTENT Sponsorships on City property are maintained as a non-public forum. The City intends to preserve its rights and discretion to exercise full editorial control over the placement, content, appearance, and wording of sponsorship affiliations and messages. The City may make distinctions on the appropriateness of sponsors on the basis of subject matter of a potential sponsorship recognition message and reserves the right to revise, reject or omit content. The City will not deny sponsorship opportunities on the basis of the potential sponsor s viewpoint. Sponsorship from an organization that is engaged in any of the following activities, that has a mission supporting any of the following subject matters, or that, in the sole discretion and judgment of the authorized representative of the City, is deemed to be unsuitable for and contrary to community standards of appropriateness for government publications, shall be prohibited on any City property: Commentary, advocacy, or promotion of issues, candidates, and campaigns pertaining to political elections Depiction in any form of profanity or obscenity, or promotion of sexually oriented products, activities, or materials Promotion of bigotry, prejudice and/or hate Promotion of the sale or use of firearms, explosives, or other weapons, or glorification of violent acts Promotion or depiction of illegal products, or glorification of illegal products, activities, or materials Page 1 of 2
6 The City recognizes that entering into a Sponsorship Agreement with an external entity does not constitute an endorsement of the entity or its services and products but does imply an affiliation. Such affiliation can affect the reputation of the City among its citizens and its ability to govern effectively. Therefore, any proposal for sponsorship of City programs, events or services in which the involvement of an outside entity compromises the public s perception of the City s neutrality or its ability to act in the public interest will be rejected. PERMISSIBLE RECOGNITION MESSAGES The City will not make any statements that directly or indirectly advocate or endorse a sponsor s organization, products, or services. Materials or communications, including, but not limited to, print, video, internet, broadcast, or display items developed to promote or communicate the sponsorship using the City s name, marks, or logo, must have written approval from the applicable Department Director or his/her designee. The City will neither seek nor accept sponsors that manufacture products or take positions inconsistent with local, state, or federal law or with City policies, positions, or resolutions. The establishment of a Sponsorship Agreement does not constitute an endorsement by the City of the sponsor s organization, products, or services. CONFLICTS Sponsor, and their employees, agents, contractors and representatives, shall not do, or omit to do, anything which may: (a) bring the Event or the City into disrepute; (b) disparage the Event or the City; (c) damage goodwill associated with the Event; or (d) be otherwise prejudicial to the image and/or reputation of the Event or City. If for any reason, the City is unable to deliver any of the Sponsor benefits outlined in the Sponsorship Opportunities, the City will inform the Sponsor as soon as reasonably practicable. The City may substitute alternative benefits of an equivalent value. In the event of any dispute arising out of this Agreement, the City and Sponsor shall use good faith to resolve their disputes amicably. In the event they are unsuccessful, the City and Sponsor agree not to commence litigation until attempting to resolve their dispute through mediation. LICENSE & USAGE Sponsor hereby grants the City: a) A limited, non-exclusive license to use the Sponsor s name and logo for purposes of communicating the Sponsor s contribution toward the sponsored events. The City may use the Sponsor s name or logo in marketing efforts online, in print, on promotional items, and in advertising and signage, in accordance with the sponsorship benefits. b) Advance approval of promotional items to be distributed at sponsored event. c) Permission to use Sponsor s representatives, signage and ads in photos or videos for the City s promotions on sponsorships. FORCE MAJEURE No party shall be responsible for events beyond its reasonable control, such as acts of God, weather delays, restrictions, security alerts or unforeseen commercial delays. If it becomes necessary to postpone the event due to inclement weather or other conditions beyond the City s control, it may be rescheduled for another time. The Sponsor shall then be entitled to, and the City agrees to give Sponsor, all of the advertising and sponsorship rights set forth herein at no additional charge to Sponsor. TERMINATION The City reserves the right to terminate any sponsorship should unfavorable conditions arise during the term of the Sponsorship Agreement. Decisions to terminate a sponsorship shall be made by the Department Director or his/her designee. AGREEMENT ACCEPTED BY Signature Date Organization: Page 2 of 2
