4 Introduction Ex Libris Rosetta is the only end-to-end digital asset management and preservation solution, enabling institutions to manage the entire lifecycle of their digital collections, from ingest and discovery to complete preservation. Rosetta includes a wide range of features to allow customers running existing Digital Assets Management (DAM) systems, including Ex Libris DigiTool, to upgrade to Rosetta. With the introduction of version 5.0 of Rosetta, existing DigiTool and Primo customers who move to Rosetta can benefit from an improved solution for digital asset management and complete active preservation. 7 Rosetta Key Functionalities Overview Deposit Module Rosetta consists of an improved deposit module which enables the construction of tailored deposit workflows. Each deposit workflow (known as a material flow) is built from several building blocks: 1. Metadata Form Defines the metadata form for users to fill in when depositing materials (can be automated or manual) 7

8 2. Content Structure Defines the structure of deposited content (METS, CSV, set of files, etc.) 3. Submission Format Defines how files are to be uploaded (NFS, FTP, http upload etc.) 4. Access rights, based on User IP, User Group, Login, LDAP, Plugin and more 5. Copyright statement 6. Retention policy, based on a specified time period (for example: items will be preserved for 7 years only) Additionally, the depositor workbench has been re-designed to enable managing deposits and receiving feedback about deposit statuses: 8

9 On the upper side of the above image, you can see the various deposit stages, including: Draft, Submitted, Returned, Declined and Approved. Granular level deposit approval hierarchy As part of the Rosetta assessment workflow functionality, institutions can create and customize assessment and approval workflows for deposits, based on business rules. For example: 9

10 All deposits from publisher A are regarded as safe and do not require any special checking. Deposits from publisher B are not safe and must be manually assessed for completeness (metadata, files etc.). Staff users can assess deposits and decide if they should be returned to the depositor for more actions, or they can decline the deposits so depositors cannot re-submit them. The following screenshot is taken from the assessor workbench; the drop-down list on the bottom-right contains the list of actions available to the staff user (Approve, Reject, Decline, etc.): 10

11 Management Module Rosetta contains a management module in which staff users log in to manage content (as opposed to system configuration). The management lobby is designed as a dashboard which displays all relevant information about deposits in one place: The left side of the page contains information about deposits; the middle section displays information about deposits being processed; and the right side of the page contains information about objects in the permanent repository (preserved items). 11

12 Web Editor Functionality One area in which Rosetta represents a functional improvement over DigiTool is the Web Editor, which provides features for managing the object s metadata, structure, and more. In Rosetta, this is part of the management module: In the above image, the left side of the page displays the object s tree structure, while the right side presents information and enables you to edit the level selected on the left side (the yellow highlighted text). 12

13 Collection Management and Publishing Functionality (Using Primo) Rosetta provides a collection management module which enables easy construction of complex collection hierarchies: Items can be automatically assigned to collections during ingest or using an automated process. Additionally, collection metadata can be published to search engines such as Primo and can be used to allow search and discovery for collection. 15 Publishing Module The Rosetta publishing module enables users to create sets (groups of objects) based on logical queries, and assigns these sets to a profile which defines how the items are to be published (for example: html, OAI-PMH, etc.). The following screenshot displays where to configure the sets and profiles: The publishing module also runs as part of the ingest module for all ingested objects. Rosetta Delivery Module The Rosetta Delivery module has been enhanced and updated to meet the requirements of Rosetta users and the developing standards in the market: Viewers For different file formats and different Intellectual Entity structures, new viewers are part of the out-of-the-box version of Rosetta. In addition, the mechanism for adding new viewers enables users to integrate new external viewers and manage the integrations through the Rosetta UI. Delivery Rules The Delivery Rule mechanism enables users to better control which representations can be viewed for each Intellectual Entity, based on the Entity s attributes and representations. 15

16 File Delivery Rules In addition to the existing viewers (such as JPEG, JPEG2000 and more), the following new viewers are provided out-of-the-box: 16

17 FlexPaper Book/Document Viewer (PDF, DOC, XLS, PPT) This is one of the most advanced and popular viewers for books and documents. It transforms the original format to an image, and in so doing, does not require any special browser plugins. For more information, see: 17

18 JWPlayer Audio/Video Viewer A flexible video player which supports playing video on the web (.mp4 for video and acc/.mp3 for audio). Buffering is available when using this player. For more information, see: Photo Album/Image Collection This viewer is used for photo albums. It enables auto playing of images, scrolling, and viewing of specific image titles and an entire album s metadata. 18

19 Internet Archive Book Reader This is an open source viewer created by Internet Archive. It provides all book viewing capabilities such as flipping pages, zoom-in and zoom-out, and more. It also supports mobile devices such as ipads and iphones. For more information, see: 19

20 Internet Archive Book Reader with METS ALTO Support This is the same book reader presented in the previous section, but with an ALTO plugin developed by Ex Libris. For more information, see: Preservation Planning and Action Functionality Rosetta contains a preservation module which enables creating preservation plans. Preservation plans are a predefined set of alternatives evaluated by the library staff to enable deciding which of the alternatives is to be used to handle specific risk. The screenshot below displays a preservation plan for TIFF format and its alternatives: 20

22 Preservation Knowledgebase One of Rosetta s core and unique preservation elements is its knowledgebase, consisting of the Format Library, Application Library, Risk Library and Technical Metadata Extractors Library. Using this knowledgebase, Rosetta can identify preservation risks and enable users to create preservation plans. The following screenshots demonstrate the format library, application library, and risk report (respectively): 22

23 Technical Analysis Interface Rosetta contains a technical analyst workbench which enables users to handle technical issues that occur during ingest. Using this workbench, users can replace files, assign format ID or even run a complete validation routine on failed files. The screenshot below demonstrates a view where a technical analyst can determine what is wrong with a specific deposit and the actions which are available for handling the issues: 23

24 Performance and Scalability Rosetta is built for large and small repositories and can be scaled up by utilizing a loadbalancing architecture; the architecture can scale up easily and transparently by adding more processing power as well as by load balancing the processing using Rosetta s queues and workers mechanism. The following diagram demonstrates Rosetta s deployment; the all-in-one servers in the middle can be increased or reduced, as needed. For example, to support large digitization projects, more servers can be added. 24

25 Conclusion Rosetta provides an end-to-end digital asset management solution, combined with advanced active preservation capabilities. In addition, as a future-ready solution, Rosetta is fully integrated with Ex Libris Alma, the Ex Libris cloud based, next generation library management solution. The integration enables Alma to harvest data from Rosetta through the Open Archives Initiative Protocol for Metadata Harvesting (OAI-PMH), and thus provide a single cataloging and publishing platform.
