1 University of Connecticut Entering Time: UCPEA Non-Exempt Overview This job aid instructs non-exempt UCPEA time reporters the steps necessary to complete their timesheet. Non-exempt UCPEA time reporters enter their time differently than the rest of the employee population because they are eligible to earn overtime and compensatory time under Article 18 of the collective bargaining agreement between the University and UCPEA. Per Agreement #11, non-exempt employees who are members of UCPEA shall be paid their regular rate of pay for each hour worked up to 40 in a work week, and will receive comp time for hours worked in excess of 40 hours in a work week. In this scenario, a non-exempt UCPEA employee is scheduled to work 35.0 hours per week (7.0 hours a day): In Week One, he works 35.0 hours, plus an additional 12.0 hours of overtime. In Week Two, he takes one day (7.0) hours of personal leave, 2.5 hours due to weather closure, and works an additional 12.0 hours of overtime. The employee will use the following time reporting codes to enter his time in accordance with his work schedule for this pay period: Code REG Purpose Enter for any regular, scheduled time worked. As a full-time, non-exempt UCPEA employee, his regular hours are 7.0 hours per day. CCE Enter for compensatory time earned. Employees will use this time reporting code when they have earned compensatory time for the week but have not worked a full 35.0 hours in one week. The employee took 7.0 hours of personal leave and 2.5 hours due to weather in the Week Two, thus he did not work all 35.0 scheduled hours this week. CEF Enter for compensatory time earned at the time and a half rate. Employees will use this time reporting code when they have earned compensatory time for the week and have worked over 40.0 hours in the week. In Week One, the employee worked all 35.0 regular hours, plus an additional 5.0 hours of straight overtime. The additional 7.0 hours of overtime are earned in CEF. PL Enter for any personal leave taken. The employee took 7.0 hours of personal leave on 8/3. LWWTR Enter in the event of delay, closure or early release due to weather closure. The employee recorded 2.5 hours of weather closure on 8/2. 1
2 OTST Enter for any overtime that is to be paid in straight time. Non-exempt employees are paid straight time for additional hours worked between hours. In this example, the employee is scheduled to work 35 hours per week, but works an additional 12 hours of overtime each week. He will enter 5.0 hours on 7/22 and 5.0 hours on 8/4 to earn 40 hours of straight time each week. Process Steps 1 Navigation: Main Menu > Core-CT HRMS > Self Service > Time Reporting > Report Time > Timesheet OR Timesheet on the Core-CT home page On the Timesheet page, the employee s regular scheduled time may auto-populate. 2 3 Note: If there is no change to the employee s schedule, he can click Submit. In this example, the employee must enter additional time reporting codes. A new reporting line needs to be added for each time reporting code. Click the plus sign (+) to add a new row. Only one time reporting code can be used per row. Note: Overtime is not earned on the day it is worked but rather on the week it is earned. In this example, the employee entered all overtime and comp time earned on one day as opposed to breaking it out in hours earned per day. 2
3 4 5 Note: The available balances for any leave and compensatory time you are eligible for are available at the bottom of the timesheet. Once all time and the appropriate time reporting codes are added, the employee is ready to submit her timesheet. Click Submit. Move to the Summary tab to review the reported time summary. 6 Here, the employee can see he worked 24.0 hours over his scheduled time (12.0 hours of overtime per week). 3
4 Move to the Reported Time Status tab to review all time that was sent for approval. 7 8 If necessary, click the Comments icon to add a comment about a line of reported time. Comments can be viewed by the Time Reporter and his/her Time Approver or Timekeeper. Lastly, move to the Payable Time tab. On this tab, the employee can view the payable time status of each reported line of time. Time with Needs Approval status has been sent to the employee s Time Approver and is pending approval. 4
5 Additional Scenarios: A full-time, non-exempt UCPEA employee is scheduled to work 35.0 hours per week: In Week One, he works 35.0 hours, plus an additional 10.0 hours of overtime. In Week Two, he takes one day (7.0) hours of sick time, and works an additional 10.0 hours of overtime. A part-time (50%), non-exempt UCPEA employee is scheduled to work 17.5 hours per week: In Week One, he works 17.5 hours, plus an additional 27.5 hours of overtime. In Week Two, he takes one day (3.5 hours) of sick time, plus 27.5 hours of overtime. A full-time, non-exempt UCPEA employee is scheduled to work 35.0 hours per week: In Week One, he takes one day (7.0) hours of sick time, plus 13 hours of overtime. In Week Two, he works a regular schedule. 5
