2 Centricity Data Dictionary - What is it? Where is it? - by Brenda Foltz The typical Data Dictionary contains such information as column names, types, and sizes, but also descriptive information such as titles, captions, primary keys, foreign keys, and hints to the user interface about how a field is displayed. The Centricity Data Dictionary is available to all Centricity users in both HTML and ZIP formats. There is a separate dictionary available for each version of the product. The Data Dictionary can be very useful when creating custom reports as well as querying the database for information. The Centricity Data Dictionary lists all tables and associated fields as well as information regarding data type, data definition, and foreign and primary keys. The Data Dictionary can be accessed as follows: Login with your logon credentials Select your Centricity version from the menu Select Documentation Select Data Dictionary HTML or ZIP. Pushing Orders From a Form to the Orders Module - by Donna Stone Would you like the ability to push orders from a form to the Orders module? If so, this can definitely be done! If you have the skills and tools to build forms yourself, you can incorporate this functionality into your custom forms using the MEL_ADD_ORDER data symbol. There are also CCC forms that provide this functionality. With either option, only tests and services can be pushed from a form to the Orders module due to current available functionality provided by the MEL_ADD_ORDER data symbol. Referral orders must be manually added to the Orders module. For those with CCC forms, the Test Management forms are good options. The form version you decide to customize and use will be based on how many items you need to have available on the form. The Test Management-CCC form has 2 tabs one for tests and one for services. The Test Management-2-CCC form has 4 tabs 3 tabs for tests and one tab for services. If you opt to utilize the 2-tab form, it can be customized using the 2
3 Test Mgmt Editor-CCC. The 4-tab form is customized via two separate editors Test Mgmt Editor-1-CCC (for the services tab) and Test Mgmt Editor-2-CCC (for the test tabs). Both forms serve multiple purposes. In addition to giving you the ability to push orders to the Orders module, the forms allow viewing of last signed values in the flowsheet via the test tab(s). You also have the ability to associate a primary diagnosis to each order prior to pushing to the Orders module. It s important to understand that these forms cannot be used outof-the-box and must be customized to match your Orders module setup. Item categories and descriptions must match what you have set up in your own database. In addition, you will need to customize the form to display the values for observation terms you are currently populating. If you would like to learn how to customize CCC forms or build custom forms, you can register for classes here. Providing Ongoing Educational Opportunities for EMR Users - by Shane Comeaux Do you provide ongoing educational opportunities for your EMR users? Is the EMR skill sets of your users at the same level as it was at EMR Go Live? Are users aware of opportunities that can enhance and advance their skill sets in EMR? Some of the convenient resources and opportunities to update your knowledge that are available to you include the EMR Companion Guides, EMR CBTs (computer based tutorials), EMR Workflow Documentation, GEHC classroom-based or regional EMR workshops and seminars, or possibly even in-house EMR Learning Meetings can be taken during lunch break. Don t forget those easily accessed opportunities such as F1-Help and access to the Demo database or Network Training database. Ensuring that users actively know about and take advantage of these opportunities will strengthen your EMR and overall clinical workflows. Do you have ongoing Learning Plans for users to continue their education long after EMR Go Live? Providing ongoing, structured educational opportunities to EMR users is vital to a clinic s continued success. In healthcare, it is common for credentialed staff persons to be responsible for obtaining continuing education units to maintain 3
4 their license and/or other credentials. Take this standard healthcare guideline and broaden it to all EMR users to include obtaining EMR continuing education units each year. Keep completion records of your EMR users for the various educational opportunities that they experience annually. As appropriate, utilize these compliance records for employee performance evaluations and other employee growth opportunities. Have you discovered Task Management? - Missy Parker This was a new enhancement with the release of CPS Task Management is the ability to create queues containing specific visits for follow-up work needed by your staff. Once queues are built by the Administrator or lead manager, CPS will automatically push visits meeting the criteria into those queues during the nightly jobs. However, if you wish to update your work queues, you have the ability to manually refresh them. Queues can be created by selecting multiple criteria. As an example, a queue can be created for visits with deposits, for a particular dollar amount and a specific range of patients. After the queue is built and contains visits, you have the ability to assign visits (tasks) to various staff members, or staff members can selfassign tasks from the queue. As staff are working their tasks, you have the ability to review staff progress either by reviewing the Task Management module itself, or utilizing the standard productivity reports available. Visits with Deposit Balance for Patients Last Name A-L Queue In this example queue, visits will be identified that have a deposit balance. With large patient populations, it may be an easier workflow to review, handle, and assign sections of patients among multiple staff members. Queue Criteria: Patient Last Name Range A-L Visit Deposit Balance - 1 (blank) 4
5 As a reminder, Task Management was not designed to replace Visit Owner workflows. This workflow can still be valuable to the organization. Task Management simply offers a similar, yet automated, workflow that can be used alone or in conjunction with Visit Owners. BU Information Report Now Available in CCP - by David Fox A new report has been added to the Tools section of the Centricity Customer Portal (CCP) for managers in the Manager Knowledge Position (KP). This new report is called the Business Unit Information report. This report will provide the manager who is responsible for staff CBT usage the ability to see all of the custom KPs they have created. The Business Unit Information report is especially beneficial when a manager has created numerous custom KPs (which is basically a group of staff members), and doesn't have a record of what custom KPs were created. Or, a new staff member has been added to the Manager KP and they need to know what custom KPs have already been created. The Business Unit Information report has been added to these available reports: Business Unit Employees - provides the names of staff that are associated with a specific KP Registrations by Business Unit - reports on what CBTs have been started and/or completed for each KP. Registrations by Course - reports on what staff have taken and/or completed a specific CBT Registrations by Student - provides all the courses a specific student has begun and/or completed.
