5 Introduction Talent Exchange along with Knowledge Exchange and Solution Exchange form the Taleo Talent Grid. Talent Exchange is an online talent sourcing community composed of Taleo clients who wish to create a shared candidate marketplace. Taleo clients who are part of Talent Exchange invite candidates of their choosing to become part of the talent pool. The candidate profile of candidates who give their consent can be downloaded by any Talent Exchange member (client). The information in this document is specific to Talent Exchange. 6 Talent Exchange Features for Recruiting Users Accessing Talent Exchange from the Taleo Product Page The Talent Exchange link is displayed on the Taleo product page provided the following conditions are met: Talent Exchange must be enabled in your zone in SmartOrg. The corresponding URL is included in the SmartOrg product configuration file. The Access Talent Exchange permission must be granted to the user type associated with your user account. 1. Click the Talent Exchange link. 2. On the User Sign In page, enter your user name and password in the corresponding fields and then click Sign In. Result The Talent Exchange dashboard is displayed. Accessing Talent Exchange From Within Recruiting The Access Talent Exchange permission must be granted to the user type associated with your user account. Path: Recruiting 1. 7 Result You are automatically authenticated in Talent Exchange and the Talent Exchange dashboard is displayed. Selecting the Talent Exchange Format to Display Talent Exchange Statuses in Candidate Lists The Access Talent Exchange permission must be granted to the user type associated with your user account. Path: Recruiting > Candidates 1. While a candidate list is displayed, click at the top right of the list. 2. Click the radio button next to Talent Exchange format. 3. Click Apply. Result The candidate list is updated and the Exchange Status column is displayed along with others. The status date displayed in the Last Activity column of the candidate list is updated only for statuses saved in the database. If you move your cursor over a status in the Exchange Status column and pause, the system displays a description of the status. If you want to sort a candidate list by Talent Exchange status, click Exchange Status in the candidate list header. Click the corresponding triangle repeatedly to toggle between ascending and descending order. Adding the Talent Exchange Status Column to a Personal Candidate List Format Path: Recruiting > Candidates 1. While a candidate list is displayed, click at the top right of the list. 8 2. Click next to the personal candidate list format you want to edit. 3. Configure the list format being sure to click the check box next to Status of the candidate file transmission to to select it and select the position of the new column. 4. Click Save. 5. Click Apply. Result The candidate list is updated and the Exchange Status column is displayed along with others. If you move your cursor over a status in the Exchange Status column and pause, the system displays a description of the status. If you want to sort a candidate list by Talent Exchange status, click Exchange Status in the candidate list header. Filtering Candidate Lists by Exchange Status The Access Talent Exchange permission must be granted to the user type associated with your user account. Path: Recruiting > Candidates 1. Select the Talent Exchange list format or add the Exchange Status column to a personal list format. (See Selecting the Talent Exchange Format to Display Talent Exchange Statuses in Candidate Lists or Adding the Talent Exchange Status Column to a Personal Candidate List Format.) 2. At the bottom of the Quick Filters panel, click Advanced Filters. 3. In the Available Criteria list, click Status of the candidate file transmission to Talent Exchange. 4. Click the check box next to each Talent Exchange status you want the system to display. 5. Click Add. 6. Click Done. Result Talent Exchange Recruiting User Guide Page 8
9 The system updates the candidate list, displaying only candidates whose Talent Exchange status matches the criteria you specified. Note: The criteria remain selected for the duration of the session unless you edit or clear them. The filter is not applied, however, when you log out of the system and later log in for a subsequent session. Talent Exchange Recruiting User Guide Page 9
10 Talent Exchange Status Code Name Functional description ADD_CANDIDATE Eligible Candidate has not yet been submitted and can be submitted to Talent Exchange. SENT_IN_PROGRESS Submitted (In Progress) After clicking Submit (before communicating with Talent Exchange) or while Talent Exchange is processing the request ( sent to the candidate). ACCEPTED Accepted When candidate has accepted to be sent to Talent Exchange and Talent Exchange has completed the action. ALREADY_EXIST Already Exists When a user in Talent Exchange tries to buy the candidate, the firstname, lastname, match another candidate and the user accepts to flag the candidate as a desired candidate. ERROR Error When problem occurs before, during and/or after communication with Talent Exchange. (Communication time out, error -1). DECLINED Previously Declined When a candidate has declined in the to be sent to Talent Exchange. DOWNLOADED Purchased When a candidate has been bought into Talent Exchange. EXCLUDED Excluded When a candidate is a match for the exclusion rules in the ATS administration and also the customized rules. DATA_MISSING Data Missing When first name, last name or address is missing. PERMISSION_DENIED Permission Denied When the user does not have the permission required to invite candidtes to participate in Talent Exchange. MANUALLY_EXCLUDED Manually Excluded When Exclude from Talent Exchange Action is selected in the candidate file. ERROR_ACCOUNT Account Unavailable When the user did not create an account in Talent Exchange or did not accept the legal agreement. Talent Exchange Recruiting User Guide Page 10
11 Posting a Requisition on the Talent Exchange Job Board The Access Talent Exchange permission must be granted to the user type associated with your user account. The Access Sourcing and Posting and Post requisitions permissions must be granted to the user type associated with your user account. Path: Recruiting > Requisitions 1. Click the title of the requisition you want to post to the Talent Exchange. 2. Click the Posting and Sourcing tab. 3. In the Services section of the tab, scroll down to the Sources subsection and click Modify 4. In the Quick Filters panel, click the Type field and click Talent Exchange in the list. 5. In the Source list at the right of the Quick Filters panel, locate Talent Exchange and click the corresponding Select. 6. Click Done. Result Talent Exchange is displayed in the Sources list on the requisition s Posting and Sourcing tab. Removing a Requisition from the Talent Exchange Job Board The Access Talent Exchange permission must be granted to the user type associated with your user account. Your system administrator also configured the user type such that those users can remove requisitions from the Talent Exchange job board. Path: Recruiting > Requisitions 1. Click the title of the requisition you want to unpost. 2. Click the Posting and Sourcing tab. Talent Exchange Recruiting User Guide Page 11
12 3. In the Services section of the tab, scroll down to the Sources subsection and click Modify 4. In the Quick Filters panel, click the Type field and click Talent Exchange in the list. 5. In the Source Selector list above the Quick Filters panel, pause your mouse pointer on Talent Exchange and click the x that appears. 6. Click Done. Result Talent Exchange is no longer displayed in the Sources list on the requisition s Posting and Sourcing tab. Inviting a Candidate to Join Talent Exchange The following steps and flowchart indicate the typical way in which candidates are submitted to Talent Exchange. The Access Talent Exchange permission must be granted to the user type associated with your user account. Your system administrator also configured the user type such that those users can send invitations to candidates to join Talent Exchange. The Talent Exchange status of a candidate must be Eligible. Path: Recruiting > Candidates 1. In the candidate list, pause your mouse pointer on the name of the candidate to whom you want to send the invitation and click the corresponding check box when it appears in the column. 2. Click More Actions and then click select Submit to Talent Exchange. Result The system updates the Exchange Status to: Submitted (In Progress). The system sends an message requesting the candidate to accept or decline the invitation to become a candidate in Talent Exchange. When the candidate accepts or declines the invitation, Talent Exchange retrieves the candidate through WebServices and updates the Talent Exchange status to Accepted or Declined (depending on the answer the candidate provided). If a candidate accepts the invitation and creates a Talent Exchange universal profile, the organization receives Talent Exchange credits that can be used for sourcing candidates within Talent Exchange. 13 Sending a Rejected Candidate an Invitation to Talent Exchange If you decide to reject a candidate in a career section workflow, you have the option of sending the candidate an invitation to be part of the Talent Exchange. When the check box corresponding to the Invite candidates to TE during the rejection process permission is selected, the system performs the same steps as when you submit a candidate who has not been rejected (an is sent and if the candidate accepts to participate, he/she is entered into the Talent Exchange). The Access Talent Exchange permission must be granted to the user type associated with your user account. The Invite candidates to Talent Exchange during the rejection process permission must be granted to the user type associated with your user account. Path: Recruiting > Candidates 1. Display the candidate file of the candidate you want to reject. 2. Click the More Actions field and then click Reject Candidate in the list. 3. Click the check box next to Submit to Talent Exchange. 4. Click Save and Continue or click Save and Close. Viewing and/or Editing the Talent Exchange Information in Application Medium and Source Tracking Talent Exchange must be included in the list of application mediums and source tracking available for selection. Path: Recruiting > Candidates 1. Click the name of the candidate you want to view or edit. 2. Navigate to the source tracking section and click Edit 3. You can click the How did we learn about this candidate? field and then click Talent Exchange in the list to select it. 4. In the Source Tracking section, you can click the General field and then click Talent Exchange in the list to select it. 5. Click Confirm. Talent Exchange Recruiting User Guide Page 13
14 6. In the same section, you can click the Specific field and then click Talent Exchange in the list to select it. Note: In career sections, Talent Exchange is specified only in the source tracking block. Note: When a candidate is created by Talent Exchange, the application medium is set to Talent Exchange in the candidate file automatically. Searching for Candidates in Talent Exchange The Access Talent Exchange permission must be granted to the user type associated with your user account. Path: Recruiting > Exchange > Talent Exchange 1. On the Dashboard tab, type your search criteria in the Find Talent field: keywords in the Candidate Search section and/or a location (city, state, country, zip code or postal code) in the Location section (you can use Boolean expressions). Talent Exchange displays a list of the candidates who correspond to your search criteria. 2. Optionally, you can refine your search by making selections in the left panel and clicking Apply. 3. In the right panel, you can click that corresponds to a candidate whose profile you want to download and the download will occur immediately. It is highly recommended, however, that you click the job title instead to examine the profile before downloading it. 4. Click Download. 5. To confirm the purchase, click Continue. Result The candidate profile is created automatically in Recruiting and the Talent Exchange universal profile is added to the candidate profile in the form of an attachment. Depending on your configuration, your account or your organization s account will be debited credits or funds will be billed to your credit card for each profile you download. Please visit for pricing and related information. Purchasing Options for Downloading a Candidate s Universal Profile There are three ways to pay for universal profiles you wish to download. Earned Credits When a candidate accepts an invitation to participate in the Talent Exchange and the person does not already have a universal profile, your organization receives credits. These earned credits are added to your Talent Exchange Recruiting User Guide Page 14
15 Talent Exchange bank Transaction tab and your users can use them anytime afterward to pay for other Talent Exchange candidates they want to download. Purchased Credits You can purchase credits in bulk from your profile tab using a credit card. At the time of this writing, one credit equals one dollar in the Talent Exchange. Credit Card You can associate a credit card with your individual or organization s account. When you download a candidate, the purchase is added to the credit card. At the time of this writing, one credit equals one dollar in the Talent Exchange. Specifying Default Account for Credit Purchases The Access Talent Exchange permission must be granted to the user type associated with your user account. Path: Recruiting > Exchanges > Talent Exchange 1. Click the Profile tab. In the Accounts section, click the Default radio button that corresponds to the account you want to designate as the default account for credit purchases. Internet Search Engines Taleo and its partner, Simply Hired, have worked to optimize jobs that Taleo clients post on the community job board. Consequently, when candidates perform searches on the Internet for jobs using a search engine such as Google or Yahoo, Taleo clients jobs typically appear at the top of the search results list. 16 Talent Exchange and Talent Business Edition Talent Exchange has been expanded to Taleo Business Edition. This translates into more clients in the Taleo Marketplace, more candidates invited to participate, and increased value of the Talent Exchange as a sourcing tool. Taleo Business Edition clients: Taleo Business Edition administrators can register their organization on the Talent Exchange. Recruiters can manually invite candidates from Taleo Business Edition. Taleo Business Edition recruiters can access the Talent Exchange directly in Taleo Business Edition. Taleo Business Edition recruiters can invite candidates to participate in the Talent Exchange. Taleo Business Edition recruiters can download candidates from the Talent Exchange directly. When downloading a candidate, Taleo Business Edition recruiters can associate a candidate with a requisition. Candidates can use their Taleo Business Edition profile when registering for the Talent Exchange.
