1 Introduction to GiftWorks, whether large or small, engage new donors and strengthen existing relationships. An event is more than a golf tournament, dinner, or 5 mile run; it s a platform for connecting people to your mission. Just like an appeal letter is one part of your fundraising strategy, events should be part of your overall, sound fundraising strategy. Like any other fundraising strategy, events must be well planned, documented and evaluated. They can yield big returns on investment, or yield big returns on connection. No matter the purpose of the event, you need to be able to see how your events and your donors interact. GiftWorks takes you through all the stages of an event. From the first discussion about what event to host, to the final evaluation, managing your event and donor information all in one place moves events from activity to action: awareness, involvement, education, giving, and support. Think of GiftWorks as an extension of your campaign and donor management. The same tools that you use in GiftWorks to analyze and improve your fundraising efforts are available in GiftWorks. Assign a campaign and appeal to your event. Did your donors respond to the event, or to a certain appeal? Track sponsorships and event involvement, and create a SmartList of event sponsors. Are there opportunities to involve sponsors in other activities or identify sponsors for higher sponsorship levels for next year s event? Create a SmartList of donors who attended your last event. Are these donors on your mailing lists to receive newsletters and other donor correspondence? encompass a broad variety of activities. 2 GiftWorks GiftWorks helps you manage events by segmenting event information in to major work areas: Event Summary, Activities, Participants, Reservations, Expenses, and Tasks. Event Summary GiftWorks provides an overall view of the planning details, goals and finances, sponsorships, and notes in the Summary tab. Many of the event information fields like location, category, status, and coordinator can be selected from the dropdown lists for planning other events. Complete as much information and details about the event as possible for better post-event analysis. Event Tip: Appeals are the actions that prompt a gift to be made to your organization. Just like the appeal letter, a phone call or personal visit, an event is an appeal that will prompt revenue and gifts. You will want to track and evaluate the effectiveness of your event like other appeals by assigning an appeal to the event. You can also assign a campaign to each of your events, whether they support your general fund or raise money for specific program activities. You will be able to see how your event reservation totals compare to other appeals for campaigns in the Event Reservations and Donation History by Campaign report. Activities Event activities are the components that define your event. Even if your event is a free activity, you can track participation by adding the activities of the event and then making reservations for those activities. You can further define the information collected for reservations by adding Reservation Fields to activities. Activity Details Price The price of an activity is what the donor will pay for the activity. This might be the price of a meal, for example, or for a sponsorship for the event. Sponsorship Event sponsorships can greatly offset the expenses of hosting an event and provide additional revenue for events. Their unique relationship to events can be tracked in GiftWorks when you check the Sponsorship box. You will be able to retrieve sponsor information in event Reports, SmartList criteria, and Mailings. Event Tip: Track event sponsorship information to build a picture of who supports your event, which events they support, and how much they support your events. You can create SmartLists of sponsors using various sponsorship criteria to provide insight for future event sponsorships. Don t let your sponsors go unnoticed or unrecognized either. Sponsorship details are available for mailings and other donor correspondence and communications. Questions? Comments? Visit 2

3 Restrict Quantity Check Restrict Quantity if you need to collect a unique set of information each time the activity is added to a reservation. For example, you might check Restrict Quantity if you need to collect the names of all four golfers for a golf foursome activity. You can still reserve the activity multiple times per reservation. If a corporation wants to purchase five golf foursomes for your golf tournament, for example, you will add the golf foursome activity five times to the corporate reservation. You will also collect the golfer names of each foursome when the activity is added to the reservation. # Available Indicate the number of the activity that is available to be reserved. GiftWorks tracks how many have been reserved and how many are still available. When you enter the number available of an activity, GiftWorks will calculate the number available and the price of the activity as the Potential Income for the event. The Potential Income for the event is listed under the Goals and Finances header in the Summary tab. Reservation Fields Add reservation fields to collect information about the activity being reserved. You can select a textbox, textbox dropdown, checkbox, datebox, or list dropdown field type. A Textbox Dropdown provides a list of values to select from when making the reservation, but you can type anything in the textbox. A List Dropdown provides a list of values to select from when making the reservation. You must select one of the values or nothing for the reservation. The Event Activities Summary report gives a summation of the list dropdown values and checkboxes (checked or unchecked) fields. You can add as many reservation fields as necessary to collect all the information for the activity reservation. Participants Everyone associated with an event starts as a participant. Participants can be donors, businesses who support your organization, volunteers, board members, and anyone else in GiftWorks. Add participants to your event by selecting donors from a SmarList or Mailing List. You can also add participants to an Invitation Group when you add them to your event participants list. Invitation Groups allow you to segment your event participants for customized communications during an event. Event Tip: Consider creating several strategic SmartLists of possible event participants before you start the Add Participants step. You might want to create a SmartList of all potential event sponsors, donors who have attended other events, or donors who live in the geographical area of your event. In the Settings section of GiftWorks, click on and then select Modify Event Invitation Groups. Add Invitation Groups that can be used for all of your events. You might want to create Invitation Groups of Sponsors, Event Volunteers, Board members, and General Donors. You can add donors to multiple Invitation Groups, and you can send mail to multiple Invitation Groups. You might, for example, send a save-the-date card to the Event Volunteers, Board members and General Donors Invitation Groups, and later send solicitation letters to the Sponsors Invitation Group. 4 Mailings GiftWorks includes numerous event fields that can be inserted into donor communications to make it easier for you to communicate effectively with your donors regarding events. You can send mail to all event participants, to selected event participants by status (declined, for example), to invitation groups, to donors with reservations and sponsorships, and to participants who have reserved specific activities. Event Tip: Add event donor letter templates to your letter library to select from when sending a mailing and customize the letters with event fields. You will have a selection of event letters to choose from for quick and easy mailings as your event progresses. Reservations Event participants must be donors in GiftWorks, or the donors can be added as new donors, in order to make a reservation for an event. When you make a reservation, click Add Activity and select event activities from the Activity dropdown list that apply to the reservation. You can add multiple activities to a reservation. Any reservation fields that were added for the activity will appear in the reservation dialogue box. You can view all the reservations for an event in the Reservations tab. Each donor with a reservation will be listed. You can click on the View Details link for each reservation to see more activity details. At any time during the event, you can view the Event Activity Summary report to view the full details of reservation activities, run the Event Reservation List report to view who has made reservations, or use the other event reports to check the progress of your event. Event Tip: Once a reservation has been made for an activity, the activity fields themselves can not be changed. How you create your event activities needs to reflect the information that you need to collect for an event. Once a reservation has been made, you can, however, edit the reservation and add, edit or delete activities and information captured in the reservation fields. If you add a textbox, for example, to record the name of a guest but do not have the information at the time the reservation is made, you can later return to the reservation and enter the guest name. Event Tip: If only one member of a household is making a reservation, add the donor as an Affiliate Donor and then add a household relationship for the Affiliate Donor. You now will be able to send event mail to just the Affiliate Donor instead of to the household. Expenses GiftWorks helps you to track your event expenses and include details about the expenses to better analyze your event, and to help with planning future events. Use the Analysis Income vs. Expenses Report to see how event income compared to event expenses. Tasks Keep track of all the tasks associated with an event in the Tasks tab. You can include any notes, due date and time for the task, and assign the task to someone. When you complete the task, mark the task as completed. Questions? Comments? Visit 4

5 Reports GiftWorks includes three types of event reports that you can view during and after an event for complete analysis of your events. Reports provide analysis across events, single events, and donor involvement in events. Like other GiftWorks reports, Event Reports can be filtered and customized. SmartLists You can use event criteria to create donor SmartLists to see donor and event interaction. Event Tip: Create a SmartLists of event sponsors from last year s major event for board members to solicit for sponsorships for this year s event. Questions? Comments? Visit 5

6 Managing an Event: Holiday Concert Example For the example, the annual holiday concert is being added to GiftWorks. From earliest planning stages to the thank you letters, this guide will show you how to manage an event in GiftWorks. Set Up Your Event As soon as you are ready to start planning your event, click Add an Event in the main work area of or in the Related Actions menu. Even events in the beginning phase of planning can be added to GiftWorks. You can add and edit event information as necessary. Enter the name, event location, start date, an RSVP date, event category and status, the campaign and appeal, event goals, and other event details. Event details are listed in the Summary tab. In order to get the full benefits of the reporting capabilities of GiftWorks, enter as much information as possible. Many of the event details can be used as criteria for SmartLists, Reports, and mailings. You can, for example, use the event Status, Potential Income, and Campaign as report filters. Questions? 7 Create the Packages, Tickets, or Activities for Your Event Your event will start to take shape when you define event activities. For the holiday concert, the activities include a general ticket, reserved seating ticket and name of donor listed in the concert program, program advertising, and event sponsorship. Add an Activity: General Seating TIcket The first activity added for the event is a general seating ticket. Donors can reserve multiple tickets for $50 each and there are 500 tickets available. Because this is a first-come, first-served activity, there is no other information that needs to be collected for the activity when a reservation is made. Likewise, when selecting this activity for a reservation, only the name of the donor making the reservation is collected. If donor Jane Adams, for example, purchases five tickets, you will only know that Jane purchased the five tickets and spent $250 for this event; other donors who attend with Jane will not be known. For other types of events, you may want to or need to collect the names of all donors attending the event. You can do this by having each participant make a reservation, or by adding textbox reservation field(s) to the activity. If you know, for example, that a dinner table seats eight and you need to know the name of everyone assigned to that table, you can add eight textbox fields to capture the names of all the guests. 8 Add an Activity: Reserved Seating Ticket The second activity added for the event is a reserved seating ticket and includes the donor name listed in the concert program. There are 100 reserved seats available, and tickets are distributed as reservations are made. Again, donors can reserve multiple tickets, and only the name of the donor making the reservation will be collected. Questions? Comments? Visit 8

9 To collect the name of donor to be listed in the program, click on the Add Reservation Field button when adding the activity. Select Textbox from the field type dropdown list. When the reserved seating ticket is selected as an activity for a reservation, a dialogue box will prompt you to enter the name of the donor for the program. Questions? Comments? Visit 9

10 Add an Activity: Program Advertising The third activity added for the event is program advertising. Anyone who wishes to reserve advertising must provide an ad for the program. To track who has and who hasn t provided an advertisement, you can add a checkbox reservation field to check when you receive ads. There is specific information about this activity that needs to be collected when it is reserved. Check Restrict Quantity so that the activity can only be added to the reservation one at a time. 11 The checkbox reservation field provides a yes/no value. Refer to the Event Activity Summary report for updates on the status of advertisers and who still needs to submit an ad for the program. Donors who have reserved advertising will be listed, as well as whether the checkbox has been checked, indicating that you have received the ad. Questions? Comments? Visit 11

12 Add an Activity: Sponsorship The fourth activity added for the event is a $500 sponsorship that includes two orchestra row tickets. Check Sponsorship to be able to track sponsor-specific information in GiftWorks. You will be able to retrieve sponsor information in event Reports, SmartList criteria, and Mailings. Restrict Quantity has also been checked for this activity so that the reserved seats also are added to the reservation. In addition to the sponsorship activity, orchestra row tickets have been added as an activity to add to sponsorship reservations. Activities for an event are listed in the Activities tab. You can get a quick view the number available, the number reserved, and the number remaining of each activity. Questions? Comments? Visit 12

13 Select People and Organizations to be Part of Your Event All events need people and you can easily manage who is invited, who accepts, who declines, and who attends in GiftWorks. Everyone associated with an event starts as a Participant. Participants can be your donors, areas businesses who support your organization, volunteers, Board members, or others in GiftWorks. Add participants to your event by selecting a SmartList or Mailing List. Because you can add multiple SmartLists and Mailing Lists to your event Participants list, spend some time reviewing your SmartLists and Mailing Lists before you add participants. Each SmartList of donors can be added to Invitation Groups when adding participants in order to customize mailings. Well defined SmartLists and Mailing Lists will better define Invitation Groups. For the event, a SmartList of donors who have contributed more than $2000 in the past year was created. These event Participants will be added to the Level I Donors Invitation Group. They will receive a special mailing inviting them to make an early reservation for a Sponsorship and orchestra reserved seats before the general donor mailing is sent. Questions? Comments? Visit 13

14 Select Send Mail for This Event from the Mailing Tasks menu. GiftWorks lets you specify who to send mail to in order to better customize your event mailings throughout an event and post-event. 15 Send Your Event Invitations One of the most important features of GiftWorks is the ability to insert database fields into a letter to customize donor communications. GiftWorks includes event fields to insert in to event communications. Questions? Comments? Visit 15

16 Mailing Fields Use the event mailing fields to customize donor communications before, during, and after events. Event sponsorship fields allow you to communicate with sponsors and recognize them for their important involvement in your events. You can also insert fields to create donor event letters with payments due, the amount for sponsorship activities, and other event financials. Questions? Comments? Visit 16

17 At any time during an event, you can send event invitations, reminders and other event correspondence to your event participants. You can send mail to all participants, participants by status (invited, accepted, declined, not invited), to invitation groups, donors with reservations and sponsorships, and to donors with reservations by activity or activities. After you make a selection, the GiftWorks Mailing Center will open. Reduce Event Mailing Expenses Postage expenses add up quickly especially when mailings total 200 or more pieces. GiftWorks 2008 Premium can help you save time and money when preparing USPS Standard Discounted mailings by automatically sorting your mailings by ZIP Code, printing mail tray labels, and providing you with the information you will need to complete the necessary documentation for the mailing. 18 Create Reservations for Your Event When you start to receive event reservations, GiftWorks will help you track and view all of the reservation information for your event. Reservations are made for the activities of your event. Even if an activity does not have a price, reservations for activities helps you to track which activities participants have reserved, how many activities are still available, and the amount expected for the event. You can add multiple activities to a reservation. The first reservation made for the holiday concert is by Todd Beckett. Questions? Comments? Visit 18

19 Todd is reserving a sponsorship for his first activity. Note that the quantity is greyed-out because the Restrict Quantity was selected when the activity was added. Todd can not order more than one at a time for this reservation. The sponsorship activity also includes a textbox reservation field to enter the sponsor s name. Questions? Comments? Visit 19

20 A sponsorship includes two orchestra-level reserved seats. After adding the sponsorship activity, click the Add Activity button again and select Orchestra Reserved Seating for Sponsors from the Activity dropdown list. Todd s reservation includes a Sponsorship for $500 and two complimentary seats. Todd sent a check with his reservation and the Amount Paid has been updated to reflect his $500 payment. Questions? 21 GiftWorks updates the participant status when reservations are made. Todd was included in the original participants list and his participant status has been updated from Invited to Accepted. Event Tip: You can track participants who can not attend by updating their status to Declined. You can create a SmartList of donors who declined an invitation to the Holiday Concert, for example, to send mail to those donors. Sorry you couldn t attend the Holiday Concert. We hope to see you soon at our next event. Please consider making a donation Donors who were not on the original participants list but make reservations will be updated to the Participant Status of Not Invited. Click the Reservations tab to view all reservations. Click View Details next to the donor s name to view the activity details. You can also edit and delete reservations. 22 If Todd Beckett wants to make a donation above the total amount due for his reserved activities, you can click on his name after the reservation has been made and then click on Add a Donation. You can then add a donation for Todd Beckett as you normally would. If your donors purchase an event ticket for $100 and $60 of that ticket is tax-deductible, you can add a $60 donation from the donor, for example, to provide a receipt for the donation. Note: Because GiftWorks tracks the amount of money spent on events, if you add the additional $60 donation, the donation history will show the donor as having made a $60 donation and the event history will show the donor spent $100 for the event. You can alternatively make the activity $40 and add a donation for the remainder of the price of the activity for each reservation. The amount spent on events, however, will only include the $40 even if the donor spent $100 for the event activity. If you enter an appeal and campaign for your event, and also select the same appeal and campaign for additional donations made with the reservations, you can view the Reservations and Donations by Campaign report to see both reservations and donations from the donor. 23 A second reservation has been made. Note that the donor has not paid for the tickets yet. You can use the Event Reservation List report to create a list of donors for the Holiday Concert and the Amount Due for their reservations. You can use the list at the box office when donors arrive. Event Tip: Update the Amount Paid for reservations and event expenses for an accurate view of the financial status of your event. GiftWorks tracks expected and actual event income, potential income, and net income in the Summary tab, and also in Reports. To get a complete summary of your event and the activities that have been reserved, including reservation field details, run the Event Activity Summary report. Questions? Comments? Visit 23

24 Create Tasks and To-Do Lists for Your Event You can track all of your event related tasks in GiftWorks. Click the Add a Task link in the main work area in the Tasks tab or in the Related Actions menu to add a task. You can select a task type from the dropdown list or enter your own task. Enter any notes, due date and time, and assign the task to someone. As you complete tasks, click the Complete link next to the task or click the task name and check the Completed box. Keeping a detailed list of tasks in GiftWorks will provide a historical reference for planning the event the next year. Questions? Comments? Visit 24

25 Track Event Expenses You can track your event expenses in GiftWorks to analyze and evaluate the financial success of your events. Click the Add an Expense link in the main work area in the Expenses tab or in the Related Actions menu. View the financial status of your event under the Goals and Finances header in the Summary tab. 26 Edit Event Participants You can edit and update existing participant information by selecting some or all participants in the Participants tab. You can change the Participant Status, Invitation Groups, and Attended Status. Event Tip: Not every donor who makes a reservation will ultimately attend your event. If you are able to keep an accurate count of who has attended your event, edit the Attended status to Yes. The more information you keep about your donors and your events, the better you will be able to create participant SmartLists for future events, customize mailings for events, set realistic goals and expectations for other events, create accurate timelines and due dates for event planning, and more. 27 Event Reports and SmartLists Event Reports provide details about the event in-progress as well as full overviews of your events after the last guest has left and the receipts have all been counted. Run the event analysis reports to understand and evaluate the effectiveness of your events. These reports will give you a measurable overview of events as they fit in to your total fundraising efforts. Reports can provide details for single events, for events associated with a campaign, or across all of your events over a specific period of time. You can also run donor event reports which provide details about how your donors participate in your events. Event Tip: Don t just count the money that was raised; take time to evaluate the overall impact of an event. Did you meet your income goal? How did your actual income compare to your potential income? What percentage of participants who were invited attended your event? Did you meet your attendance goal? What type of appeals do your donors respond to for campaigns? Do they spend more for events, or do they give more to other appeals? Can you identify sponsors for other events? Can you solicit sponsors for other events or program activities? Did tasks get completed on time? Do you need to start planning the annual event earlier? Use SmartLists to send thank you letters for event sponsors, donors who consistently support your events, donors who have just attended their first event, and more. Like other SmartLists, you can send mail to the donors or add them to a mailing list, make batch updates for the list, and use the SmartLists to create even further segmented and defined participant and invitation groups for future events. Event Tip: You can create donor SmartLists using different event spending criteria and donation criteria. Use these lists to move your donors from one level of giving to the next or to sponsor your next event. Use SmartLists to identify donors who might be interested in attending other events and program activities. Questions? Comments? Visit 27

28 Donors and Donor event information is listed under the Info header in the Details tab. At a quick glance you can see that Todd is a sponsor of the Holiday Concert and has total reservations of $500 to date for events. You can see how many event invitations he has received, accepted, and declined. Click on the reservation links to view the event details. You can also view event information in the Notes & Tasks tab that relate to this donor. There are numerous ways to incorporate events and donor information in to your overall fundraising efforts. As a GiftWorks add-in, you now have to power of GiftWorks to see how your donors interact with your events and organization. Hosting an event is more than just collecting addresses to use for future solicitations. Donors who attend events are showing an active interest in your organization beyond giving money. Using the Options Tab The Options tab in the SmartList definition screen (donor SmartLists only) lets you define up to four time periods for which you want to see specific information in your SmartList. By default, GiftWorks includes Current Year, Current Fiscal Year, Previous Year, and Previous Fiscal Year. Use the custom time periods to define other periods. The periods can be fixed (such as February 1, 2008 through February 29, 2008), or can be floating (Current Week, Year to Date, or Next 3 Months). To define a fixed date range, choose the Custom Dates option from the Date Range drop-down list. You can give each time period a Name, such as Next 3 Months. These custom periods can be useful for viewing comparative data on your SmartLists for multiple time periods. For example, to compare quarterly giving for each quarter of last year, set up a period for each quarter, then add the total giving field for each quarter to your SmartList. Questions? Comments?
