3 1 Introduction In addition to the possibility to manually enter the sample related data of feed samples into the QS database (module feed monitoring), these information can also be transferred to the database by a csv-file (Upload). This makes sense when a company has an internal database system where sample related data are recorded. All QS-relavant information can be extracted from this system as csv-file and can then be uploaded into the QS database. When a great number of samples shall be uploaded simultaneously into the QS-database, time can be saved by using the upload function. Vice versa, sample related data which have already been recorded in the database can be transferred into an excel-file (Download). 2 Style sheet csv-file To upload sample related data, a style sheet can be downloaded from the database website under the menu item support. The following points must be regarded while editing the style sheet: The style sheet is based on an Excel file. The table elements must be formatted as text During the entering and editing of data, the file can be saved in Excel-format (ending.xls behind the filename). The final file for the upload has to be saved in csv-format (ending.csv behind the filename) All columns of the style sheet must be maintained for uploading, even though they are not (must not) be filled. The headings and the order of the columns must also be maintained as in the style sheet. 3 File content The style sheet contains mandatory fields which must be filled in. There are also free text-fields for additional entries. The file does also contain information fields which have to be left blank for the upload. Entries are made in these fields during the download, when the concerning information have been entered in the database. A detailed description of the technical process of the file upload is included in the database instructions for the module feed monitoring, which can also be found on the database website (menu item Support ). The second part (max. 10 digits) can be created individually, but has to be distinct and is checked during the upload. If nothing is entered in this field, the second part of the ID is created by the database. There are different types of samples. A regular sample corresponds to the QS-control plan 1 = Regular sample: Sample, which falls under the regular monitoring of QS (see the guideline feed, chapters and , respectively and ) 2 = Gate-Keeping: Sample taken within the scope of the gatekeeper regulation (Annex 10.2 to the guideline feed) (see the guideline feed chapter and , respectively) 3 = Positiv release sampling: Sample taken within the scope of the positive release sampling regulation (see the guideline feed chapter ans , respectively und ) 4 = Special release: Sample taken within the scope special release regu lation (gatekeeper regulation, Annex 10.2 to the guideline feed; see the guideline feed chapter and , respectively) Page 3 of 41

You can find the QS ID of the laboratories in the table of the QS-approved laboratories for feed monitoring on (mandatory field, if a laboratory has to be charged directly for the analysis). Here you can enter the QS ID of the laboratory, which is in charged of the second analysis. This field has only to be filled in case of a maximum value, action threshold or QS guidance value.
