2 Project Management System With a good project management system in place, You should be able to answer the following: What tasks must be performed, and in what order, to produce the deliverable of the project? When should each task be performed, and what is the final deadline? Who will complete these tasks? How much will it cost? What if some tasks are not completed as scheduled? What s the best way to communicate project details to those who have an interest in the project? Good project management does not guarantee the success of every project, but poor project management often leads to failure. 3 MS Project uses Create project plans Chose level of detail: summary or more detailed Schedule automatically or manually Manage project: Tasks Costs Work Resources View project data: Grouping, highlighting, sorting, filtering Collaborate and share data within organization For multiple projects: resource pools, consolidated projects and cross-project links. 4 Lab 01: Tour of MS Project files: Objective: use different views to see Project information 1. Open Guided Tour_Start from the Chapter01 practice file folder 2. Resource Assign Resources (look around) Close (note: R = resource Requested to work on task; D = Demanded (must) work on task) 3. View Data Sort 4. View Task Views Calendar (look around) Gantt Chart 5. View Task Views down arrow below Gantt Chart 6. Format Gantt Chart Style More Esc key 7. Bar Styles Format Bar Styles Cancel 8. View Zoom down arrow next to Timescale box Days 9. View Split View Timeline 10. Click anywhere in the Timeline view 11. View Split View clear Timeline check box 12. View Resource Views Resource Sheet / Resource Usage 13. View Task Views Gantt Chart 14. Scroll to task 12 in Task name column, click name of task View Split View Details Marek Ł. 5 Lab 02a: Creating a task list Objective: develop a project plan; organize groups of closely related tasks into phases Note: it is best to work from the book Microsoft Project 2010 Step by Step! I. Creating a New Project Plan & Entering Task Names, Durations and Milestones 1. File New Available Templates Blank project Create 2. Project Properties Project Info. Start Date Jan. 2, 2014 ok 3. File Save (save as Simple Tasks ) Save 4. Click cell below Task Name heading type Assign launch team members Enter enter the following task names: Design and order marketing material, Public Launch Phase, Distribute advance copies, Coordinate feature articles, Launch public web portal for book. 5. File Options Schedule (look around) Cancel 6. Click cell below Duration heading type 1d for task 2 enter Check with Marketing team for task 3 nothing for now for task 4 type 2d for task 5 in the Start field enter and in the Finish field enter for task 6 in the Start field enter About 2 weeks before launch complete 7. Click name of task 3 Task Insert Milestone (=significant event) type Planning complete! 6 Lab 02b: Organizing tasks II. Organizing Tasks into Phases and Linking Them: 1. Select tasks 5 through 7 Task Schedule Indent Task 2. Select task 1 Insert Summary rename new Summary Task to Planning Phase 3. Select tasks 3 and 4 Task Schedule Indent Task 4. Select tasks 2 and 3 Task Schedule Link the Selected Tasks 5. Select task 4 Properties Info. Predecessors click empty cell below Task Name heading and click the down arrow that appears on the Task Name list click Design and order ok 6. Select tasks 6 through 8 Task Schedule Link Tasks 7. In the Gantt Chart view click and drag the Gantt bar for task 1 to the Gantt bar for task 5 8. In the duration field for task 3, type 2w Enter 9. 7 Lab 02c: Scheduling III. Switch Task Scheduling from Manual to Automatic: 1. Select tasks 2 through 4 Task Tasks Auto Schedule 2. Select task 6 Task Tasks Auto Schedule 3. Select task 7 and 8 Task Tasks Auto Schedule 4. Task Tasks Schedule Mode Auto Schedule 5. In the Task Name field below task 8, type Launch social media programs for book Enter 6. Select tasks 8 and 9 Task Schedule Link the Selected Tasks IV. Setting Nonworking Days: 1. 8 Lab 02d: Plan s Duration and Documenting V. Checking the Plan s Duration 1. Make sure Task Mode for all tasks is Auto Schedule 2. In the Timeline view above the Gantt Chart, note the project s current start and finish dates (note: if Timeline is not shown View Split View check Timeline box) 3. Project Properties Project Info. Statistics Close VI. Documenting Tasks and the Project Plan 1. Select task 6 Task Properties Task Notes type Get recipient list from publicist ok 2. Right-click task 8 click Hyperlink in Text to display box, type Add the spring catalog here, in the Address box, type ok 3. File Info Project Info Advanced Properties set Subject : New book launch schedule, set Author your name, set Company : Lucerne Publishing select Save preview picture ok 4.
