3 1. INTRODUCTION 1.1 Guide Instructions Topics listed in the table of contents can be jumped to by pressing 'Ctrl+Click' to follow the hyperlink to that topic. Helpful hints, notes and reminders are indicated with a pointed hand symbol and text box. Please note that this icon is where you will find helpful hints, tips and reminders. TRIRIGA PARKING PROCESS TRIRIGA is a web-based integrated facility management system (IFMS) that tracks and manages real estate activities, including paid parking for the Department of Management Services (DMS). TRIRIGA is replacing the FACT system. TRIRIGA s Paid Parking process flow is as follows: Parking Representative (APR) will submit Parking Request forms on behalf of drivers (refer to Section 4 of this guide). When a termination of parking occurs, the APR will submit a Return Parking request form (Section 5). The Parking Administrator (PA) at DMS will either approve, return (deny) the parking request or request clarification. TRIRIGA will send the APR an automated of the PA s decision. Approved parking request will also send notifications to the Payroll Parking Representative (PPR) and Facility Manager (FM) for the garage/lot. (Section 6). If the PA requests further clarification on a submitted parking request, the APR will respond through TRIRIGA s action items (Section 7). The Lot Inventory Report provides a list of tags distributed to the APR s agency (Section 8). Through use of the report, APRs can assign or un-assign tags to a driver in TRIRIGA (Section 9) AFTER receiving notification of approval from TRIRIGA via . 6 4. SUBMIT A PARKING REQUEST Effective June 26, 2017, TRIRIGA will automatically assign drivers to the parking tag on all approved parking request. Step-by-Step instructions: How to submit a parking request form 1. After logging into TRIRIGA, your homepage will display. From the Request Central section in the upper left, click the arrow next to Parking to expand the options. 2. Then click on "Need Parking", to submit a new parking request. 1 2 Page 4 3. The Parking Request form will open in a separate window. This training guide will start from the beginning of the form to the bottom. IMPORTANT From the Request is For field click the radio button next to Someone Else". To request parking for yourself, click the radio button next to Me.

In the Requested for section, click on the magnifying glass next to the Name field. 4 Effective June 1 st, 2017 For Scramble Parking requests, APRs must select a driver on the parking request form. 5. A search window will open for you to locate the driver. Type the driver first and last name (as listed in Peoples First) into the Name text box. For annual agency contracts, type Contract into the name field (without quotation marks). Do not put a space after the name and verify spelling is correct. Then click the Enter key. 6. From the search results, click the radio button next to correct driver to select him/her (a). Verify you selected the correct driver by the Primary Organization (Employer) listed (b). 7. Then click the OK link located in the top right corner. The search window will close. 7 6a 5 6b Page 5

8 NOTE: If there is no Primary Organization or listed, you can verify the correct driver by his/her People First number. a. To locate the People First number, click on the driver s name from the search results. b. A new window will open. The driver s People First number will be listed in the ID field. c. Once the correct driver is located by the People First ID number, click the X button in the top right corner to close the window. Follow steps 6 and 7 above, to select the driver. a c b If the driver cannot be found, do not submit the Parking Request and follow the instructions below: For Drivers with a People First Number: Allow one day processing time from the date your Human Resources department added the driver to People First. TRIRIGA will pull People First data the following business day. The driver must be in TRIRIGA to submit a parking request. For Drivers who will not have a People First Number (Temp, Contractors and Vendors): Submit the completed Request to Add People without a People First ID to TRIRIGA form located on the DMS TRIRIGA Training website to AskTRIRIGA@dms.myflorida.com. Once the driver is added, an notification will be sent to you. Then proceed to submitting the parking request form. Page 6

9 8. The Requested for section will populate with the driver s information. From the next section titled Request Details, click on the magnifying glass next to the Garage or Lot field A search window will open. To locate the Garage or Lot of the parking request, click Clear Filters located at the top of the search window. 10. Select 100 from the Show field located in the top right corner of the search window. This will display the list of Garages and Lots on one page. 11. Type the name of the Garage or Lot into the Name column s text field, as listed in the Appendix. Then click the Enter button on your keyboard to complete the search. Or, scroll through the list to locate the Garage or Lot. 12. Click the radio button next to the Garage or Lot of the parking request, to select it. 13. Then click the OK link in the top right corner. The search window will close and the Garage or Lot will populate on the Parking Request form Page 7

10 14. From the Request Details section s Floor field, click on the magnifying glass to select from the levels in the Garage/Lot. A floor must be selected in order to see available parking tags A search window will open with a list of floors for the garage or lot. Click the radio button next to the floor where parking is being requested. 16. Then click on the OK link in the top right corner. The search window will close and the floor will populate on the Parking Request form In the Request Details section, the Organization field needs to contain the division/agency that the parking tag is assigned to. This information is located in the Lot Inventory My Org report s Department column (Section 8, page 24, Step 3d.). 18. If the parking tag s Organization (division) is correct, skip to step 21. To correct the Organization the parking tag is assigned to on the form, click the magnifying glass in the right of the Organization field. Page 8

11 An Organization search window will open. Follow the steps below: a. In the Organization Type column s textbox, type (without quotes) if the tag is assigned to a division. For tags assigned to the agency only, type Department/ (without quotes) into the textbox. b. In the Hierarchy Path column s textbox, type the agency s name (as listed in the Appendix). Then click the Enter key on your keyboard. c. From the search results, click on the radio button to the left of the division the tag is assigned to in order to select it. NOTE: If you indicated in step a. that the tag is assigned to the agency only, the search window will automatically close and the agency will populate on the request form. Proceed to step 21. d. Then click the OK link in the top right corner of the search window. 19d 19a 19b 19c 20. On the Parking Request form, the Organization field is now populated. This field must be populated in order to see available parking tags. Page 9

12 From the Describe Your Request section, enter a brief description of the parking request for the Paid Parking Administrator s review. Also, indicate if the request is for temporary parking and the length of the temporary contract From the next section titled Parking Tags, click the Find link located to the far right of the section. 22 Page 10

13 23. A search window will open with a list of parking tags associated to the Garage/Lot, Floor & Organization (/) selected on the Parking Request form. These fields must be accurately populated on the form or no parking tags will display. Click the down arrow next to the Show field (top right corner). You may select up to 1000 from the dropdown list. 24. Type Available (without quotes) into the text box below the Status column. This allows you to view available (unassigned) Parking Tags. Do not enter spaces after Available. Then press the Enter button on your keyboard to complete the search. 25. Scroll through the list of available Parking Tags to locate the one(s) being requested. Or enter search criteria into the column s text boxes. Example: Enter the last four digits of the parking tag into the Permit Name column s text box. Do not enter spaces after the four digits. Then click the Enter button on your keyboard to complete the search. Note The Permit Name consists of the Floor Level Last four digits of the parking tag. 26. Click the checkbox next to the Parking Tag(s) being requested. 27. Then click the OK link (top right of search window). The window will close with the Parking Tags populated on the Parking Request form From the Payment Details section, fill out the following field s information: a. Effective From: enter the effective date of the parking contract. b. Deduction Frequency: Click the down arrow to select the Payroll deduction for the requested parking (annually, biweekly or monthly). Select Monthly for temporary contracts. c. Rate: this field will auto calculate based on the tag and Deduction Frequency selected above. The amount can be updated if necessary by deleting the number that was populated and entering the correct amount. d. Access Card #: enter Access card number, if known. NOTE: Once the Access Card # is known, please provide that information to your DMS Paid Parking Administrator. e. Temporary Tag: check this box if the parking request is for a Temporary contract. f. Temporary Tag Start and End: enter the start and end date of the contract. Page 11

14 28 a b c d e 29. This step ensures the Payroll Parking Rep receives notification of an approved parking contract for payroll parking deductions. For temporary, annual or scramble parking contracts skip this step and proceed to step 35. For all others, click on Payroll Parking Rep to select the individual responsible for payroll parking deductions for the driver s agency of employment (See Appendix for a list of Payroll Parking Representatives by agency). REMINDER: do not select a Payroll Parking Rep for scramble parking since there is no charge. f A Contact Role form will open in a new window. From the form s Contact section, click on Find (top right of section) to locate the Payroll Parking Representative. Page 12

15 A search window will open. In the Name column s text box, type the Payroll Parking Representative s full name, as listed in People First (see Appendix). Do not put spaces after the name. Then click the Enter key on your keyboard to complete the search. 32. From the search results, click the radio button next to the Payroll Parking Representative from the driver s agency. If the search results indicate multiple people with the same full name, then verify by his/her address, to ensure the correct individual is selected. 33. Then click OK in the top right corner of the search window. The window will close The Payroll Parking Representative will be listed on the Contact Role form. Then, click the Save & Close button in the top right corner of the form. 34 Page 13

16 35. The Contact Role form will close. You will be brought back to the Parking Request form. Each required section of the form is now complete. The Other Tags Associated to Requested for Person section will list any Parking Tags already assigned to the driver. 36. Once complete, click the Submit button in the bottom left corner of the form. The window will close and the parking request is submitted for approval From the TRIRIGA homepage, click Sign Out located to the top right corner of the screen. 36 An notification from TRIRIGA will be sent to you once the submitted request is received. After the Parking Administrator, has reviewed your request he/she has the option to approve, deny or request clarification. A TRIRIGA generated will notify you of the Parking Administrator s decision. See the Notification section of this guide, for sample references (Section 6). 17 5. RETURN (TERMINATED) PARKING REQUEST When a termination of parking occurs, the APR will submit a Return Parking request form in TRIRIGA. Approved Return Parking requests will prompt TRIRIGA generated notifications to the APR, Payroll Parking Representative and DMS Facility Manager. REMINDER: Effective June 26, 2017, TRIRIGA will automatically un-assign drivers to the parking tag on all approved Return Parking requests. Before submitting the Parking Request form, APRs will need to have the following information: Which Organization the parking tag is assigned to. This information is listed in the Department column of the Lot Inventory My Org report (refer to Section 8, page 34, step 3d). The number one reason for not finding a parking tag is caused by not running the Lot Inventory My Org report prior to the start of a request. In TRIRIGA, employees, contractors and vendors are assigned at the level (except some DMS employees). In contrast, most but not all parking tags are assigned to an s division (program, bureau etc.). Step-by-Step instructions: 1. After logging into TRIRIGA, your homepage will display. From the Request Central section in the upper left, click the arrow next to Parking to expand the options. 2. To submit a parking cancellation, click on "Return Parking". 1 2 Page 15

18 3. The Return Parking request form will open in a separate window. This training guide will start from the top of the form, to the bottom. From the Request is For field click the radio button next to Someone Else". To return parking for yourself, click the radio button next to Me In the Requested for section, click on the magnifying glass next to the Name field. 4 Effective June 1 st, 2017 For Scramble Parking requests, APRs must select a driver on the parking request form. 5. A search window will open for you to locate the driver. Type the driver s first and last name into the Name text box. For annual agency contracts, type Contract into the name field (without quotation marks) as a placeholder for the driver. Do not put a space after the name and verify spelling is correct. Then click the Enter key on your keyboard to complete the search. 6. From the search results, click the radio button next to correct driver to select him/her (a). Verify you selected the correct driver by the Primary Organization (Employer) listed (b). 7. Then click the OK link located in the top right corner. The search window will close. Page 16

From the next section titled Request Details, click on the magnifying glass next to the Garage or Lot field A search window will open. To locate the Garage or Lot of the Return Parking request, click Clear Filters located at the top of the search window. 10. Select 100 from the Show field located in the top right corner of the search window. This will display the list of Garages and Lots on one page. 11. Type the name of the Garage or Lot (as listed in the Appendix) into the Name column s text field. Then click the Enter key on your keyboard to complete the search or, scroll through the list to locate the Garage or Lot. 12. Click the radio button next to the Garage or Lot of the Return Parking request to select it. 13. Then click the OK link in the top right corner. The search window will close and the Garage or Lot will populate on the Return Parking Request form. Page 17

Click the radio button next to the garage floor of the cancelled parking. 16. Then click on the OK link in the top right corner. 21 17. In the Request Details section, the Organization field needs to contain the agency/division the parking tag is assigned to. Reminder: You can locate that information Lot Inventory My Org (refer Section 8) column Department (Section 8, page 24, Step 3d.). 18. If the Organization the parking tag is assigned is correct, skip to step 21. To correct the Organization on the Return Parking Request form, click the magnifying glass to the right of the Organization field An Organization search window will open. Follow the steps below: a. In the Organization Type column s textbox, type (without quotes) if the tag is assigned to a division. For tags assigned to the agency only, type Department/ (without quotes) into the textbox. b. In the Hierarchy Path column s textbox, type the agency s name (as listed in the Appendix). Then click the Enter key on your keyboard. c. From the search results, click on the radio button to the left of the division the tag is assigned to in order to select it. NOTE: If you indicated in step a. that the tag is assigned to the agency only, the search window will automatically close and the agency will populate on the request form. Proceed to step 21. d. Then click the OK link in the top right corner of the search window. 19d 19a 19b 19c Page 19

22 20. On the Parking Request form, the Organization field is now populated. This field must be populated in order to see available parking tags From the Describe Your Request section of the Return Parking Request Form, enter a brief description of the cancelled parking request, for the Paid Parking Administrator s review. Also indicate if it is a temporary contract and include the original end date From the next section titled Parking Tag to be Relinquished section, click the Find link located to the far right of the section A search window will open with a list of Parking Tags associated to the Organization (/), Garage/Lot and Floor. These fields must be accurately populated on the form or no parking tags will display. Click the down arrow next to the Show field (top right corner), to display more Parking Tags on one page. You can select up to 1000 from the dropdown list. Page 20

23 24. To locate the parking tag, type the driver s name into the text box below the Assigned To column. Do not enter spaces after the name. Then press the Enter key on your keyboard to complete the search. 25. You can also enter the last four digits of the parking tag into the Permit Name column s text box. Do not enter spaces after the four digits. Then click the Enter key on your keyboard to complete the search. Note The Permit Name consists of the Floor Level Last four digits of the parking tag. 26. Click the checkbox next to the returned parking tag, to select it. 27. Then click the OK link (top right of search window). The window will close with the parking tag(s) populated on the Return Parking Request form. Note Status Color column: Green = Available tag, Blue = Assigned tag From the Payment Details section, fill out the following field s information: a. Effective Date of Return: enter the effective date of the cancellation. b. Deduction Frequency: Click on the dropdown list and select the Payroll deduction for the parking agreement (annually, biweekly or monthly). For temporary contracts, select Monthly. c. Rate: this field will auto calculate based on the tag and Deduction Frequency selected above. The amount can be updated if necessary by deleting the number that was populated and entering the correct amount. d. Access Card #: enter Access card number (Sonitrol number) if known. 29. This step ensures the Payroll Parking Rep receives notification of approved terminated parking contract for payroll parking deductions. For temporary, annual or scramble parking contracts skip this step and proceed to step 35. For all others, click on Payroll Parking Rep to select the individual responsible for payroll parking deductions for the driver s agency of employment (See Appendix for a list of Payroll Parking Representatives by agency). REMINDER: do not select a Payroll Parking Rep for scramble parking since there is no charge. Page 21

Then click the Enter key on your keyboard to complete the search. 32. From the search results, click the radio button next to the Payroll Parking Representative of the driver s agency. If the search results indicate multiple people with the same full name, then verify by his/her address, to ensure that the correct individual is selected. 33. Then click OK in the top right corner of the search window. The window will close. Page 22

25 The Payroll Parking Representative will be listed on the Contact Role form. Click the Save & Close button in the top right corner of the form The Contact Role form will close. You will be brought back to the Return Parking Request form. Each required section of the form is now complete. To submit, click the Submit button in the bottom left corner of the form. The window will close and the Return Parking Request form is submitted for approval From the TRIRIGA homepage, click Sign Out located to the top right corner of the screen. Page 23

26 36 An notification will be sent to you once the submitted request is received by TRIRIGA. After the Parking Administrator has reviewed your request he/she has the option to approve, deny or request clarification. A TRIRIGA generated will notify you of the Parking Administrator s determination. As a reminder, approved Return Parking requests will send TRIRIGA generated notifications to the APR, Payroll Parking Representative and DMS Facility Manager. See the Notification Section 6 of this guide, for sample references. REMINDER: Effective June 26, 2017, TRIRIGA will auto-assign drivers to the parking tag on all approved parking request. Page 24

27 6. NOTIFICATIONS Parking Administrators have the option to Return (deny), Request Clarification or Approve submitted parking requests. Provided below are notifications TRIRIGA will send the APR. The Click to Open the Linked Record OR the Record for Approval hyperlink in the will take you to the TRIRIGA login page. Once logged in, a read only copy of the submitted Parking Request form will display. Step-by-Step instructions: Submitted Request: TRIRIGA will send the APR an notification indicating the Parking Request was received. Approved or Denied (Returned): Once the Parking Administrator has approved or denied the submitted Parking Request, TRIRIGA will send the APR an notification of the decision. Page 25

28 Request Clarification: If the Parking Administrator has questions regarding the submitted Parking Request, you will receive an Action Item . Do not click on the Submit Comment box. Proceed to Section 7 Navigate to Action Items for instructions on how to review the question(s) and submit a response. X Page 26

29 7. NAVIGATE TO ACTION ITEMS & RETURNED REQUESTS If the Parking Administrator has questions regarding a submitted parking request, he/she may submit a Request Clarification notification to the APR, through TRIRIGA. The system will send an notification of an Action Item for the APR to respond to by following the steps below. 7.1 Navigate to Action Items Step-by-Step instructions: 1. From your homepage, locate the Reminders Request Central section on the left side and click on Action Items You will be brought to a list of Action Items awaiting your review. 3. In the Action Items section, click on the Required Review action item to open the request for clarification submitted by the Parking Administrator. 3 Page 27

30 4. The record will open up in a separate window. Please disregard the Required & Attention! sections since these provide instructions for the Parking Administrator only You have the option to view a copy of the submitted Parking Request form. To do so, click on the Linked Record located in the Linked To section. The copy will open in a separate window 6. To view the Parking Administrator s Requested Clarification comments regarding the submitted parking request, locate the Reviewer List section. Then click on the Requested Clarification hyperlink in the Review Status column. 6 5 Page The details will pop up in a separate window. The Parking Administrator s question or comment for your review is located in the comment section (bottom of the window). After review, click the X button to close the window.

31 You ll be brought back to the Action Item window. To send a comment that provides the requested clarification, click the Submit Comment button (top right of window). 8 Page A Submit Comment pop up window will open. Enter the comment in the Review Comment text box.

32 10. Once you are finished, click the Continue button (top right of window). The pop up window will close and the comment will be sent to the Parking Administrator for review Once you have submitted the Action Item by entering a comment, the item will be removed from the Action Items section. You may have to refresh the page or sign out and sign back in to TRIRIGA to see the removal The Parking Administrator will review your comment with the option to request further clarification, approve or return (deny) the parking request. 33 7.2 Navigate to Returned request to Correct Errors Paid Parking Administrators (PPA) are unable to make changes to submitted Parking Request forms. If the form needs to be corrected, the PPA will send you a notification through TRIRIGA of the returned request and indicate the edits needed. Only use the instructions below when the Paid Parking Administrator advised you to edit the submitted request. Step-by-Step instructions: 1. From your homepage, locate the Reminders Request Central section on the left side and click on Notifications The Notifications section, provides a list of TRIRIGA generated s sent to you. From that section, locate the parking request that was returned by the PPA. Refer to the Date column to help identify which returned request the PPA required corrections be made. Once identified, click on the notification hyperlink to open it. 2 Page 31

34 3. The notification will open in a new window. The Message Content section is the message you received; complete with the Paid Parking Administrator s comments advising you of what changes to make on the submitted request form. 4. To edit the submitted request, click on the Click Here if Highlighted for Referenced Record hyperlink. Reminder: you must receive authorization from the Paid Parking Administrator to make edits to the submitted parking request The submitted Parking Request form will open in a new window. Make the required corrections/edits (refer to Sections 4 and 5 for instructions on completing the Request Forms). Once the corrections are made, click the Submit button. TRIRIGA will send the updated Parking Request form to the Paid Parking Administrator for approval. 5 Page 32

36 8. LOT INVENTORY REPORT Use the Lot Inventory Report - My Org report to view a list of parking tags by division and agency. Step-by-Step instructions: 1. From your homepage, locate the Related Links Parking Rep section on the left side of the screen. Click the arrow next to Parking Tags (a). Then click on Lot Inventory Report My Org from the dropdown list (b). 1a 1b 2. Once the screen refreshes, a list of parking tags for your agency will populate. To view more tags on one page, select up to 1000 a page from the Show field (top right corner) (a). The list of parking tags can be filtered by any of the column headers through entering search criteria into the column s Contains textbox (b) (as described on the next page). 2a 2b Page 34

37 3. To filter the list of parking tags in your agency, enter search criteria into the column headers Contains textbox, then press Enter on your keyboard to complete the search. Some examples are outlined below: a. Lot displays the lot/garage the parking tag is assigned to. To filter, enter the garage/lot name (see Appendix), to locate tags in a specific lot/garage (Ex. # 2 to locate tags in garage number two). b. Tag Name displays the parking tag as two digits for the floor four digits for parking tag number (Ex ). To filter, enter the parking tag number as four digits (ex ). c. Assigned To displays the driver assigned to the parking tag. To filter, enter the driver s full name as listed in People First. d. Department displays the agency or division the parking tag is assigned to (Ex. Organization\State of Florida\Department of Economic Opportunity\Workforce Development ) IMPORTANT take note of the division/agency the parking tag is assigned to. You will need this information when submitting a Parking Request. Remember to click the Enter key after enter the search criteria. d a b c To assign or un-assign a parking tag after the parking request is approved, refer to Section 9 and There is an option to export the list from TRIRIGA to use in Excel by selecting the Export hyperlink (towards the top left section) Page 35

38 5 5. Once you have selected the Export hyperlink you will be asked to Open or Save the export, choose Open This will open a new Excel window requesting access to open the export file, select Yes. 7 Page 36

39 9. VIEW/PRINT SUBMITTED PARKING REQUESTS To view and/or print parking requests you submitted in TRIRIGA, follow the steps below: Step-by-Step instructions: 1. From your homepage, locate the Related Links Parking Rep section on the left side of the screen. Click on My Request History Once the screen refreshes, click on the down arrow next to -Select-.
