If your organization is leveraging analytics for your intranet, you may be stumbling upon this question, time and time again. Other questions you may be asking yourself: How can I increase portal productivity? What ways can I better engage with my portal users? What methods can be used to enhance user collaboration? By first discovering the most important metrics to track your intranet, you can then take the insights you have gathered, turn them into action, and increase portal productivity, enhance user collaboration, and spark portal engagement.

The wealth of intranet information that analytics solutions provide can be overwhelming. Don t let data overload prevent you from using analytics to improve your intranet. There are a handful of metrics you can begin using immediately to analyze, engage, and enhance your intranet portal.

You can only manage what you measure MONITOR To get the most out of your intranet, you need to know exactly how it is being used and if it s achieving the goals for which you created the intranet. EVALUATE Making an investment in an intranet includes a large amount of resources in the form of budgets; for licenses and consultants, as well as human resources involving multiple teams; admins, developers, stakeholders, as well as ENHANCE the migration of key business assets. By leveraging analytics, you can find out whether your intranet is performing as expected, and whether its providing value to your organization.

7 6 AN INTRODUCTION TO INTRANET ANALYTICS Adoption is one of the key challenges in any technology deployment. If you want to make informed business decisions, it s critical that you understand which users, as well as how these users are interacting within the intranet. Questions to consider for measuring your intranet visitors: Are your users using the intranet at all? Are your users finding the intranet useful? Do users find content compelling enough to make return visits? Are users abandoning old methods (such as ) and leveraging the collaboration tools within the intranet? These are just a few questions that can be answered by creating analytics reports. Let s dive in

8 7 AN INTRODUCTION TO INTRANET ANALYTICS UNIQUE USERS REPORTS DEFINITION The total number of individual users who visit a site during a specific period of time, not counting repeat visits by the same individual. HOW TO USE Unique user data shows if your content is successfully driving users to the intended sites. An upward trend over time is indicative of a useful intranet to users. If your unique user count is stagnant, you may need to reassess your intranet strategy or perhaps offer training to users with lower adoption rates.

9 8 AN INTRODUCTION TO INTRANET ANALYTICS VISITS REPORTS DEFINITION shows the number of times your visitors have been to your site (unique sessions initiated by all your visitors). HOW TO USE Gaining access to the number of times a user accesses a site is an indication of how much traffic a specific site is attaining.

If you don t have relevant, useful, or interesting content, you may as well put your intranet efforts aside. Creating compelling content and providing your users with tools to allow them to easily use the intranet and be more productive is what will draw your intranet users in, and keep them coming back.

12 11 AN INTRODUCTION TO INTRANET ANALYTICS PAGE VIEWS REPORTS DEFINITION Displays the number of page views for a specific intranet site or item. HOW TO USE Utilize Page Views reports to understand which pages in the portal are attracting users, and what content is most popular. If you re trying to drive users to a specific site/page, and you see they re not accessing it, a new strategy should be implemented.

13 12 AN INTRODUCTION TO INTRANET ANALYTICS UNUSED CONTENT DEFINITION Displays the content that has not been viewed within a specific time period (make sure your reporting tool can provide data on content with 0 page views). HOW TO USE Once you understand which content is not being used you can take action! If the content is not needed delete or archive it. If it's needed and users don't know how to access it, make sure you have linked to this content from your home page or other main pages.

HOW TO USE Recently Viewed Reports are useful for understanding what areas of the portal are most relevant to users in the most recent time period. If you see that many people are visiting a specific document, create a button for it on the homepage to assist your users in their portal experience.

Understanding the most common search terms can help you determine what content people are usually looking for and perhaps can t find in an easy way. Leverage these insights to create navigation paths and easy ways for users to access popular content. Linking popular content from the intranet home page can save your users lots of time!

18 17 AN INTRODUCTION TO INTRANET ANALYTICS FAILED ONSITE SEARCH PHRASE REPORTS DEFINITION The number of times a term was searched and retrieved 0 results HOW TO USE The failed searches report uncovers search terms that retrieve no results or so many that people are wasting lots of time browsing through hundreds of results. Once you can identify what searches are retrieving 0 results you can optimize the search for these phrases. Also, if you notice there many results populating and people select an option after scrolling through several pages of results you can modify the results to make sure the popular one appears on the first page of search results and help save users time.
