1 Performance Management Process Select the step below for Instructions about that action in the Performance Management Process. At the beginning of each fiscal year, the supervisor is responsible to initiate the Performance Plan for their employee(s) by meeting with them to agree on goals for the coming year. 2 CSU Performance Evaluation Supervisor Creates Plan 1 Supervisor Creates Plan Log into PeopleAdmin Select Go to CSU Performance Portal in the upper right corner of the screen Select the Home button to ensure you are on your home page. Select Supervisor Completes Plan next to the staff member s name from Your Action Items Select the Individual Goals tab from the tabs near the middle of the screen. Type the first goal of the Evaluation Plan into the Goal box. If additional goals will be added, select Add Entry for each one. Remember that this section can be used for skills or competencies you want the staff member to develop. These can also be rated at year end. Note: The system will only allow two empty goal boxes at a time. It will not allow you to open three or more without adding information to an empty box. Once all goals are entered, select Next to move to the Developmental Activities tab. 1
3 CSU Performance Evaluation Supervisor Creates Plan Add any developmental activities discussed between the employee and supervisor. When everything has been entered, select the Complete button to send the plan to the employee for review. If inserting goals for additional employees, return to step 3 and select the next employee. Select Logout from the upper right menu of PeopleAdmin when finished adding goals. When this step is complete, each employee will receive an notifying them that their Performance Plan is available for their acknowledgement. This ensures the staff member has a copy of their goals for the coming fiscal year and the competencies against which they will be rated. 2
4 CSU Performance Evaluation Editing Goals Editing Goals: If any changes need to be made to goals, the supervisor can do this using the following steps. Note: Only the supervisor can edit goals. Select My Employee s Reviews from the menu on the left. Locate the employee s name and the evaluation program you want to change to the right of their name (in blue). Click on the Program Name to open the evaluation dashboard for the employee. Open the staff member s Plan by clicking on the Plan icon (orange flag). Click on the Actions button on the right. Select Revise from the drop down menu. Click on the Individual Goals tab Scroll down, and Edit the goal(s) as needed. If a goal is eliminated, do not delete it. Note in the goal box that it will not be completed or evaluated at year-end.
5 CSU Performance Evaluation Editing Goals Click the Add Entry button to add another goal When all goals have been edited scroll down and select the Next button to move to the Development Activities tab. Scroll down (if needed) and Click the Revise button. The staff member receives an asking them to acknowledge the updated Performance Plan with the edited goals.
6 CSU Performance Evaluation Classified & Prof. Staff Instructions 1 Acknowledging the Performance Plan: The employee evaluation is found in PeopleAdmin. (Open MyCSU. From Administrative Systems menu select Human Resources Position Description, Performance Evaluation, and Vacancy Management System) Log in to PeopleAdmin (Login in using the CSU employees login here above the box.) Click the link Go to CSU Performance Portal in the upper right corner. 2 Under the description column are your open actions Click on Employee Acknowledges plan 3 Review the plan for the upcoming year which includes the competency areas that will be included in the annual performance review, job description, and your goals 4 5 Add your employee comments (optional) Click the Acknowledge button You now have a copy of your Performance Plan for the year. It shows the competencies you will be rated on at year-end along with your goals. If any changes are needed (e.g. goals updated) speak to your supervisor. If changes are made, you will receive a copy for your acknowledgement. Any changes made replace the previous document.
7 Completing the Self-Evaluation You can begin work on your self-evaluation when the link appears on your home page in the Performance Portal. NOTE: When working on the self-evaluation, save periodically using the Save Draft button at the bottom of the page. Wait until the light green bar appears confirming that it saved before returning to your work. 1 Employee Self-evaluation: Log into PeopleAdmin Click the link Go to CSU Performance Portal 2 3 Click on the Home button (Actions will be listed on your home page under Your Action Items ) Click on Employee Self- Evaluation 4 Review Introduction tab (optional) At the bottom of the page click the Next button 5 6 Add ratings and/or comments to the Competencies based on instructions for each area. When finished, select Save Draft then scroll to the top and select the Individual Goals tab. Or you can... (Step 7)
8 7 Select the Next button to review your job duties. Click the next button to continue. 8 Add comments and ratings on your annual goals. 9 Click Save Draft to pause while working or to leave and return later. You may continue anytime. Click the Next button to continue If you want to attach any documents to your evaluation, be sure to click Save Draft before selecting the Attachments tab. If you add attachments without saving first you will lose all the data entered since the last time you saved the evaluation. If your evaluation is completed and you are prepared to share it with your supervisor click the Complete button. If you need to leave the evaluation before it is complete or you are finished with your review but not ready to share it with your supervisor, Click the Save Draft button. Wait until the light green bar appears confirming that the evaluation was saved. Click OK on the warning to complete your self-evaluation
9 CSU Performance Evaluation Supervisor/Manager Instructions for Classified and Professional Staff Evaluations 1 Supervisor Evaluation: Log into PeopleAdmin Click the link Go to CSU Performance Portal in the upper right of the screen. 2 Your Home page should open. If not, Click on the Home button (Actions will be listed on your home page under Your Action Items 3 Click the Supervisor Evaluation link by the selected staff member to complete their evaluation. 4 Scroll through the Introduction tab and Click the Next button to continue OR Click the Individual Competencies tab from among the tabs at the middle of the screen. 5 For Classified evaluations: Rate each competency using the drop down selection and add comments for each rating. For Professional evaluations: Add your narrative about the staff members performance as it relates to at least four of the competencies. No rating is required.
10 CSU Performance Evaluation Supervisor/Manager Instructions for Classified and Professional Staff Evaluations Note: A list of possible comments is available for each Professional evaluation competency. These are accessed by holding down the Control Key and clicking on the link. The Comments open in a separate tab. 6 Copy and paste any comments into the evaluation and close the comments list when you are finished. (Note: Each column is mutually exclusive. Comments do not always relate to the one next to it.) 7 Click the Next button to continue to the Job Description then Click the Individual Goals tab. 8 Rate each goal using the drop down selection and add comments. When finished with the goals tab, scroll down and select the Next button to move to the Overall Rating Comments tab. 9 Add your overall comments to the evaluation. These should support the overall rating of the evaluation. Note: If you want to add attachments to the evaluation, you must Click Save Draft before going to the Attachments tab or you will lose all the data you have entered.

If you need to leave the evaluation before it is complete or you are finished with your review but not ready to share it with the Reviewing Officer Click the Save Draft button at the bottom of the page.
12 CSU Performance Evaluation Reviewing Officer (Supv) Approves 1 Next Level Supervisor (Reviewing Officer) Review/Approval Those who supervise other supervisors have the additional responsibility to review the evaluations their direct reports have written. When doing so, ensure that 1) ratings are consistent among direct reports and 2) narrative comments are provided for every rating and justify the rating given. 2 Log into PeopleAdmin, Click the link Go to CSU Performance Portal 3 Click on the Home button (Actions will be listed on your home page) Note: The circled number by Home indicates the number of Actions to be completed. 4 Under the description column are your open actions Click on Supervising Officer Approves Evaluation (The employee associated with the action is listed on the left) Note: Each column can be sorted by clicking on the header. Click on Description to sort actions alphabetically and group them together. 5 The employee s evaluation opens as a single page document with no tabs across the top. Scroll down through the evaluation and read the ratings and narrative for the competencies and goals. 6 At the end of the evaluation is a Comments box and two buttons, Return and Approve. 1
13 CSU Performance Evaluation Reviewing Officer (Supv) Approves 7 If you disagree with the competency or goal ratings, the overall rating, or feel the comments provided did not sufficiently justify the ratings given, Type in the Comments box the reason you are returning the evaluation along with the changes to be made. Select the Return button and the evaluation will go back to the supervisor where changes must be made. When they are complete, the evaluation will come back so you can ensure the evaluation meets your approval. Note: This is the only time the evaluation moves backward in the process If you agree with the evaluation ratings and justifications, comments are optional. Select the Approve button. The dashboard for the employee s evaluation appears along with a blue bar at the top with a comment verifying the action that took place. If additional evaluations need to be approved, select the Home button at the top of the page to view all actions to be completed. If there are no more actions to be completed, Select the Logout button at the upper right to exit the software. 2
14 CSU Performance Evaluation Supervisor/Manager Instructions for Classified and Professional Staff Evaluations 1 Evaluation Review Meeting: Once the Reviewing Officer has completed their actions, the evaluation will show as an action in the supervisor s home page on the CSU performance portal. An will be generated by PeopleAdmin to notify the supervisor as such. 2 Log into PeopleAdmin Click the link Go to CSU Performance Portal or Click the link found in the received from PeopleAdmin. 3 Your Home page should open to show your Action Items. If not, Click on the Home button. 4 Meet with your staff member to review/discuss their evaluation. Remember that the staff member cannot see their evaluation until after this step. You will want to either print the evaluation or hold the meeting where they can look at the evaluation on screen. 5 To open the evaluation to view or print it, Select My Employee s Reviews from the menu on the left of your home page. Click on the pull down under the Subject box and select the staff member s name. Their name will appear under My Employee s Reviews on the right. Select the View Review button on the far right to open it. Select Print from the blue Actions button on the right.
15 CSU Performance Evaluation Supervisor/Manager Instructions for Classified and Professional Staff Evaluations 6 Once the meeting is completed between the supervisor and staff member, the supervisor should open their Performance Portal and Click on the Evaluation Review Meeting link by the staff member s name. 7 Click the Complete button on the page that opens. This sends the evaluation to the staff member for their review, comment, and acknowledgement.
16 CSU Performance Evaluation Classified & Prof. Staff Instructions 1 Employee Acknowledges the Evaluation After you meet with your supervisor to complete your supervisor performance appraisal, your supervisor will share a copy of the document with you to review, add comments to, and acknowledge. 2 Acknowledging the Evaluation: Log into People Admin, Select CSU Performance Portal from the upper right to go to your Home page. Click on the Home button (Actions will be listed on your home page) 3 Click the Employee Acknowledges Evaluation link. 4 Scroll down to review your evaluation. At the end of the evaluation you will see a Comments box and two buttons, Dispute and Acknowledge. 5 If you do not agree with your rating and/or the comments made in your review, type your rebuttal in the Comments box then select the Dispute button. Your comments will be seen by your supervisor and Human Resources. 6 If you are satisfied with your evaluation you may still add comments if you so desire. Once your comments have been entered, select the Acknowledge button. 1
17 CSU Performance Evaluation Classified & Prof. Staff Instructions 7 Your evaluation is now complete and has been submitted to Human Resources. No further action is required from you or your supervisor. Select the logout button in the top right corner of the screen to exit PeopleAdmin. 8 In the event that you disputed your evaluation and further information is required, you will be contacted by a Human Resources Consultant. 2
