2 Chairman s Message The Strength of the Network I am very pleased to present this annual report, my very first as Chair of the Board of Directors of GRICS. I am proud of this first year, which was marked first and foremost by the tabling of the GRICS Strategic Plan. Preparing this plan gave us an opportunity to take stock of our activities, analyze our environment and target projects that are promising for the future of GRICS as well as for the whole school board network. In a spirit of collaboration and commitment, we have invited all the actors and partners of the network to join us in successfully meeting the challenges of the coming years. In this regard, the first few months of this five-year plan were mainly devoted to the implementation and start-up of certain projects that we will pursue in the coming year. Among the promising projects of the past year, I would like to acknowledge GRICS s contribution to the development and adoption by the Québec government of Québec s first digital strategy. We are honoured to be recognized by the project heads as a leader in the field of IT in Québec and to respond to the request of the Ministère de l Éducation et de l Enseignement supérieur by presenting a digital strategy aimed at supporting the Québec school boards and positioning them in the digital age. In addition, a great deal of effort has been put toward strengthening ties with the school board network, both on the part of Board members and management and the entire staff of GRICS. Over the past year, many changes have occurred within the Board of Directors. These changes, coupled with the development of new products, new partnerships and sharing of experiences, ensure GRICS s revitalization and contribute positively to the pursuit of excellence. Obviously, some of these changes bring new challenges that can affect both pedagogical and administrative practices. We therefore need to be creative and rigorous to achieve the objectives that will help ensure that GRICS remains a key lever for the support of future transformations in our network. I would like to take this opportunity to acknowledge the contribution of the members of the network to the progress of the technological work underway. This collaboration has produced positive results and contributes to a substantial improvement in the quality of the products and services offered by GRICS in the field of education. I would like to thank the members of the network and our partners for the trust they have shown by associating with us and entrusting us with the responsibility of helping them navigate modern technological challenges. Thanks also to all the employees of GRICS and to its President and CEO. I want to underline the openness, flexibility and expertise that they show. Thanks to all of us, we remain a model of unified services where the talents of each individual are put to use for all the students of Québec. 3 President and Chief s Message To Placing Our Clients at the Heart of Each of Our Actions and Decisions This past year was marked by the release of our Strategic Plan, which is part of ongoing efforts to make our products and services more efficient, accessible and user-friendly. It sets out GRICS s directions and demonstrates our commitment to placing our clients at the heart of each of our actions and decisions. Our improvement in terms of meeting the objectives identified in the Strategic Plan is a priority for all GRICS teams. Several projects resulting from the strategic directions have been initiated since the Board s approval of the plan last September. Among these projects, let us highlight some of the elements included in the direction aimed at improving the client experience, which was identified as one of the highest priority items during our consultations: the analysis of opportunities for the Vision Client 360 project, development of our change management resources and the start of a comprehensive project to analyze and improve the customer experience. As well, in terms of reliability, major projects related to operational processes, identification and service objectives have been initiated. In addition, in response to the direction related to speed in the delivery of solutions portfolio renewal projects, in the interests of transparency in reporting and disclosure of progress metrics, we launched a promising initiative entitled GPS (governance planning/project/product and follow-ups). In this regard, I am also very proud of the efforts we have made to negotiate agreements with partners that allow us to offer even more competitive products to school boards at a faster rate and at a very good price. Over the past few months, I have had several meetings with school board general directors, regional table members and the Ministère de l Éducation et de l Enseignement Supérieur (MEES). These meetings allow me to stay abreast of the realities, concerns and needs of the network. I will continue to do so regularly. The past year has, once again, been an important one for GRICS and I am proud of our team. We set ambitious goals and, with the collaboration of our partners, we have accomplished a considerable amount of work. We have pursued our directions, listened to the school boards and taken concrete action. Several initiatives to accelerate our developments, strengthen our relationships with our clients and build new partnerships are well underway and will continue over the next year. It is with confidence that I look to the future, because our current accomplishments reflect the drive, talent and commitment of each member of the organization. There are many projects and major changes underway. With the Strategic Plan, we made a commitment to earn your trust on a daily basis. We are working hard to deliver on this. 4 Strategic Planning GRICS s Strategic Plan was tabled in the fall of It provides directions aimed at continuing the technological shift initiated in the past few years while staying focused on the trusted partnership that GRICS would like to strengthen with the school boards. The actions stemming from this strategic plan place high importance on: the support and coaching GRICS intends to offer the network to help its members make optimal use of the new portfolio of solutions; its ability to understand and better anticipate the needs of the school boards; and reducing delivery times for its new solutions portfolio. 5 Values GRICS puts its clients at the heart of each of its actions and decisions by promoting the values of: collaboration, simplicity, efficiency, transparency, innovation and client attitude. As part of the internal activities underlying the Strategic Plan, GRICS staff were asked to identify among their colleagues those who best represent GRICS values. Five people stood out: André Adam, Lyne Maynard, Sophie Morin, Ann Quesnel and Julie Robert. Each in their own way, they place clients at the heart of their actions and concerns. Through their leadership and positive influence, they enable school board members to benefit from a better client experience at GRICS. We are currently working with a specialized consultant to analyze and find ways to improve all stages of the customer experience process. This is a major project that all of our teams will be working on in the next few years. 5

6 Product Portfolio Mozaïk-AX țț Financials and Procurement Mozaik-AX financials functions were implemented by several school boards during the year: 18 school boards implemented the Fixed Assets function and 18 school boards implemented the Accounts Receivable function. As of February 28, 2017, 64 school boards were using Mozaik-AX, which brings us very close to our target for December 2017 of having all school boards using Mozaïk-AX. The Accounts Payable, Order Management and Data Warehouse functions were tested and made available. With the availability of these functions, the replacement of the DOFIN and Achat legacy applications is progressing significantly. țț Payroll and HR The development of functionalities related to Mozaïk-AX Payroll and HR represents a major challenge in terms of common understanding, speed and prioritization. In order to facilitate the progress of the project and to ensure a better understanding of the collective needs of the school boards, a subcommittee of the Board of Directors was created. 7 PAIE and GRH Following the signing of 17 collective agreements in the school board network, significant adjustments were made to align the application with the new terms and conditions, in particular, the work surrounding the calculation of wage retroactivity and additional compensation. In addition, modifications were made to facilitate the payment of amounts related to the maintenance of pay equity for executives. Implementation of the New Mozaïk Features as of February 28, 2017 Mozaïk-Portal for parents Mozaïk-Registration Mozaïk-AX Payroll and HR Mozaïk-AX Financials Mozaïk-AX Assets Partnerships Constellio Replaces Keystone Document Management Solution In the spring of 2016, GRICS concluded an agreement with Constellio to replace its current document management solution, Keystone. Work related to the migration of school boards to the Constellio product is an ongoing issue. Fall was devoted to implementing adjustments both in terms of the process and the communication and conversion tool. Deliveries are now well underway. As of February 28, 2017, the results were as follows: 8 school boards in production, 19 in migration and 14 others planned by the end of this school year. Helios In order to meet the objective of the strategic plan to generate revenue outside the school board network, GRICS entered into an agreement with Logic 6 to distribute the Helios product to the Québec municipalities. 8 Product Portfolio Mozaïk-Portal One of the major projects of the year was undoubtedly Mozaïk-Portal for parents, which has been available since June This new solution allows parents to view absences and late arrivals, homework and lessons, the agenda, the report card, including the results of the ministry exams, transportation-related information and personalized messages from the school or school board. The parent section is a major element of Mozaïk-Portal, which will also include sections for teachers, students and administrators. While continuing to improve the Parents module, we have been working for several months on the development of Mozaïk-Portal for teachers and for students. The first features will be available at the beginning of the 2017 school year. Mozaïk-Registration Simple and user-friendly, Mozaïk-Registration makes parents lives easier by enabling them to complete their child s re-registration in school or day care from a computer, tablet or phone. For administrative staff, it considerably reduces registration processing time and optimizes its management. Mozaïk-Registration has had considerable success. The Course Selection component is now available and additional questions can be added. Partnerships Silverlining Complement to Geobus (geolocation system) To add to the school transportation management solution, GRICS is working with Synovia to provide school boards and transporters with Silverlining, a decision-making tool to: țț țț țț quickly know the location of the buses and students being transported to be able to respond more quickly to questions from parents; ensure that optimal student road safety practices are being followed; generate savings by optimizing routes and improving expenditure management. Projet CAR, a partnership with the Lucie and André Chagnon Foundation The Lucie and André Chagnon Foundation Projet CAR (collaborate learn succeed) provides school board general directorates with new tools to assist them in their efforts to achieve student success. The C.A.R. Dashboards were produced by GRICS and are available to all school boards interested in using them. They facilitate data analysis and allow for comparisons to be made with all the user school boards and to evaluate trends over several years. As of February 28, 2016, 32 school boards had subscribed to the C.A.R. Dashboards. Ellipse Synergie Following the agreement reached in the fall of 2016, the work to develop and integrate technology and pedagogical know-how has begun in order to offer a new portal solution as quickly as possible to the education network that will bring together the strengths of Ellipse Synergie s value-added products and those of GRICS s Mozaïk-Portal. The agreement enables GRICS to become the sole distributor of the Parent Support, Bullying Support and Assisted Support System (ISA) functions for the public or private educational institutions in Québec. 8

10 Product Portfolio BIM Designed to support Québec school boards in developing evaluation tools, the online BIM solution is currently undergoing a rejuvenation and improvement process. The first part of the new version, which will be presented under the simple name of BIM, will be available shortly. It will allow teachers to consult evaluation situations from the Mozaïk-Portal for teachers. CVE (Connecting Videos to Education) The CVE team provides annual integration of more than 1,000 videos and supporting documents. 11 Support, Services and Training Our support staff is committed to meeting the needs of our users. Our teams responded to over 43,000 interactions during the year, the vast majority being related to requests for functional and technical support (93%). The trend seen in recent years is continuing: there is an increase in requests received by and a decrease in those received by phone. We see an increase in the number of interactions that began in the first half of the year and is continuing. This increase of 1,195 interactions is linked to the implementation of the new Mozaïk-AX functions and to the availability of new functionalities for school management. There is every reason to believe that our support teams will be increasingly called on. Supporting and Training Users We are aware that the implementation of an integrated management software package such as Mozaik-AX brings about major changes in the way we do things and processes. This is why we have included change management activities in the implementation material and trained a group of twelve people on the Lean Six Sigma approach. We are confident that these efforts will benefit our clients. Personalized support is a service that is highly in demand. It can meet more specific needs. We offered 12,275 hours of consultation, an increase of nearly 4,000 hours over the previous year. In addition, 173 different training courses were offered and 487 training sessions were given to 4,172 participants. There was an increase in participants who said they were very satisfied with the training overall and a decrease in those who said they were dissatisfied. 12 Dialogue with School Boards Communications Satisfaction Survey In order to improve communication with our clients, we conducted a satisfaction survey in November Positive points identified: clarity, relevance and visual presentation the work of the representatives and the quality of the service attention and listening the improvement efforts made in recent years Zone client In the past year, subscription to the Zone Client increased by 49%, reaching 2,616 members. There were 46,541 visits recorded (from January 1, 2016 to January 1, 2017). Work to improve the site has been underway for several months. The new version will be online in the spring of Improvements include: better document presentation, subscription simplification, a more efficient search engine and the improvement of notifications. GRICS s Zone Client remains an essential communication tool that promotes dialogue and provides quick access to product information. Several actions have been taken to improve the points considered to be weaker, such as the user-friendliness of Zone client, confusion with the many information platforms and communication not always being sufficiently targeted. In addition, the work begun as part of the strategic plan will also address several comments received in this survey, and more specifically the GRICS client experience. Réunion nationale Newsletter Re-launched in the fall of 2015, the GRICS newsletter has been modernized to become a digital newsletter. In addition to the general version, a special version is produced for school board general directorates. The main focus of the newsletter is to inform clients about the developments and progress of work that is underway. Over the past year, we have produced 9 newsletters for 1,867 subscribers. Held on the South Shore of Montréal for the first time, the 2016 National Meeting was a great success. We welcomed 294 participants from 64 different school boards. Of these, 86% would recommend our event to their colleagues. The location, the two-day format, the content of the workshops and the interactivity (vote, SMS, interactive wall, etc.) were the most appreciated elements. 12 Réunion nationale 2016

13 Attendance at Regional Tables Over the past year, we increased our attendance at regional tables. These have enabled us to meet a significant number of our clients and users of our products. These meetings, like the collaborator groups, are aimed at better understanding the needs, improving our communications and perfecting our products. Free Webinars With a view to better informing its clients, GRICS regularly organizes free webinars. In addition to occasional webinars on specific topics, we have set up two monthly webinar series that deal with current issues for the administrative management and school management sectors. Over the past year, we have broadcast 19 free webinars that have reached over one hundred live participants each. In addition to this, there was 2,200 online views on our Youtube account. Montérégie & Estrie IT Regional Table Members Seminar and Conference For the school year, GRICS participated in nearly 50 education-related seminars, forums and conferences to promote its services and solutions. GRICS s presence at these events allows it to meet and consult more than 13,000 users and decision-makers in the field of education from all over Québec annually. 13

14 Company Profile Created in 1985 by school boards to meet their information technology needs, GRICS is a non-profit organization whose board of directors is made up of school board representatives from various regions of Québec, a representative of the Fédération des commissions scolaires du Québec and a of the Quebec English School Boards Association. 15 Board of Directors For the fiscal year beginning on March 1, 2016 and ending on February 28, 2017, the Board of Directors held seven regular sessions and three special sessions. In September 2016, the directors also participated in a strategic planning session with members of the Executive Committee. In addition, the two statutory subcommittees of the Board of Directors governance, ethics and human resources, and audit each held three regular sessions and one special session. Ad hoc committees of the Board of Directors have also been set up to advise the directors on various matters. In the course of this work, the Board of Directors, with the support of these two statutory subcommittees and ad hoc subcommittees, addressed the following issues: Follow-up of monthly financial reports and adoption of financial statements for the fiscal year ; Adoption of the guidelines and budget estimates for the fiscal year ; Adoption of an asset capitalization policy; Adoption of various pricing; Appointment of a new Vice-President in the GRICS development sector, as well as a new Principal Director, financial, Human and Administrative Resources; Approval of partnership agreements with Constellio (product of the same name), the Lucie and André Chagnon Foundation (CAR project) and Ellipse Synergie (ISA, Bullying, Parent Support); Follow-up of GRICS discussions with various potential partners in the market; Follow-up of an application for funding from the Ministère de l Éducation et de l Enseignement supérieur for an information security initiative; Monitoring progress of the projects portfolio and future directions; Monitoring of Mozaïk s implementations as well as client interactions related to telephone support; Follow-up on the reports of GRICS s President and CEO; Approval of promising projects for GRICS related to the new Strategic Plan, in particular the Vision Client 360 project, as well as various contracts related to GRICS s day-to-day operations. Lastly, since January 2017, a representative of the Ministère de l Éducation et de l Enseignement supérieur sits on the GRICS Board of Directors as an observer, without the right to vote. 17 Financial Statements The financial statements for the fiscal year ended February 28, 2017, included in the GRICS annual financial report were tabled by the rincipal Director, Financial, Human and Administrative Resources, who attested to their accuracy during the Board of Directors meeting held on April 28, The Chief Executive Officer and the Principal Director, Financial, Human and Administrative Resources certify that management maintains internal control systems designed to provide reasonable assurance that the published financial statements give a true and fair view of GRICS and do not contain false information. It is primarily through its Audit Committee, composed of members of the Board of Directors, that the Board of Directors exercises its responsibility for the financial statements included in the financial report. The Audit Committee reviews the financial statements prepared by the Principal Director, Financial, Human and Administrative Resources and recommends their approval to the Board of Directors. The financial statements have been audited by the external auditing firm PricewaterhouseCoopers LLP / s.r.l. / s.e.n.c.r.l.
