2 Your quick access to the Risk assessment This Quick Guide shows you how to proceed directly to the Risk assessment in a few minutes - without a long familiarization and without further training. For a risk assessment you may not need an enormous effort, it can be performed quite simple. In this Qick Guide we show you how! 1. Safexpert Installation Install Safexpert easily with the setup file that you can download from our website at With the license code that you receive via within your order, you will unlock the Safexpert modules that you have purchased. For installation details, refer to the Safexpert User Guide in Chapter 3. The User Guide you will find in the Safexpert Setup folder or in Safexpert by pressing the F1 Key. 2. Login in Safexpert When you start Safexpert for the first time, you once must create a user and type in your user data. Click on OK, after typing in your data. Practical hint: Your user data will be transferred to the relevant points in Safexpert automatically. This avoids having a repeated manual entry in the future. Based on your address Safexpert informs you about important changes of standards (depending on the purchased modules). Now a window will be shown to set up your Company favourites. Please click on Cancel to proceed to the Risk assessment as quick as possible. Practical hint: The function Company Favourites offers you the option of setting up your company-specific standards database. With that you ensure that the needed standards in your company are found quickly. For more information please refer to Safexpert User Guide chapter 11. 3 3. Create your first project Click in the main menu Projects on the command Set up new Project! Then the wizard opens for creating a new project. Here you are already taking the first important step of the Risk assessment: Defining the Limits of the machine. Please enter all necessary data and proceed to Next! By clicking on Complete in the window of Defining special properties Safexpert creates your project and opens the Risk assessment window in the standard view. 4. Perform Risk assessment 2

4 4.1. Identify hazards In the first process step, you identify all reasonably foreseeable hazards that may occur at various hazard locations and in all life phases, based on the list of hazards from ISO Practical example with Safexpert For illustration we carry out the process steps of Risk assessment based on the following example. 1. First, click in the hazards-list on the hazard Crushing 2. Add a hazard location Choose from the context menu (right Mouse button) the menu item New > Hazard location and enter the term e. g. Working space. Working space is created as a new hazard location as a point below the hazard Crushing. 3. Add a life phase Now click on Working space and choose from the context menu the menu item New > Phase of the machinery life. The Phase of the machinery life is created below the Hazard location Work space. If you proceed to the drop down menu on the right, a list of predefined life phases will be opened, that are offered by Safexpert. Select the life phases that occur on your machine, such as Normal operation. Normal operation is created as a new life phase below the hazard location Work space. 4. Hazard description Now describe the hazard in the input field Hazard description: This clearly defines, which hazard occurs at which point on the machine and in what life phase. Repeat this process for all hazards! 3

5 5. Marking non occurring hazards To identify all hazards that definitely do not occur on your machine, select them and choose from the context menu Hazard occurs: No. Those hazards will be highlighted in grey in the Hazard tree and are therefore marked as not applicable Risk estimation, Risk evaluation, Risk reduction Within the next step you estimate the risk persons are exposed to for each hazard identified. Based on this risk, you evaluate which measures are required to reduce the risk. 4

6 The procedure is as follows: 1. Add measure Add a measure to reduce the risk. In the Actions pane Measures, select the menu item Add Measure from the right-click context menu. 2. Risk estimation Then define the Risk IN in the Risko estimation window, so the risk, before you take a measure into account. Just click on the Risk IN / OUT! 3. Edit measure text Now click on Edit measure text and describe your measure to reduce the risk, e.g. Mounting guard door. 4. Edit Type of measure Next, choose the type of measure in the dropdown menu. Practical hint: This feature gives more clarity about protective measures. As an example, you can print all information on residual risks in a separate list. This helps technical writers to avoid to forget important information on residual risks in the operating instructions. 5. Risk reduction The critical question now is: Is the Risk adequately reduced through the measure? To decide this, you now rate Risk OUT. That means the risk that remains after taking the protective measure into account. Therefore click again in the field Risk IN / OUT! If you consider the reduction of risk as sufficient, don t apply any further protective measures. If you feel that further measures are necessary, repeat the above procedure for all protective measures. In our example it may be possibly useful to add an additional control-relevant position monitoring measure. This measure you rate the same way, but do it already based on the reached risk value by the guard door. If you have reduced the level of risk as far as you seem it necessary, click on Risk adequately reduced! So your hazards and the risk reduction measures are described as required according to ISO

7 4.3. Printout of the Risk assessment Now you only need to print out the Risk assessment. With Safexpert you automatically create the documentation based on the previously entered information. 1. In filter ribbon click on Display and then choose the sub-item Yes (hazard occurs)! This reduces the printout to the relevant hazards. 2. Then move to Print. 3. Select the report template Risk assessment (based on ISO/TR :2012)! 4. If you click on Print preview, a preview of the document will be opened. The Watermark INCOMPLETE points out that the Risk assessment is not yet complete. Of course you can customize the template for the printout of the Risk assessment and personalize it with your logo. Now you know the process of Risk assessment. Finally we would like to introduce you two ways how you can increase the overview of the Risk assessment with the help of Safexpert and thus have an easier overview on the progress of your Risk assessment. These functions are particularly useful if the Risk assessment is performed parallel to the design- and planning processes (within a Team)! Benefits of the safety integration into the design processes Your Risk assessment only meets the requirements of ISO if it is organized as an iterative process. This iterative process is to be carried out by all involved designers parallel to their daily planning activities. That way you integrate the Risk assessment the best in your work and avoid subsequently expensive adjustments! 6

8 4.4. Maximum overview in the Risk assessment Different views of the Risk assessment View by Hazard location: During the design phase you eliminate hazards quite specifically by displaying the risk assessment not according to hazards, but according to hazard locations. This allows you to detect all hazards and protective measures at certain hazard locations and to eliminate systematically remaining risks. View by Phases of the Machinery life: If the Risk assessment is displayed by Phases of the machinery life, you detect at a glance which hazards occur at certain phases of life. So you can see at a glance which hazards occur for instance when cleaning or during changeover. This in turn facilitates the takeover of residual risks in the operating instructions. Safexpert therefore offers the opportunity to display the Risk assessment in the most suitable way for your purposes. You can choose between these views: Hazards (Standard view), Hazard locations, Phases of the machinery life (two variants) Of course, you can always switch between the views anytime. 7

9 4.5. Is the Risk assessment completed? To recognize quickly how advanced your Risk assessment is or even if it is completed, Safexpert offers convenient filter functions. With a mouse click you are immediately informed about all completed or open points. The experience shows, that in many times the benefit for documenting Risk assessments is given from the first project. But most of all, subsequent projects shows the great benefit of a structured documentation with Safexpert. The gateway into the Risk assessment is now done!
