1 BANNER EMPLOYEE SELF SERVICE The purpose of the employee self-service website is to enable all employees with the ability to log in, view pay stubs, update personal information, and leave balances 24/7/365. HOW TO USE THE WEBSITE Website address: User ID: 5 digit employee ID # which can be found on your paystub on the left under Ident No. For new employees this number will be provided to you. PIN: Your full 9 digit social security number with no dashes. You will have the ability to change your PIN# once you log in for the first time. PIN requirement is 6-15 digits (numbers only)
2 WELCOME SCREEN / HOME PAGE Currently there are only 2 menu options: Personal Information and Employee. In the near future another menu option will be added to have benefit information, HR forms, website links, etc. Employee Name
3 PERSONAL INFORMATION MENU Purpose of this menu is to give you the ability to review and update your personal information including contacts and address. Employee Name Currently only 5 personal information options. 1) Change your PIN Initially PIN is your full social security number with no dashes. You can change this at any time but PIN requirements are 6 to 15 digits long (numbers ONLY)
4 PERSONAL INFORMATION MENU 2) Change Security Question On initial log in it should ask you to provide a security question. This is for verification purposes and for Forgot PIN. 3) Update Emergency Contacts You are able to update, add, delete emergency contacts. *On initial log in please visit this tab and ensure your contacts are up to date and the relationship type is correct. To update simply click on the name and fill in the information accordingly. To add simply click on new contact. To delete contact, click on name and check the Remove Contact box. Submit Changes NOTE: Changes made here immediately update HR/Payroll Data.
5 PERSONAL INFORMATION MENU 4) Update Addresses and Phones On initial log in please verify address and phone number is correct. This information is what is currently in the payroll system. It will display a start date. Do not be concerned with the start date entered (most likely it is your hire date and any new addresses have just been overwritten). To update: click on Current. Complete the information as listed. Click Submit. NOTE: Changes made here immediately update HR/Payroll Data.
6 PERSONAL INFORMATION MENU 5) View Ethnicity and Race To view and Update Ethnicity and Race. As a new hire this information is entered based on what was listed on your New Hire information sheet. *On initial log in please visit this tab and update your race. This data was being captured in a different manner previously and therefore does not carry over to the ESS. Please update this information for our record.
7 The purpose of this menu is to display your pay information including pay stubs, direct deposit, deduction and earning history, leave balances, and your current W4 tax withholding selection. W2s are not available at this time. Currently working with Banner to allow W2 information viewable. Employee Name 3 menu options under this tab

9 PAY INFORMATION DIRECT DEPOSIT ALLOCATION 1) Direct Deposit Allocation displays your direct deposit banking information and for those with multiple accounts, it lists the pay distribution. For those who receive paper checks, there is no information listed. NOTE: You cannot make changes here. If you need to change your allocation(s) and/or banking information you must see HR.
10 PAY INFORMATION Deduction History Based on the date range you chose the deduction history will display by deduction type and the dollar amount. Dollar Amounts are listed here

12 PAY INFORMATION Pay Stub The most important feature of the online ESS system is to access your paystub. Chose the year you want to display
13 PAY INFORMATION Pay Stub Dollar Amounts are listed here To view a specific pay stub, click on the pay stub date. To print the pay stub there is a Printer Friendly option to print on one page. Otherwise if you print from the web the format will not be right.
14 PAY INFORMATION Earnings by Positions If you have had more than one job since employed with the City, you are able to view your earnings by job. Chose the year and select Go. Choose the position title and select Summary. The following page will give you an earnings history for that calendar year broken out by earning type (Regular, Overtime, Vacation, Holiday, etc.)
15 LEAVE INFORMATION The purpose of this page is to display real-time leave balance as of today s date. There are 4 columns. 1) Available Beginning Balance is the balance as of January 1 when the hours are rolled over into the next calendar year. 2) Earned as of today s date The number of earned (accrued) hours since January 1. 3) Taken as of today s date The number of hours used (taken) since January 1. 4) Available balance as of today s date The remaining balance as of today s date (per the last payroll). NOTE: FYI: HR/Payroll no longer uses the individually named holidays but since there is a history within the payroll system, they cannot be removed from the list.
16 LEAVE INFORMATION To view a specific leave type taken and accrued click on the leave type name. For example Birthday. It will display the payroll date and pay period that the leave was taken and earned.
17 TAX FORMS The only selectable option at this time is the W-4 Employee s Withholding Allowance. The W-4 is your federal tax withholding. NOTE: Changes to your W-4 can only be made through HR.
