1 APEX Evaluation Process The APEX Evaluation Process is an opportunity for you and your manager to discuss your performance for the current APEX review cycle and begin to plan for the upcoming year. The first part of the evaluation process is for you to summarize your accomplishments, competencies, strengths, and development needs on a Self-Evaluation form. Your manager will use your Self- Evaluation form as input into your APEX Evaluation. After the evaluation form is completed by your manager and functional manager (if applicable); you will meet with your manager to discuss the evaluation. In addition to reviewing your accomplishments, competencies, strengths and development needs, the meeting provides an opportunity for you and your manager to discuss your career aspirations and coaching needs to help you be successful. This document walks you through your responsibilities in the APEX Evaluation Process. Step 1: Complete Self-Evaluation The APEX Evaluation Process begins when you receive an notification that the Self- Evaluation form is available. 1. Open APEX by clicking APEX Online in the Applications drop down list at the top right of JOE. 2. In the Goals and Dev Plans tabs on APEX Online, update your goals and development plans (if necessary) prior to completing your self-evaluation. 3. Click the Evaluations tab. 4. Select the current Evaluation Cycle from the drop down list. 5. Click your name to open your APEX Self-Evaluation form.
2 6. In the Accomplishments section, verify that the Goal Status is correct for each of your goals. To see the detail for a goal, click on the Goal Title to view it. If you need to update a Goal Status, save your Self-Evaluation form and go to the Goals tab in APEX Online to edit your goals. You can click at the top or the bottom of the form to save your progress at any time. Note: If you modified your goals at any time after receiving the notification that the APEX Self-Evaluation form is available, you can click on the button to refresh your goals and competencies in the Self-Evaluation form. 7. In the (required) Self-assessment (Accomplishments): comment box, summarize the progress/results for all of your goals. 8. In the (optional) Self-assessment (Other Significant Accomplishments): comment box, summarize any other significant contributions you made during the year. 9. In the (required) Self-assessment (Competencies): comment box, summarize examples of how you demonstrated the core competencies during the year. To see the detailed description of each competency, click on the title of the competency. 10. In the Strengths and Development Needs section, use the (required) Self-assessment (Strengths): text boxes to list 2-3 strengths that contributed to your performance during the year.

In the Strengths and Development Needs section, use the (required) Self-assessment (Development Needs): text boxes to list 2-3 development needs that you should focus on improving in the upcoming year. 12. To spell check your APEX Self-Evaluation, click on the button to start the spell check tool. Follow the prompts to complete the spell check. 13. After spell checking your document, click the button to save your changes. 14. To submit your APEX Self-Evaluation, click the button. 15. To confirm you want to submit your form, click the button again. This notifies your functional manager (if applicable) or your manager that you have completed your APEX Self-Evaluation form and that the Functional Manager/Manager form is available for them to complete. Note: Once you submit your form, you cannot make changes to your APEX Self-Evaluation form. 16. A new screen will open indicating the form has been submitted. Click the button to return to the Current Evaluations page.
4 Step 2: After Submitting Your APEX Self-Evaluation 1. Your functional manager (if applicable) will have the opportunity to add comments about your performance and competencies. 2. Your manager will add comments and assign a performance rating to your overall accomplishments and competencies. 3. Your second level manager will review and approve the evaluation. 4. If you complete a goal or a significant accomplishment between the time when you submit your Self-Evaluation form and your review meeting, your manager with the details. Step 3: The Performance Review Meeting 1. Be sure to bring applicable notes/documents along with you to the Performance Review Meeting. This may include notes on coaching requests, goal status, development plans, and competencies. 2. Be prepared to discuss accomplishments and challenges you had during the year as well as any additional items you would like to review with your manager. 3. You will receive an letting you know that your manager has published the review in the APEX Online system. Once your review meeting is completed, you need to go back into APEX Online to acknowledge you received your evaluation and that the review meeting was held or is scheduled to be held. 4. Open your review in APEX Online, scroll to the bottom of the screen and add any comments that you may have on your review. Any comments you make will become part of the final document. You can use the spell check function to verify your spelling. 5. Click the button to save your comments. 6. Click on the button to acknowledge that you have received the evaluation form and have had your review meeting with your manager (or have one scheduled).
5 7. Click the button again to complete your acknowledgement of your evaluation. 8. A new screen will open indicating the form has been submitted. Click the button to return to the Current Evaluations page. 9. The APEX Evaluation cycle is complete.
