If any exceptions are required, please communicate them along with your acknowledgement of this document by performing a Supplier Requalification on our McNICHOLS Supplier Portal here: With Regards, McNICHOLS Supply Services Team This work instruction covers inspection, packing, documentation, and shipping procedures for materials being sent to McNICHOLS Company by the supplier. Inspection Insure that the product meets all requirements of the McNICHOLS purchase order. Report any non conformance before shipment. 1. Verify that material type is correct. 2. Verify that all dimensional requirements are met and are within tolerance to the prescribed standards. 3. Visually inspect for surface defects and/or damage. 4. Verify the piece count. 5. Verify that any requested compliance paperwork is present. 6. Report any non conformance to McNICHOLS purchasing (813) x before shipment for further instructions to avoid unnecessary return costs for unacceptable material. 2 Pallets/Skids: Standard 36 x 96 or larger NOTE 4 way pallets must be used for all truckload deliveries (not required for LTL shipments). Please reference general information drawing FAC_FCD_671 : Pallet Spec Sheet 121X49 4 way with SHOES G04revC.pdf as an example of an approved hardwood design. At the discretion of McNICHOLS Supply Services Management, suppliers may be granted a variance to use their own pallet design. The approved alternate must meet or exceed the requirements notated in the McNICHOLS Standard Pallet Specifications in regards to entry points, loading and maximum width/length. Approved alternates should not cause McNICHOLS Company to incur significant increases to packaging cost during IBTL transfers and shipment to customers. 1. Pallet and deck cover: Place material on top of a pallet (pallets must meet McNICHOLS Standard Pallet Specifications). For flat material and fiberglass gratings, ensure that material does not extend beyond the edges of the pallet (metal gratings, due to their rigidity, may extend beyond the pallet edges). If the material is very oily or easily scratched/dented, put a cardboard pad over the pallet. If necessary due to size, position multiple pallets underneath material to provide full support. 2. Top Cover: Place a protective cover pad on top of flat material for protection during shipping. NOTE For suppliers of perforated product: waxed packaging paper may not be used as the top most layer. Waxed paper may only be used if another Top Cover is used on top of the waxed paper. If material is not flat and a cover skid top cannot be used, skip to instructions for packing a "Bundle. 3. Angle Boards: Use angle boards and cardboard corner protection on all sheet product that is 14 gauge or lighter. (Wire cloth with no edge wire excluded.) 4. Rib supports: For pallets containing aluminum material: At least two rib supports are required. The required rib supports shall be placed on top of the material, in the short direction, at a deck board location, not between deck boards. Additional rib supports shall be used at the supplier s discretion. For all other pallets: Rib supports shall be used at the supplier s discretion. Page2

3 5. Cross straps: A minimum of three short straps should be used. The center strap(s) should wrap around the pallet runners and over the material (or over rib support(s) if used). If top deck boards are notched, outside straps should be inserted through notches and over the material to prevent catching straps when lifting with forklifts. Otherwise the outside straps should be wrapped around the runners. Short straps should always be placed at a deck board location, not between deck boards. 6. Long straps: If possible, position straps to the outside of the skid runners. If order weight exceeds 1000 lbs., add a third strap in the middle. Secure straps over material. Long straps may be secured either before or after short straps are in place. Page3

4 Pallets: Standard 40 x 48 or similar Standard GMA pallets may be used or a pallet may be constructed out of durable materials to fit the size of the order. 1. Pallet and deck cover: Place material on top of a pallet (pallets must meet McNICHOLS Standard Pallet Specifications). For flat material and fiberglass gratings, ensure that material does not extend beyond the edges of the pallet (metal gratings, due to their rigidity, may extend beyond the pallet edges). If the material is very oily or easily scratched/dented, put a cardboard pad over the pallet. If necessary due to size, position multiple pallets underneath material to provide full support. Dimensional tolerance for width/length on all pallets is.125"/+.500" for all pallet sizes. For all McNICHOLS Stock/Inventory items; In the event that the standard manufacturing tolerances for the product width (first dimension on McNICHOLS orders unless otherwise noted) exceed the allowable pallet dimensions; the supplier should notify McNICHOLS Supply Services for marking/packaging guidance. 2. Top Cover: Place a protective cover on top of flat material for protection during shipping. NOTE For suppliers of perforated product: waxed packaging paper may not be used as the top most layer. Strapping: Strap material to pallet, using a 2 strap (length), 3 bands (width) to ensure that material remains secure during transport. All straps must be tight to prevent shifting. For undersized material ships on a 4 x 8 or 4 x 10 pallet, strap guards/blocks on all material lighter than 14 gauge. Page4

Mixing material on same pallet: In the event materials are approved to be mixed on the same pallet, a separator sheet should be used between each layer of product to ensure segregation of products. Each layer should be labeled with the McNICHOLS bar code product ID label. Parcel/Small Package Shipments 1. Box Place material in pre constructed box or form box around material to be shipped. Accessories must first be placed in a bag, secured and packaged in a box. Use additional packaging materials as needed to prevent damage during transport. 2. Carton Carton construction must be between 200# and 275# test (32ECT C and 44ECT C) cardboard. Material must be tightly enclosed to prevent slippage. 3. Sheet product that cannot fit in a box or carton Package material in cardboard and Masonite (1/8 thick). Cardboard should be folded neatly to provide uniform appearance. Hard pack material (Masonite) should be cut approximately ½ inch larger than material being packaged, and placed on top and bottom of product to Sandwich the product in between. Cover material with corrugated cardboard and secure ends with Brown Plastic packaging tape. Do not use clear tape. Page5

6 Bundles 1. Bundle preparation: Arrange material by stacking on top of each other to form a neat, uniform bundle. If material is not uniform (different lengths and widths), prepare bundle by packing heavier, wider material on bottom and lighter, shorter material on the top. Ensure separation of unlike product by use of corrugated separator pads. 2. Shipment via flatbed: If an order is shipping via flatbed, it must be shipped on blocks at a minimum (4 x4 ) Material must be loaded on to flatbed trailers in such a manner that it can be offloaded from the side using fork lifts. Reference general information drawing QUAL_FCD_672 McNICHOLS BAR GRATING TRUCK LOADING INFO for guidelines on spacing of blocks used to separate bundles. Product must be under a tarpaulin during transit. 3. Shipment by van: Bundles to 12 in length shipping by van, must be shipped on a standard 40 x 48 pallet (or similar) at one end and a block at the other end. Bundles exceeding 12 must be shipped on standard 40 x 48 pallet (or similar) at both ends and a forking block or pallet in the center. Use angle boards and cardboard corner protection. 4. Strapping: Strap the bundled product to ensure panels (or other materials) do not shift or slide during transport. For single pallet bundles, use a minimum of two straps evenly spaced to form bundles; in some cases shrink wrap should be used for packaging light weight and/or oddly shaped bundles. Shrink wrap is suggested for ladder rungs, treads, and items that may shift under the straps. For long bundles requiring multiple pallets, sleds, blocks, or a combination, secure each pallet, sled, and/or forking block with strapping as required. All straps must be tight to prevent shifting. 7 Documents and Labeling Documents and labels must be plainly visible without the removal of packaging and accurately match the quantity and description of the product to make identification at receiving clear and efficient. Packing Slip Labels Envelope Size: 3 x5, Clear outer face Number of labels: Two per package Placement: Skid one place on each end of skid. Bundle label adhered to the back of a tag, one wired tied to each end of bundle. Box one label attached to each end of box. 1. All packages/pallets/skids/bundles must include McNICHOLS PO#, actual piece count, final destination location, and positive product identification, to include McNICHOLS Item number. The supplier name shall only be given on the Bill of Lading and Packing Slip except when being sent as a direct and/or blind shipment. In addition for orders with multiple packages, identify each package as appropriate (Suggested as "skid 1 of 3", "skid 2 of 3", etc.). 2. The final destination address must be visible on 2 sides of all packages. Ideally, this would be on the long and short side. (For truckload shipments to a McNichols location, color coded branch ID stickers may be used instead of address labels, but for LTL shipments, they are used in addition) McNichols will supply the color coded tags for quicker identification of the final destination during unloading. The supplier shall contact McNichols purchasing for replenishment of tags as needed. 3. Assure that product is free of supplier advertising. The supplier s identification shall not be affixed to the product in any form except on the Bill of Lading and Packing. Any exception must be approved by McNICHOLS Co. 4. A package should contain only one order. If a package contains more than one line item, each line item must be clearly labeled with quantity and product identification. Note: A package must never contain orders for more than one final destination location. 5. The packing slip must be itemized showing the number of packages (pallets, cartons, bundles) and show a line for each product as labeled. The labels and packing slips must match for easy identification. Page7

8 6. FOR TRUCKLOAD SHIPMENTS ONLY: The Bill of Lading and Packing Slip must be scanned and ed to the McNICHOLS receiving branch prior to shipment. Nonconformities will have a penalty imposed of $150.00/invoice or 2% (whichever is greater). Please documents using the address for the destination receiving branch: 1. Refer to Barcode details for Labeling at Label barcode should provide McNICHOLS item number and description as presented in original purchase order for product. Product Labeling required for grating product only Label size: 1 x4 (See Image 1.1) Page8

9 Image 1.1 Print and mail a physical sample of new barcode labels for testing to: McNICHOLS Company 2502 North Rocky Point Drive Suite 950 Tampa, FL Attn: Supply Services Placement for Grating Labels Number of labels: two per panel (one per side). Place the label on the side of the material so that the barcode can be easily scanned from the forklift. Place label within 2 3 feet from the length wise of center of gravity (either the left side or the right side of the center). Repeat on opposite side so that both sides of the product are labeled. (See Image 1.2) Image 1.2 Page9

10 For all shipments by Common LTL carrier 1. See McNICHOLS purchase order for freight line to be used and any special packing requirements. Otherwise select carrier using LOG_FCD_726 Inbound LTL Carrier Matrix Ensure Pro number stickers are applied to the bill of lading and package(s). In the case of those that do not use Pro number stickers, write the name of the carrier on the package or shipping tag(s) with a marker. The package weight may also be written on the package for the benefit of the person lifting. 3. If more than one package is shipped on the same Bill of lading, identify each package as appropriate (Suggested as "order 1 of 3", "order 2 of 3", etc.). 4. Attach Fragile Handle with Care label to all "Cartons". Attach this label to other packages as appropriate. If a label is not available, hand write "Fragile Handle with Care" on package(s). 5. Affix a "Use Forklift Extensions Only" label to all skids over 6 feet long. If a label is not available, handwrite "Use Forklift Extensions Only on package(s). 6. Affix a "Top Load Only" label to all cartons and to any other packages susceptible to damage if not top loaded. If a label is not available, handwrite Top Load Only on package(s). Loading and Transport Loading shall be done in such a way to prevent damage or create a hazard at receiving. 1. Container loads must be blocked and braced to prevent shifting of product (Both side to side and front to back). Skids may be stacked only if bottom material will not be damaged, load is secure, and there is sufficient headroom for the forklift mast while removing any packages from the top of the stack. 2. Flatbed loads must be tarped and kept dry. If pallets are not used, load product on 4 x 4 dry blocks. 3. Take Photos of the fully tarped truck. The photos must also include a readable US DOT ID or license plate. 4. When loading bundled material on a flatbed trailer, place 4x4s (or equivalent material) for spacing purposes.
