3 GENERAL INFORMATION ABOUT THE EOS AdShop All EOS companies and EOS Holding divisions must register no more than one or two EOS AdShop users each. To rationalize the shipping of advertising materials, all items offered by the EOS AdShop are subject to the specified minimum order quantities (i.e. packaging units / specified numbers of items per carton). If a company or division requires no more than a single specimen of a given advertising material (e.g. for review or as a sample), then it can be requested directly from Corporate Marketing (in this case: please contact your personal consultant at EOS Corporate Marketing). 3
4 SETTING UP USERS AND DATA MANAGEMENT 1. Requesting personal access details ( user and password ) Go to the login page of the online shop at When you log in for the first time, click Not registered? (below the grey Log in button, see blue arrow). The following dialogue opens: 4
5 Personal details: The following information is mandatory, i.e. the boxes may not be left blank: - User/Benutzer User/Benutzer : personal address (e.g. t.cortinovis@eossolutions.com). - User/Benutzer Salutation/Anrede : either Mr or Ms. - User/Benutzer Second name/nachname : your own surname - User/Benutzer Password/Passwort : free choice, at least 7 characters, preferably a mixture of letters, numbers and special characters - Cost centres/kostenstellen Cost centres/kostenstellen : Two cost centers are assigned to each EOS company. Each cost centre has three digits plus either standard or event as a specifier. The registration form allows each user to mark the two cost centres that are relevant. If you don t know your cost centers pease contact Lisa Walther (see contact details on p.20). To select the two cost centers, click the left mouse button to begin the selection and hold the CTRL key down while you make the second selection. Later, when you order your advertising materials, this will allow you to distinguish between order categories (i.e. standard vs. event order). - User address/benutzeranschrift Name 1 : name of your own EOS company or Holding division - User address/benutzeranschrift Name 2 : specification of your own department or division especially relevant for orders placed by EOS Holding (e.g. EOS Corporate Marketing, or EO-MK for short). - User address/benutzeranschrift Street/Straße : street address of your own EOS company or Holding division - User address/benutzeranschrift Country/Land Zip Code/PLZ : country and postcode of your own EOS company or Holding division - User address/benutzeranschrift City/Ort : place of your own EOS company or Holding division 5
6 - User address/benutzeranschrift your personal address (same as under User/Benutzer, see above). When you have entered all the required details, click the red button Request Login or Login anfordern. These personal details are now sent to the EOS AdShop team in Hamburg, where they are checked. Once this has taken place and your account has been set up, you automatically receive an with the confirmation of your personal access details. 6
7 2. Language settings / first visit to the EOS AdShop When you open the login page of the online shop is presented again. By now you should have received your personal access details ( user and password ) which you need to enter at this point. Click the Login button. Please note: When you log in the first time it might last one or two minutes until the EOS AdShop site is presented. When you visit the website for the first time, it is presented in German. To change this to English, simply click the small Union Jack (marked below), and the site changes to English. Next time you log in, it will be presented in English straight away. 7
8 3. Saved user details To access your personal user details, right-click My account, top right. You are now offered the following two options: - Order archive: a list of all purchase orders and the free amount for advertising material (budget). - Administration: under User account you will find all your personal details, such as username, company name, address, etc. This is also the place where you can change your personal password to suit your preferences. 8
9 4. Free amount for advertising material per EOS company Go to My account Order archive Budget overview to view the current free amount (i.e. budget ) per EOS company (in EUR). Context: The price of each standard advertising material in the EOS AdShop (in EUR) is charged to the relevant ordering company. If a free amount was specified at the beginning of the year, then the costs of a given order are deducted from this free amount. If no free amount was defined or if the free amount has been exceeded, then all the costs above the relevant amount are accumulated. One month after the end of the current EOS Holding financial year (in March), the system calculates the total amount for each EOS entity that has placed orders and sends a collective invoice for this total
10 ORDER PROCESS 1. Selecting advertising materials The left-hand column of the EOS AdShop site has a catalogue of all advertising materials, divided into four main categories. You can select one of the following four product lists: Click the category you want. The products are initially presented as a list, with detailed information, as shown in the following screenshot: 10
11 To customize this view, click the following view icons (also marked in the screenshot above): The following product details are presented in the standard list view (columns from left to right): - Product photo - Dealer number / Customer item no. - Description - Packing unit: packaging unit or number of items per box - As from: minimum order quantity (this does generally match the packing unit) - Price per packing unit or per box (all prices in EUR) - per: one package / one box (i.e. minimum order) - Quantity: enter the relevant quantity into the blank box (i.e. number of boxes or packing units) - Shopping cart icon: if an order quantity (i.e. number of boxes or packing units) was previously entered in the quantity column, then this quantity is copied to the shopping cart when you click the relevant icon. - Quantity unit is box for all advertising materials. This is a packaging unit (see above). - Stock: indicates whether or not the product is currently in stock in the EOS store. Green dot available, red dot not available (more will be ordered), so please wait with your order until this dot is green again. 11
12 - Overall costs: total of all ordered boxes / packing units of the relevant product (in EUR) The left-hand column of the catalogue and of the main categories allows you to change between the various product groups while you shop. You can go to one product group after another and place the relevant products into your shopping cart. When you have completed your purchases, you have two options of viewing the content of your own shopping cart (see markings in screenshot): Please note: a klick on the marked button Check out (see above) will lead you to the shopping basket (overview of the selected advertising material) although it is named Check out. 12
13 2. Search and filter function Instead of viewing the product list via main categories, you may prefer to search directly for specific advertising materials in the left-hand panel, via Search or Detailed search (e.g. by keywords or article numbers). By default, all advertising materials per main category are sorted by dealer numbers or by customer item numbers in ascending order. To obtain a different view or sort order, simply change the relevant criterion in the box at the top: Filter item lists according to to suit your preferences (e.g. you may wish to view the product list by prices in ascending order ). 13
14 3. Shopping cart The shopping cart is a list of all the selected products with the relevant quantity details: The correct cost centre ( Account ) needs to be selected for each purchase above the product overview/list (marked below). A distinction is made between the following cost centres: Cost centre/ Account 1: Individual number Standard : this is a normal or standard order, i.e. the relevant costs are charged to the ordering entity. If a free amount was specified at the beginning of the year, then the costs of this order are deducted from the free amount. If no free amount was defined or if this free amount has already been exceeded, then all the costs above the free amount are accumulated. One month before the end of the current EOS Holding financial year (in January), the system calculates the total amount for each EOS entity that has placed orders and sends a collective invoice for this total. Cost centre/ Account 2: Individual number Event : the ordered advertising materials are required for a specific event and are therefore free. This means that the relevant product price is charged to EOS Marketing and not to the entity that has placed the order. Note the following requirement for event orders: You will need to specify the details of the event and the expected attendance on the Check out form (see item 4, Check out ). 14
15 You can also use the red Budget overview box above the table to find out the current level of your free amount for advertising material (i.e. budget), so that you can compare it with the order at hand. Having checked / edited the product details in the shopping cart you are now ready to proceed to the checkout by clicking the Check out button (bottom right). 15
16 4. Check out Check out allows you to review the following details of your order and edit parts of your order: - Expected visitors: this information is mandatory, but only for event orders. Make sure you also specify the relevant event cost centre. You need to enter an estimate of the expected number of visitors to the event. - You are free to choose the desired shipping/delivery date (a specific date). - Event name: this information is mandatory, but (only) for event orders. Make sure you also specify the relevant event cost centre (i.e. name of event + date). - The details of the ordering party (individual and ordering company) are automatically copied from the user details in the database. - The delivery address for this order can be edited if it differs from the previously specified address details To edit these details, go to the Change address box. - The lower part of the dialogue contains a list of all the selected products in this order with their quantities and prices. - Ignore the two boxes in the right-hand panel, File attachment for internal orders and Invoice to be sent to, as they are not relevant for your purposes. 16
17 If all the details are correct, click the red Send order button. The order is now sent to the warehouse for advertising materials in Hamburg. As soon as the purchase order has been processed and the goods have been dispatched by the warehouse, the ordering party receives an from the warehouse manager, confirming shipping and specifying the following details: - Which items are shipped? - Which company handles the shipping? - Package details (number, weight, package number / control number) - Expected date of delivery - Flight details (if shipment is sent via a shipping company) - Proforma invoice 17

Outstanding purchase orders / not sent yet If an ordering process has not been completed, i.e. the order is still awaiting approval via the Send order button on the checkout page, then this item appears in two places in the EOS AdShop (see marked sections on screenshot): - on the homepage in the central text section - in the shopping cart, top right 18
19 6. Logout At the end of each visit to the EOS AdShop you are requested to log out under Logout 19
