Sheffield Doc/Fest is offering the opportunity for a marketing professional to join the 2018 Festival team as Marketing Coordinator. As the Coordinator of a department, reporting directly to the Marketing Manager, the Marketing Coordinator will be a highly skilled communications professional and commercially minded individual who will work with the Marketing & Events Consultant and the Marketing Manager with the support of a small team, to deliver Doc/Fest s marketing and audience development strategies. Title: Marketing Coordinator Department: Marketing & Events Job Level: Coordinator Reports to: Marketing Manager Terms: Payroll, but can be freelance if preferred Tenure: Full time, fixed term contract Salary: 17, 000 to 18,000 pro rata Location: Sheffield, UK Start date: December 2017 End date: June 2018 Summary of Deliverables General Marketing Coordinate the collation, design, production and editing of all marketing materials; Input into, and deliver the Doc/Fest marketing, communications and outreach strategy for the Festival; Work closely with the Festival s graphic designers to refresh, and adhere to, the Doc/Fest brand; Ensure the organisation is represented by its correct branding and logo on all platforms, as instructed and signed off by the Marketing Manager; Service existing festival partnerships and media partnerships throughout the year; Liaise with marketing officers from sponsor companies to service sponsor agreements;
Seek to maximise ticket sales through public marketing campaigns and targeted film campaigns; Liaise with local partners and Sheffield City Council to book in outdoor media ahead of the Festival; Copywriting with good language skills and accurate grammar; Arrange contra deals with other organisations websites for banner advertising and logo placement; Work closely with and allocate tasks to the Publications & Marketing Assistant, the Marketing & Press Assistant and the Marketing Runner, ensuring timelines are adhered to and deadline are met; Work with the Festival s graphic designers to create merchandise, and liaise with outside suppliers for production; Task manage the Publications & Marketing Assistant in securing discounts from local food and drink vendors; Update relevant sections of Doc/Fest s website as required; Update relevant sections of Doc/Fest s app as required; Task manage the Marketing & Publications Assistant in creating Festival slides, and deliver to appropriate venues; Ensure that the Marketing Interns and Volunteers are being properly utilised; Ensure all film trailers are hosted on Doc/Fest s YouTube with appropriate logos and laurels; Use Asana management system in order to set, and keep to, deadlines; Print Coordinate distribution of printed material including organising staff to undertake regular postal mail outs; Review the publications workflow and implement any improvements to how teams collate and deliver content for publications; Set and coordinate the timelines and schedules for all publications with festival staff and content providers; Set up and coordinate regular departmental meetings to ensure all departments are due to deliver content on schedule; Set briefs, deadlines and word counts for each publication with each department; Collate and edit all content for the industry catalogue, public programme guide, highlights booklet, Decision Makers guide, Marketplace guide, and all other publications; Closely proof-read all publications; Work with Publications Layout Designer to ensure they have content from the Doc/Fest Films, Talks & Sessions, Alternate Realities, Marketplace, Doc/Player, Events, and Operations teams; Task manage the Publications & Marketing Assistant in selling advert space for the industry catalogue, public programme and for the delegate bag
inserts; Work together with the Marketing Manager with sponsor branding & publicity materials; Task manage the Publications & Marketing Assistant in the production of signage in-house and with external designers, and ensure its accurate positioning and movement during the Festival; Create adverts in-house for external catalogues and magazines; Task manage the Publications & Marketing Assistant in the creation of inhouse publications as required, including but not limited to flyers, Road Maps, and business cards; Coordinate merchandise for sale during the Festival; Together with the Marketing Manager be responsible for merchandise stock take and cash handling as and when appropriate; Coordinate a team of volunteers during the Festival; Coordinate packing of delegate bags and give-aways; Create awards slips in-house; Assist with the layout and presentation of the Festival report; Online Coordinate the Marketing Team to regularly update social networking websites, and other member areas. Including pre-scheduled social media communication (Facebook, Twitter, Instagram) and live- Tweeting/Facebook posting where required; Task manage the Publications & Marketing Assistant to maintain and update the Doc/Fest Wikipedia; Create the regular email newsletter; Reporting Ensure that the Publications & Marketing Assistant reports regularly on sales (Pass sales); Analyse and report back on the successes / lessons learnt in relation to marketing campaigns; Coordinate the documentation received from the photographers and videographers and store on the server; Work together with the Marketing Manager with capturing, collating, inputting and analysing public and delegate surveys and all audience data; Write appropriate sections of Final Festival Report and Debrief; Write appropriate sections of funding applications and sponsor reporting. Experience of coordinating and developing marketing campaigns; Good knowledge of effective digital marketing campaigns; Experience of working on publications for a major event; Experience/knowledge of tourist destination marketing; Good knowledge of trends and existing networks, in the film, television and documentary industry; An interest in interactive and immersive media and virtual reality; Experience of coordinating with media partnerships and servicing brand sponsorships; Confidence to meet and greet guests and speaking in public; Good sales technique; Ability to work within a team and task manage trainees; Experience of working in a fast-paced and pressured environment, delivering to strict deadlines; Excellent copywriting and proofing skills; Experience of working within budgets effectively, including making small budgets stretch further; An understanding of financial reporting; Proficiency in IT skills including Photoshop, InDesign, Excel and Powerpoint as well as mailing software and online systems; Knowledge of Sheffield or Sheffield City Region is desirable.
