JOB DESCRIPTION Job Title: Reporting to: Supported by: Operations Manager Lead Minister Trustee, Human Resources Consultant Main responsibilities: Plan, develop and deliver the services needed by the Trustees / Leadership team to achieve the Church s mission and strategic initiatives Lead, train and motivate a team of staff to ensure the timely delivery of these services Provide effective and efficient administration and operations (eg finance, human resources, IT, health & safety and procurement of external service & supplier contracts) and ensure legal compliance Ensure the development and delivery of internal & external communications and event management. Staff reporting to this role: Operations Support Assistant, Welcome Administrator, Finance Manager, Maintenance Manager and Cleaner(s). Working with: Ministers, Trustees / Leadership Team, staff in our church-based preschool / Rainbow, Church Volunteers Main tasks: Church Leadership Support Team Leading Play a key role in the leadership team meetings, and help turn strategy into reality by driving actions and advising on operational implications Plan, develop and deliver the services needed to support the Leadership in the Church s mission and strategic initiatives Encourage active involvement from members of the church in volunteering in church activities. Lead, train, develop and motivate staff and delegate appropriately Ensure the Office and Reception is adequately staffed, plan staffing rotas and ensure appropriate level of cover Provide regular supervision of staff Recruit and select new staff making good use of their skills and experience. Administration & Legal Compliance Finance: ensure provision of timely management accounts and financial data to the Treasurer; monitor giving, bank reconciliation and cash flow. Manage the Operations / Resources budget and ensure all expenditure and purchases are kept within agreed budgetary limits. Ensure payroll, expenses and pensions are all handled within the correct procedures. Support the Treasurer to produce the annual budget v2.2 dated 30 May 2017 Page 1
Health & Safety: ensure compliance with all health and safety, first aid and fire regulations and manage incidents (eg as the principal point of contact) with a formal audit trail Child Protection: ensure that DBS checks (staff & volunteer) are undertaken and maintained and that line managers and the Child Protection Officer are notified Human Resources: ensure that the process for new staff recruitment (lay & ministerial) is actioned, job descriptions in place, induction training carried out, employment contracts are issued, changes to terms of employment administered, HR queries answered, performance reviews conducted, employment policies are adhered to (and reviewed), employment law observed and employment records maintained and kept up to date IT: ensure that equipment, software and services are fit-for-purpose and maintained Insurance: ensure that employer, public liability, building and contents insurance are renewed annually Procurement: ensure that contracts with external suppliers are costeffective with well-defined requirements & deliverables Risk Assessments: undertake risk assessments and manage allocated risks Building premises: ensure that routine maintenance and cleaning is carried out. Ensure Manse properties are maintained appropriately. Build and lead appropriate volunteer team to support this work Records: ensure that appropriate administrative records (eg Church members; Rainbow/Children s Centre, CCLI, rotas, keys) are maintained which comply with data protection requirements and disclosure of information. Act as the Data Controller with the Information Commissioner s Office Process and Policies: review and maintain the staff handbook and all policies and procedures related to the administration of the church activities seeking external input and Trustee approval where required. Welcome, Communication and Events Ensure that during church opening hours visitors to the building are welcomed and that all general telephone and e-enquiries are dealt with Foster a one-team approach across all functions and ensure that people visiting the church are proactively informed of the availability of relevant services such as parenting courses or pastoral support Support the Welcome Administrator in handling situations of conflict if they arise Take ownership for internal and external communications content and assess the effectiveness and suitability of communications delivery Ensure the timely communication of information internally within the congregation via print, web and social media Ensure the timely communication of information externally via print, web and social media Ensure the planning, organising and implementation of key church activities (funerals, dedications, marriages, children's activities such as Holiday Club & Light Party, Church Meetings etc). MAIN TERMS OF EMPLOYMENT 1. SALARY 30,000pa. 2. HOURS OF WORK 37.5 hours per week, Monday Friday with flexible hours. 3. ANNUAL HOLIDAY 25 days per year, excluding public holidays. 4. SICK PAY 4 weeks. 5. PENSION Workplace contributory pension scheme via The Peoples Pension in which your contribution * is matched by Bookham Baptist Church up to 5% of your salary. * your minimum contribution is specified by the Government. 6.
