Job Description Job Title: Recruitment Administrator Hours: 35 per week Responsible To: HR Advisor Works With/Key Contact: Staff & Managers across the Home External suppliers of HR Services Job Applicants Location: London Duration: 6 Month Fixed Term Contract Responsible For: N/A Salary: 19,500 per annum Context and Background Established in 1860, Battersea Dogs & Cats Home aims to never turn away a dog or cat in need of help, caring for them until their owners or loving new homes can be found, no matter how long it takes. We are champions for, and supporters of, vulnerable dogs and cats, determined to create lasting changes for animals in our society. Every year, we care for over 8,000 dogs and cats. The Human Resources team works in partnership with Managers and staff across the Home to help them achieve their objectives, and provides high standard advice, guidance and support on all human resources and development issues. Our objective is to recruit, develop and retain high quality staff to enable the Home to provide the best possible support for the animals in our care whilst we are finding new homes for them, and to educate the public about responsible pet ownership. We are currently leading on a number of initiatives to further improve our ability to deliver these objectives. The Recruitment Administrator will work closely with the HR team and will be responsible for providing an efficient and effective recruitment service to managers and candidates Main Purpose of the Role To provide administrative support for recruitment campaigns and ensure that accurate records are maintained. Overall Objectives Manage logistics for recruitment campaigns within the agreed timescales To administer recruitment activities, ensuring that internal and external customers receive a prompt and professional service Create, store, maintain and organise HR records on a timely basis, ensuring their accuracy
Responsibilities Approx % of time Administers the recruitment process, including publishing internal vacancies, advertising external vacancies, preparing shortlists, arranging interviews and tests, creating offer letters and contracts of employment from templates. 45% Enters new starter information onto the HR database (Snowdrop) and keeps the 15% data up to date Processes pre-employment checks and chases outstanding reference requests 20% Provide support to interview panel members, including escorting candidates, booking rooms, administering selection tests/assessments and participating in the interview process 10% Creates, updates and maintains other electronic and paper recruitment, and personnel files. Keeps shared drives organised and up to date in accordance with the records management policy 5% Ad-hoc administration required by the HR Teams 5% The above job description is intended to be an outline of the duties and responsibilities for this role. Person Specification Essential Experience of successfully managing recruitment activities and campaigns and managing and responding to recruitment queries and complaints Highly organised with experience of working in an administrative role in a busy office, setting up and maintaining efficient administrative systems and dealing with sensitive information IT literate: - competent user of Word, Excel, Outlook, and PowerPoint. Good working knowledge of databases and experience of accurate data input Ability and motivation to deliver high quality work with minimum supervision Understands and demonstrates tact and awareness of impact of sensitive HR issues Good numeracy with strong analytical skills Proven experience of working constructively and collaboratively with colleagues from different teams A flexible approach to managing and prioritising a high workload and multiple tasks A high level of accuracy and attention to detail Experience of keeping up to date with and applying good practice in your role Experience of positively embracing and adapting to change Experience of suggesting and taking the initiative about new ways of working that have been successfully implemented
