For more than 20 years EASY SOFTWARE has been providing standard solutions for revision-proof archiving and managing documents and information in SAP systems. With more than 1,000 installations, the EASY solution for capturing incoming paper documents, outgoing print documents and lists, as well as application data in SAP, has been tried and tested for over a decade. Always certified for the most recent SAP versions, it has always been characterized by its reliability, even with high loads. Economic buyers, employees, auditing firms and, last but not least, regulatory agencies expect and demand a document's derivation: the complete ordering process to an invoice, for example. From query to delivery note and goods receipt through to the posted purchase invoice, including account statement as proof of payment. Each of these processes includes documents and information not just from SAP but also from other software tools such as mail systems, Microsoft Office applications, or department-specific software solutions. Add to that the fact that paper documents are today just as much a part of multiple processes, posing great challenges to businesses in assembling complex processes. EASY adds the capability to your SAP system of easily and quickly storing all documents in a compliant manner, and of providing them directly from SAP, including the corresponding SAP Business Objects. They are stored and displayed here within the structures you want, e.g. as a customer file, process file, patient file, accounts payable file, project file, or industry file. ARCHIVING THE CERTIFIED INTERFACE TO EASY for SAP Archiving supports all functionality of the SAP standard interface ArchiveLink. For example, incoming and outgoing documents, print lists, as well as archive files can be stored and archived in EASY. I. Incoming documents Paper-based documents and original Business Objects are digitized via EASY. Depending on the respective storage scenario, they are captured directly from EASY or the SAP interface. Paper documents are digitized; associated pages are bound to documents. The generated transaction files are stored directly in EASY; they are ready for use in and from the user's familiar SAP environment. The most important entry scenarios: n Storing for subsequent entry Here the incoming documents are stored prior to entering the SAP application documents resulting from them. Storage of a document generates an SAP work item in the responsible user's Inbox. Based on such Business Objects, entry of the SAP document can be immediately started from the SAP Inbox, even when using an SAP Business workflow. ARCHIVING n Storing with barcodes Within the "Late storage with barcode" scenario, the SAP application document is subsequently assigned to the digitized documents using a barcode attached to the incoming document. Initially, the document is conventionally entered via the previous SAP transaction using the corresponding paper document. While posting it, the barcode is entered in the posting mask, and managed by SAP R/3. The processed or posted original documents are finally digitized in the stack after the user has completed their work. Automatic barcode recognition in EASY reads the barcode docked on the SAP system. SAP then automatically assigns the document to the corresponding SAP application document. Besides: When using the "Early storage with barcode" scenario, the incoming document will be digitized and stored prior to the actual posting process in SAP R/3. n Store and enter The "Store and enter" scenario allows concurrent storage and entry of the SAP application document. n Assign and store Similar to the "Storing with barcodes" scenario, the digitized incoming document is assigned to an already existing SAP application Business Object. However, the use of automation mechanisms is sacrificed here. Assignment is manual, document by document. II. Print lists Any print lists of the SAP system can be archived, e.g. balance and account lists, journals, or screen lists. The print lists stored via SAP are available to users via a corresponding transaction in SAP. The SAP system attributes the lists (e.g. with regard to account number or customer number). You access the corresponding original document directly from SAP, using a hyperlink. III. Outgoing documents Customizing the SAP message control provides the option to store outgoing documents additionally in EASY in parallel to the desired output medium. This gives you the option to display the original document to the business document from EASY in addition to displaying documents from the SAPGUI. IV. Data archiving By default, EASY for SAP can create application data in archive file format via SAP ArchiveLink. The solution creates and manages the archive files to be stored in SAP as usual. ArchiveLink sends these archive files or archiving objects to the EASY solution for saving and managing them. In addition, you can search documents on the archived Business Object in EASY, and display them in SAP. Perfect modules for optimal work with EASY for SAP.

ARCHIVING PLUS By extending the functionality of EASY for SAP Archiving, EASY for SAP Archiving Plus additionally provides the option to search and display all archived documents in no time at all using the traditional, convenient EASY search engine, with search being performed in EASY. The index terms provide the transaction pertaining to the EASY for SAP Archiving Plus functionality. EASY for SAP Archiving Plus establishes a connection to SAP documents that have already been archived, using this information. This allows even searching original Business Objects for SAP documents which have already been reorganized in SAP and are therefore no longer - at least not that quickly - available. DOCUMENT ACCESS Traditional SAP environment: EASY client: FOR ALL EASY USERS Searching one or more search terms in the SAP and EASY client work environments. SMART LINK DOCUMENT MAPPING IN BULK OPERATION EASY for SAP Smart Link is a profitable and at the same time convenient addition to the standard SAP scenario "Assign and store". Because Smart Link lets you subsequently assign archive documents also to existing SAP entries fully automatically. EASY for SAP Smart Link eases the workload particularly on users handling huge amounts of documents every day, while costs are reduced. If you want to include the following automation scenarios in your organization into your daily routine tasks, EASY for SAP Smart Link is the ideal addition to your SAP ERP production environment: n Delivery notes are assigned to the corresponding documents immediately after posting the purchase invoice. n Outgoing documents generated by SAP are automatically linked with the respective posting after passing them to an output management system for print processing. n The delivery note signed by the customer (proof of delivery) is automatically assigned to the delivery. Both documents, original and proof of delivery, are made available at the touch of a button. n Any documents ("legacy") are linked with already existing SAP documents. In all use cases EASY for SAP Smart Link creates the link in SAP. For this purpose, it reads suitable index data from EASY for SAP Smart Link, searching for the associated document in SAP. If the link is unique, the original Business Object will be automatically linked with the SAP document. If the index data does not allow unique identification, EASY for SAP Smart Link will provide a list including available SAP Business Objects from which the user can select the suitable Business Object. Besides: The EASY for SAP Smart Link administrator can arbitrarily configure the index terms to be used. Individual ABAP customization is not required. Smart Link allows efficient document management and lets you significantly optimize the routine tasks that accrue. You will save costs, free resources, and concentrate on essential tasks. Searching in the familiar interface: EASY for SAP Find or SAP Document Finder lets you search also documents that have not been created by SAP.

FIND ONE OF THE FIRST RETRIEVAL INTERFACES. AND ONE OF THE BEST. EASY for SAP Find lets you find documents in any EASY archives from SAP even in archives that do not contain any original SAP data. The browse dialog matches the look & feel of your traditional SAP environment. That's why it's very easy to use and does not require any training. EASY for SAP Retrieval is very easy to install because additional installation of EASY for SAP on the client is not required. Add to that the fact that the solution can be scaled anytime. All this makes EASY for SAP Find an ideal addition to other EASY modules; however, EASY for SAP Find shows its strengths equally well in single operation. Finally, EASY for SAP Find contains its own interface to the SAP Document Finder. SAP provides a wide range of applications, services, and interfaces for document management and archiving. This includes, for instance, Business Documents for managing incoming and outgoing business documents, ArchiveLink for auto-processing and integration of business documents, as well as Document Finder, which provides documents from external archive systems. With EASY for SAP Find, EASY was one of the first providers of document management and archiving software offering an interface to Document Finder. From release version R/3 Enterprise, SAP, with its Document Finder, provides an integrated retrieval interface that implements a combined attribute and full text search inasmuch as the connected archive system supports it. Centralized search both for internal SAP and external documents is possible. The Document Finder provided by SAP is composed of the search mask for setting the search terms and criteria, and a hierarchical hit list for listing searched documents. The document region is central to a Document Finder search. It represents a class of documents with identical attributes. When launching Document Finder, document regions can be selected for the following search. Two standard document regions in which you can search, respectively, for print lists or incoming and outgoing documents are available. The context menu allows starting various functions for the selected entry: n Attributes, also index terms, for the entry n Filter functions n Document display, i.e.: access to the original document n Business Object display (associated business transaction)

FIND TAKE A CLOSER LOOK. However, EASY for SAP Find lets you use more than just retrieval and display functions for archived original documents in SAP Document Finder. Moreover, it enables you to define your own document regions for searching in non-sap EASY archives. Unlike the hierarchical standard representation of Document Finder, EASY for SAP Find provides a tabular hit list allows users to directly view important document data. This feature is only available from EASY. For the EASY user this means that they can make all EASY archives accessible for the SAP system using this interface. The easiest configuration here is a 1:1 relationship: An EASY archive is used as a separate document region. The hit list, which may vary according to document region, allows optionally viewing details, filter criteria in the hit list, or the document itself via the context menu usually the index fields or attributes of the document. Access and display are via ArchiveLink. Display control is set in protocol maintenance. Display itself may result both via the browser and, for EASY users, the system's own EASY View Plus software, which supports more than 300 file formats, including MS Office, CAD, and all popular graphic formats. EASY MAKES THIS POSSIBLE. Open EASY for SAP Find from the SAP interface. Starting the search after entering one or more search terms. Displaying all documents that match the search criteria.
