Job Description Centre for Sport Manager George Watson s College is seeking to recruit a Centre for Sport Manager to join the team at the George Watson s College Centre for Sport. THE SCHOOL George Watson s College is renowned as a large, inclusive and vibrant co-educational school offering all-through education for children from 3-18. Despite its size, everyone remarks that it has a small-school feel : the close-knit and friendly relationships amongst all its constituents are a hallmark of the School. Its motto ex corde caritas (Love from the Heart) is central to its values as it seeks to sustain what is described as The Watson s Family. This tangible sense of togetherness is significantly enhanced by everyone being on one purpose-built site, which is located in the attractive residential district of Morningside, to the South West of the centre of Edinburgh. Edinburgh itself is the second strongest city economy in the UK, outside of London, with the highest percentage of graduates and professionally qualified adults in the UK and over 25% of school age children attending fee-paying schools. Watson s is proud of its independent status and, whilst remaining true to its Scottish roots, seeks to sustain and develop an international perspective. The curriculum is adapting to the innovations inherent in Scotland s new Curriculum for Excellence and the new Scottish National Qualifications. In addition, the School offers its older pupils the opportunity to take the International Baccalaureate Diploma programme. Watson s is the only school to offer this alternative alongside Scottish qualifications. The School welcomes a wide range of academic ability, and has very high academic standards, with 90% of pupils going on to Higher Education and a large proportion of pupils achieving outstanding success. Watson s also has excellent facilities, and offers a huge range of courses as well as extra-curricular activities. In addition, it has particular strengths in Sport, Music, Drama, Outdoor Education, Technology and in Support for Learning. The School is very well resourced with a campus-wide IT network. The current Principal, Mr Melvyn Roffe took up his post in August 2014. He is a member of the Headmasters and Headmistresses Conference (HMC). THE CENTRE FOR SPORT The Centre for Sport provides state of the art fitness equipment, a swimming pool and a suite of sports halls and gymnasium spaces. Outside there are two all-weather playing surfaces and grass pitches, including the famous Myreside pitch with its grandstand. This is also used by Edinburgh Rugby as their home ground. Three pavilions complete the sporting facilities at the School. The Centre for Sport and our external sports facilities are used by our pupils for PE lessons and extra curricular activity, hired out to commercial 1
customers on a fee paying basis and are available to the fee paying membership of The Galleon Club. In addition, the sports facilities are extensively used by the Watsonian Sports Sections which provide community access to high quality club activities in rugby, hockey, squash, swimming, target rifle shooting, golf, angling and curling. JOB PURPOSE The Centre for Sport Manager is responsible for the safe, efficient, cost effective and professional running of the George Watson s College Centre for Sport, The Galleon Club and the management of the letting of other sports facilities at the School. The post holder ensures that Galleon Club members and other commercial customers enjoy a professional and engaging leisure experience without compromising the use of the facilities for teaching and extra curricular activities. The post holder will be expected to increase revenue into the Centre of Sport, build key customer relationships, identify new business opportunities, and maintain extensive knowledge of current market trends. Potential new members, additional clients and service providers have to be found, nurtured and converted into business for the future, and balance this against the core School use of the Centre for Sport. KEY DUTIES/REPONSABILITIES Line manage the Galleon Club staff; set and measure against clear professional standards of customer service, cleanliness and hygiene, health and safety, and conduct. Develop a fantastic team and lead them to create exceptional service at every stage of our customers and members experience. Ensure all team members represent the company in the best light, maintaining standards and the ethos of George Watson s. Ensure annual performance reviews are undertaken, targets set, development plans created and ensure that essential training needs are met by all. Provide an efficient service to the George Watsons College PE and Sport Department, the centre s biggest user. Develop close, positive relationships with the Watsonian sports sections. Lead weekly department meetings, ensuring agendas and minutes are prepared and circulated timeously. Ensure all health and safety requirements of the Centre are in place, accidents appropriately and properly recorded, COSHH procedures are followed, and incident management plans developed and work closely with the Health and Safety Officer on issues that arise. Prepare staff rotas, including holidays whilst ensuring adequate staffing levels are maintained. Approve staff involvement with school trips Working with Human Resources on the timely appointment of staffing of Camps and ensure the hire of private fitness instructors completes the necessary due diligence processes Ensure the Pentland Fitness Suite is supervised as required. Regularly review all procedures relating to pool maintenance Ordering of chemicals, materials and other goods as required through following School financial processes. 2
Ensure that all pool tests and pool management and cleaning standards are met. Manage the maintenance, repairs and cleaning schedules of all equipment and the facility and work with the Director of Property to develop a maintenance schedule for the facility Ensure the Galleon management information system is accurately maintained and developed to produce accurate, meaningful reports. Prepare monthly reports for the Chief Operating Officer and annual reports as required for Principal s Leadership Team or Governing Council, presenting them to Committee members when requested. Commercial Work with the Chief Operating Officer and Director of PE and Sport to develop a Business Plan for the Centre for Sport, The Galleon Club and external facilities and develop and deliver plans when approved Manage the booking of all facilities and the appropriate preparation, monitoring and follow up of all lettings, ensuring contract documentation is robust, health and safety requirements in place and invoices prepared within contract specifications Review usage of the facilities by members and hires and develop strategies to maximise revenue Build relationships with existing users of the facilities, seek to create new relationships that open up opportunities for commercial partnerships in the future. Creating an engaging environment for members, ensuring they receive the highest levels of customer service at all times, whilst dealing efficiently with member feedback and deliver effective resolutions to complaints/problems. Ensure maximum membership levels are maintained, whilst also focussing on member retention through the delivery of brilliant basics. Ensure marketing and promotion of facilities via social media, printed material and the School website, is professional, timely and appropriate and in liaison with the Chief Operating Officer and Director of Marketing develop an annual comprehensive marketing and communications plan. Ensure the information on the website and TV monitors is up to date Keep abreast of industry trends and make recommendations with cost and revenue analysis, to the Chief Operating Officer to ensure The Galleon Club remains sector leading. Ensure Galleon Camps are advertised at the start of each session, income and expenditure are closely managed and customer feedback collected and analysed, in order to return an increasing profit year on year. Responsible for organising and managing the Galleon camps, liaising closely with key PE staff as required. Develop relationships with all external agencies using the Centre for Sport and identify possible new partners Ensure appropriate contracts/agreements are in place for new business, as required Ensure the School PE curriculum is not adversely impacted by any business development activities Handle complaints and incidents following School procedures, e.g. accidents, emergencies etc. Finance Prepare annual budget working closely with the Chief Operating Officer for approval of Bursar and Finance committee. Submit income and expenditure projections for Galleon Sports Camps as required Ensure all financial practices are robust, audit requirements are met, sign off the weekly totals for cash taken etc. 3
Work with the Assistant Bursar to ensure all invoices are generated and cash received Involvement with audit procedures as required. PERSON SPECIFICATION Essential Requirements, for selection at interview: Experience of running a sport, gym or leisure facility at management level, ideally for 2+ years. Experience of managing a team, coaching and developing team members, handling of conduct and performance issues, recruitment of staff, performance appraisal conversations etc. High professional standards of conduct Good understanding of health and safety requirements of a gym and sport environment Excellent standard of written and verbal communication Proven track record in sales and customer relationship management that has driven up revenue in a leisure environment A business or leisure degree IOSH Managing Safely (or equivalent) and COSH trained Knowledge, experience and skills: Ability to write and analyse comprehensive management reports and business plans. Strong interpersonal skills, with the ability to develop strong relationships, influence and communicate at many levels and with wide variety of stakeholders. Ability to deliver presentations that are persuasive, compelling and engaging. A thorough knowledge of the market and of the Galleon Club s competitors Impressive people management skills including the ability to coach and develop multi-functional teams to deliver targets. Is a self-starter, capable of working on their own initiative with minimal direction, but also a good team player who works with and through others to achieve results Strong commercial skills and financial acumen, with experience working with sales targets, as well as P&L accountability and driving multiple revenue lines. Excellent maths skills and a high degree of competence with Microsoft or Google packages, particularly Excel or Google Sheets and management information systems Understanding of performance metrics including P&L, revenue, budgeting, inventory, payroll, cost controls and facilities maintenance Has managed an income/expenditure budget > 250k Ability to work under pressure to tight deadlines DISCLOSURE SCOTLAND - PROTECTION OF VULNERABLE GROUPS SCHEME 4
