Typographical Conventions The following lists the typographical conventions used in this training document Presents a suggestion that may simplify or explain a procedure. Presents reminders and suggestions to improve or explain a procedure. Presents informational data that may or may not require action on your part. Presents a visual alarm. Failure to observe this advisory could result in errors and data loss. Operations Unit Units Indicates a menu path or a menu name in the SPARCS N4 user interface For example, in the Operations work mode, select the Unit menu and then the Units option to display the Units view. Bold Type Presents an item which is important and it maybe defined in the current Training Document or N4 Glossary of Terms Hyperlink within the current document or to an email address 1. Overview VIT SPARCS N4 allows the line operator to create vessel load lists for Export and Transship Units. The vessel load list may be exported to an Excel stevedore. As a best practice, the spreadsheet should providing to the stevedore to reconcile any containers that may require update of routing information. Requests for empty evacuations should be sent 48 hours in advance of vessel arrival to nitshipempty@vit.org The vessel load list should be submitted directly to the stevedore as per current cut-off arrangements between the entities. Vessel owners are permitted to see restricted information for partner line operator units sharing the same vessel. Detailed information for units may only be viewed by the line operator of record for the unit. N4 Vessel Load List Training Document 5

Units: Definition Operations Unit Units Units view 1. The Units view displays the units that exist at the current scope level. 2. You can create a filter to limit the data displayed, such as displaying only the export units for vessel loading. Refer to the N4 Filter Training Document for additional information. 3. You can double-click a unit to display the Unit Inspector for the selected unit. Refer to N4 Unit Inspector Training Document. 4. There is a significant amount of information associated with the unit entity, more than can be displayed on one screen. For instructions on setting up the Units view to meet your needs, see Hiding and displaying columns and reordering columns. Refer to N4 Basic Navigation Training Document. Best practice is to use filters to reduce the number of record shown in a list view for export/transship containers loading a vessel. The filter may be saved and reused changing only the depart carrier. 1 2 3 7
Opening and Extracting Data with the Vessel Load List Filter VIT will assist the Line Operator by creating a reusable filter for extracting the vessel load list. The steps for opening this filter are as follows: 1. Select the load list preceded by the line operator code from the filter drop down. (In this example, HLP Load List ) 2. The enter Parameter Values form is opened. Type in the first few characters of the vessel name, then select the vessel/voyage from the drop down. 3. Opening and Extracting Data with the Vessel Load List Filter 1. Columns on the displayed vessel load list may be sorted by left clicking on the column title. 2. A second column sort may be added by right clicking on the column title and left clicking Add Second Sort from the drop down. Choose either ascending or descending order. Additional columns may be added or removed by left clicking on them. The check mark indicates the column is displayed. 3. The total number of units in the vessel load list is at the bottom right of the screen (In the example: 1:825 or one record selected, total records 825) 1 3 2 N4 Vessel Load List Training Document 9

Select the Excel file from the location where it was saved. 3. Open the file. Tips for Reconciliation of Load List Reconcile differences in unit counts before exporting to an excel spreadsheet. Sort the vessel load list in SPARCS N4 to match the line Ex : -numeric. This allows the line operator to more quickly identify any discrepancies. Make sure that units that unexpectedly do not appear on the SPARCS N4 vessel load list have been rolled to the current outbound vessel with routing information updated.
