Typographical Conventions The following lists the typographical conventions used in this training document Presents a suggestion that may simplify or explain a procedure. Presents reminders and suggestions to improve or explain a procedure. Presents informational data that may or may not require action on your part. Presents a visual alarm. Failure to observe this advisory could result in errors and data loss. Operations Unit Units Indicates a menu path or a menu name in the SPARCS N4 user interface For example, in the Operations work mode, select the Unit menu and then the Units option to display the Units view. Bold Type Presents an item which is important and it maybe defined in the current Training Document or N4 Glossary of Terms Hyperlink within the current document or to an email address 1. Operations Unit Units Units view How to Open Units view 1. Click Operations > Unit >Units 2. Opens Units view 1 2 5

Units: Definition Operations Unit Units Units view 1. The Units view displays the units that exist at the current scope level. 2. You can create a filter to limit the data displayed, such as displaying only the import units. Refer to N4 Basic Navigation Training Document. 3. You can double-click a unit to display the Unit Inspector for the selected unit. Refer to N4 Unit Inspector Training Document. 4. There is a significant amount of information associated with the unit entity, more than can be displayed on one screen. For instructions on setting up the Units view to meet your needs, see Hiding and displaying columns and reordering columns. Refer to N4 Basic Navigation Training Document. Best practice is to use filters to reduce the number of record shown in a list view. Refer to N4 Basic Training Document for details. 1 2 3 6

Units: Actions Defined page 1 of 3 Because of the large number of options in the Actions menu, they have been grouped into the following categories (1) Parent and (a) sub-menu ACTIONS: A. Update: Includes the option: a. Holds/Permissions B. Reefer: Includes options: a. Update Reefer Requirement C. Transactions: Includes options: a. Reserve Equipment b. Cancel Equipment Reservation c. Assign Booking Order d. Assign Equipment Receive Order SPARCS N4 only creates the parent menus (for example, Update, Reefer, and Transaction) if there are any sub-menu actions allowed. Click the parent menu then click the action desired. (1) (a) 7

Select from the drop down menu For example, if you want to update the Reserve Equipment, start typing Reserve and select from the drop down menu. Similarly you can type Ctrl-S to access the Select Action option. 1 2 4 3 5 8

Refresh Button Units: Actions Defined page 3 of 3 When you use an Actions menu option to update a unit, SPARCS N4 automatically refreshes the data displayed in the Units view and the Unit Inspector. To view the updates performed by other users or PS, click Refresh Button in the Units view or the Unit Inspector. 9

Units: Record Counter Display The Record Counter displays the number of records selected, the total number of records displayed in the list view, and the total number of rows in the table separated by a colon. For example, 1. Select 24 rows in the list view The Max Table Rows is set as 3000: There are 6252 rows in the table 2. SPARCS N4 displays the value as 24:3000:6252. If there are only 400 rows in the table and all the rows are displayed in the list view, SPARCS N4 omits the last section and displays the value as 24:400. 1 2 10

Units: Actions > Reefer > Update Reefer Requirements 1. Highlight the specific unit 2. Select the Actions menu or Right-Click Opens menu options 3. Select Reefer 4. Select Update Reefer Requirement 5. Open Reefer Requirement form The Reefer Requirements form enables you to set the reefer requirements and monitoring times. This information is available to your M&R Vendor Refer to N4 Reefer Training Document for details. 2 3 4 5 1 12

Units: Actions > Transactions > Reserve Equipment 1. Highlight the specific unit 2. Select the Actions menu or Right-Click Opens menu options 3. Select Transactions 4. Select Reserve Equipment 5. Open Reserve Equipment form The Reserve Equipment form enables you to reserve selected empty unit(s) against a Booking or EDO. Refer to N4 Booking Training Document for details. Units: Actions > Transactions > Cancel Equipment Reservation 1. Highlight the specific unit 2. Select the Actions menu or Right-Click Opens menu options 3. Select Transactions 4. Select Cancel Equipment Reservation 5. If Successful a message is displayed and bottom of screen The Cancel Equipment Reservation enables you to cancel empty unit(s) reserved against a Booking or EDO. Units: Actions > Transactions > Assign Booking/Rail Order 1. Highlight the specific unit 2. Select the Actions menu or Right-Click Opens menu options 3. Select Transactions 4. Select Assign Booking/Rail Order 5. Open Assign Booking/Rail Order form The Assign Booking/Rail Order form enables you to assign an export or transship unit(s) to a Booking. VIT does not use N4 rail orders we use the railroad waybill. Refer to N4 Booking Training Document for details. Refer to N4 Rail Training Document for details. 2 3 4 1 5 15
