Position Title: Church Administrator Job Classification Full-time/Salaried Principal Focus First United Methodist Church Job Description Support the church s programs and plans by addressing the business needs of the church serving as the church s Chief Operating Officer and Human Resources Manager. Regular Duties Financial Management: a) Oversee the church s purchasing to ensure that all purchases are secured within budgetary guide lines and disbursements are properly approved. b) Act as an advisor to annual stewardship campaign and every member canvas. c) Required reports are obtained and submitted to the appropriate committees and the pastor. d) Ensure bills, statements, invoices etc. get submitted to our agreed accounting firm in a timely manner. Operations Management: a) Lead in securing bids for work to be done and purchases to be made. b) Oversee supervision and inspection for contractors and vendors to ensure work compliance with contracts. c) Develop and oversee a maintenance program for church facilities. d) With input from staff develop strategic plan for room usage of church facility. e) Oversee the marketing and public relations of the church. f) Work with paid staff and church members to achieve the goals of the church. g) Oversee the care and maintenance of all machines of the church. h) Maintain legal records of the church. i) Maintain the records of the volunteer program. j) Develop plan and coordinate the arrangements for worship, special church functions, weddings, funerals, and baptisms. k) Maintain inventory records. l) Coordinate orders for materials and supplies. m) Coordinate use of church equipment. n) Schedule and care for all insurance needs relating to church property and keep our lead pastor informed. o) Keep our lead pastor informed of any information pertinent to the church. p) Function as first line communicator for housekeeping and maintenance personnel. q) Schedule and supervise the operation of the nursery for Sunday School, church services, and Wednesday Night Alive. r) Attend professional meetings and seminars as part of the position as money is available. s) Monitor congregational care and hospitality. t) Establish and maintain a system for monitoring visitor follow up. u) Maintain membership and attendance statistics.
v) Help with finding and recruiting volunteers for all church functions. w) Work with the pastor in prioritizing duties as listed. x) Perform other duties as assigned. Human Resources Management: a) Ensure annual performance reviews of all employees by assisting the lead pastor in whatever is needed. b) Conduct periodic reviews with the lead pastor of administration documentation, including (but not limited to) policies and procedures, Employee Handbook, and job descriptions. Then if directed by the pastor pass the info on to the leadership team. c) Identify training opportunities and budget to address training needs. d) Implement measures to ensure the safety of the employees and church family. General Management: a) Maintain visibility with the congregation by occasional attendance at FUMC functions and worship. b) Assist in the development and review of long-range strategic plan for the church. c) Implement measures to improve effectiveness and efficiency of various business processes. d) Evaluate, refine, and oversee a system for recruiting and training volunteer workers to assist in office and other administrative tasks as identified to be appropriate. e) Coordinate, administer, and file required background checks. f) Share receptionist duties with the church secretary.
