Managing your Online Time Sheets
Training Goals As Employees you will know how to: Enter Time Via Card Swipe Via Clock In/Out Page Via MyWestern Review your Time Submit Time for Approval Check that Time has been approved.
Swipe In/Out or use Clock In/Out web page On Western Current Students page there will be a link to the Clock In/Out page. (If there is a Card Swipe kiosk available, you can swipe your ID card. Otherwise, key in your ID number). The process lists your job(s) with an appropriate [ IN ] or [ OUT ] button. Choose the correct job, and click the large [ IN ] or [ OUT ] button. Once you clock in, only that job will be available to clock out next time. If you forget to clock in or out, you must go to MyWestern to correct your time before you can use the Clock In/Out page again. If you reliably Clock IN and Clock OUT, every time, your time sheet will be accurately completed for you.
Clock In/Out messages When you successfully clock in or clock out, the process will briefly display a Success message, and then reset to the login screen. Clocked in at [Rounded time in] -- Successful Clock IN. Clocked out for [Rounded Time Worked] hours -- Successful Clock OUT. If it displays an error, you will need to make note of the problem and then click the [ Return ] button. Usually, the system is simply informing you that you need to correct timesheet problems via MyWestern before you can continue to use the Clock In/Out system. If other errors should occur, please report them to your supervisor, and bear with us as we correct the problems.
Swipe In/Out and Clock In/Out screen This screen is the same for the Swipe In/Out and the Clock In/Out. If there is a card reader available for the purpose, the student can swipe their ID card. Otherwise, they enter their student number, or six digit ID number (either stu123456, or 123456). Click the big button.
Clock In/Out Selection Some students have more than one job. They need to select one, and click a large button to clock IN or clock OUT. If it doesn t present the action you are expecting, then they must go to MyWestern to correct your timesheet.
Successfully Clocked IN On a successful clock in or out process, the system displays a SUCCESS message. If there is a problem, the process will display an error message. Make note of the error. And Click [ Return ]. You most likely need to go to MyWestern to adjust your time sheet.
Using MyWestern to adjust and submit Time Go to the Western Current Students page. Click the MyWestern link.
Entering and adjusting Time via MyWestern Log in with your own ID and password. Students IDs are like stu123456.
Select: Employee Information Click either the tab or the link to access the Employee Information screen.
Select: Time Sheet Click Time Sheet
Select: Pay Period then Time Sheet Select the job with the radio dial button. Two time periods might be active at the beginning of a month. Choose one, using the drop-down box. Then click Time Sheet.
Enter Time for Each Day Time sheets show one week at a time. Use the Next button to scroll forward in time. Find the correct date and click the link. It may list hours entered, or No Time Entry, or Correct Time Entry (entry isn t complete).
Enter Time: Save: Then Choose Next or Timesheet Each time entered via MyWestern requires a comment. The easiest way around it is to use the Clock In/Out page. When you must adjust time in MyWestern, explain why. Enter Clock Time In and Clock Time Out in military time, and the corresponding comments. Click SAVE to save your time. Continue to the Next Day, or return to the Time Sheet.
Select: Submit for Approval When your timesheet is complete, click Submit for approval.
Check Status, then Exit Verify that the timesheet is in the queue awaiting your supervisor s approval before you exit MyWestern. Once a timesheet is submitted for approval the timesheet is locked.
System is Under Construction WSCU will implement the Student Time Entry System on May 16, 2014. May 16-May 30 th, 2014 will be a two week time period. After that, student pay periods will be from the first of the month to the last day of the month. Students have two week days after the pay period ends to review and submit their time. Approvers have two week days more to approve the timesheets. Students whose timesheets have not been approved will not be paid! Neither Student Employees, nor their Time Approvers will see the Time Sheet option appear on their MyWestern screen until May 16 th, 2014. If you do not see the options you expect, please contact your supervisor, explain what is wrong, and bear with us while we work out the kinks.
