EVENT DATES & TIMES Event Set-Up: Saturday July 15 7 AM 9 AM Open to the Public: Saturday July 15 9 AM 11 PM* Event Tear-Down Sunday July 16 7 AM 9:30 AM* *Note: Vendors may close operations and tear-down on Saturday after 8pm, however there will not be any vehicular access allowed until Sunday morning at 7am. Vendors would have to cart and/or carry-out their supplies. EVENT LOCATION Fairgrounds Park, located at 912 E Main Street, Battle Ground, WA MARKET VENDOR RULES & REQUIREMENTS Event Product Sales: A picture of the merchandise/goods/services to be sold must be included with the application. A vendor is not allowed to sell a product and/or service that is not listed on their application. All merchandise must be suitable for a family-friendly atmosphere. Animals and second-hand merchandise may not be sold. The sale of guns is prohibited. Knives must be displayed in a protective manner (glass case or similar case). The BG Chamber of Commerce reserves the right to stop the sale of any item deemed inappropriate and/or unsafe. Event Cancellation and Refunds: Harvest Days Festival is an outdoor event and will take place rain or shine. Refunds will only be provided with a written cancellation at least 30 days prior to the event. The cancellation notice must be signed and dated by the vendor or authorized representative. Vendor Booths Vendors are responsible to provide their own tent, tables, chairs, lighting, etc. All tents must be fire resistant. All vendors are required to have a portable fire extinguisher at their b site. Minimum size is a 2-A 10-BC. Licenses & Permits: All vendors must be registered with the State of Washington and must provide their UBI# on the vendor application. Failure to provide a UBI# will result in the application being rejected. Sales Tax Collection: Vendor is responsible to collect and remit Washington State sales tax in accordance with the rules and laws of the State of Washington. Insurance: All vendors are required to provide a Certificate of Commercial General Liability that names the Battle Ground Chamber of Commerce and the City of Battle Ground as additional insured. 2017 Harvest Days Market Vendor Application Page 2 of 5
EVENT FORMAT & LOGISTICS Event Space Assignment Each vendor will be assigned a space. Vendors will be provided an event space map with location clearly identified. Event Space Set-Up Load/Unload space available for up to 30 minutes; STRICTLY ENFORCED All tents and canopies must be properly weighted, as this is an outdoor event, and the wind can pick up in the evening. 20lbs minimum weights on all corners of the canopy. o The use of stakes is not allowed as all vendors will be on pavement. Event Booth Activities Vendor must conduct all activities within the confines of the assigned display space. Vendor must be open for business during all event hours. Vendor must restrict the volume level of electronics and other amplification equipment as well as personnel so as not to interfere with other participants. Electrical Hook-Ups: Vendors using electrical service are required to provide their own electrical cords using a 14/3 or heavier gauge cord. Vendors are limited to two electrical outlets. Vendors are permitted to use quiet generators. Vendor Parking: All parking is on a first-come, first-served basis. Equipment removal and clean up: Vendors are responsible for the day-to-day cleanup of trash in the area around their booth and the appearance of their booth. o Trash collection and removal will be provided by the Event Management. Vendors may close operations and tear-down on Saturday after 8pm, however there will not be any vehicular access allowed until Sunday morning at 7am. Vendors would have to cart and/or carry-out their supplies. Vendors who fail to tear-down their booth and remove equipment and supplies will be assessed a $200 fine. 2017 Harvest Days Market Vendor Application Page 3 of 5
RELEASE OF LIABLITY I/We understand and agree to the following: I/We have read the Harvest Days Festival Vendor Requirements rules and agree to abide by all requirements and regulations knowing that failure to do so may result in my business event participation being immediately cancelled. I/We, the undersigned, specifically and expressly agree to defend, indemnify, and hold harmless the Battle Ground Chamber of Commerce, the City of Battle Ground and all the officers, officials, employees and agents from and against any claim, damage, liability, cost, penalties, attorney fees, etc. of whatsoever kind on account of death or injury of any or all persons involved and/or on account of all persons involved and/or on account of all property damage of any kind whether tangible, intangible, or loss of use resulting therefrom, to any party arising from or in any matter connected with the event taking place on publicly owned property, except by an act or omission or negligence of the Battle Ground Chamber of Commerce and/or the City of Battle Ground or any of its officers, officials, employees, or agents or except to the extent prohibited by law. I/We consent to the use of my and/or our group/organization name, likeness and voice and/or have photo s or video tapes taken during the special event of adults and/or minors participating in event related activities without monetary compensation, in connection with education, marketing or publicity efforts of the Battle Ground Chamber of Commerce and/or the City of Battle Ground. I expressly release the Battle Ground Chamber of Commerce and/or the City of Battle Ground and its agents and other news medium from any and all claims for damages for libel, slander, invasion of the right of privacy or any other claim arising out of the broadcast, promotion or presentations of the Battle Ground Chamber of Commerce and/or the City of Battle Ground. I further attest that I am the designated person with the authority to sign this document on behalf of my event and/or our group/organization. I am the point of contact for all discussions in regards to liabilities and rights.
