MECH3417 Industrial Training A 6-credit Discipline Elective course of your BEng degree curriculum (summer semester) Also known as Summer Internship or Industrial Placement On-the-job training, real-life working experiences Conducted during the summer months of June, July and August (except one-year internship placements) Minimum 6 working weeks, the norm is 8-10 weeks (the latest commencement date is July 3, 2018) Usually in companies/organizations in Hong Kong, mainland China and overseas 4

MECH3417 Industrial Training Eligibility to enroll in MECH3417 Any student who is enrolled in MECH2418 will not be allowed to enroll in MECH3417 concurrently No Year 2 students they should take MECH2418 first Only Year 3 students who have completed MECH2418 will be allowed to take this course Only DAS students who have completed MECH2418 will be allowed to take this course in Year 4 For other Year 4 students, they will only be allowed to take this course if they will not graduate in this academic year Students MUST have 6 credits available to enroll in this course. University policy disallows students to enroll more than 72 credits in one academic year. 5

MECH3417 Industrial Training Course Objective: 1. Integrate theory learning with practical applications; 2. Understand real-life organizational structure and business operation; 3. Learn how to build human relations with seniors and co-workers; and 4. Enrich personal resume for becoming an engineering professional. 6

MECH3417 Industrial Training Course Learning Outcomes 1.Appreciate the application of academic knowledge to hands-on situations. 2.Learn more about reallife business, company structure and operations. 3.Improve inter-personal and communication skills. Relevant Programme Outcomes (Equivalent to the HKIE Abilities for Engineering Graduates) PO(1) - an ability to apply knowledge of mathematics, science, and engineering appropriate to the BSE and ME disciplines.. PO(5) - an ability to identify, formulate and solve engineering problems. PO(11) - an ability to use the techniques, skills, and modern engineering tools necessary for engineering. PO(12) - an ability to use the computer/it tools relevant to the BSE and ME disciplines along with an understanding of their processes and limitations. PO(6) - an ability to understand professional and ethical responsibility. PO(8) - an ability to understand the impact of engineering solutions in a global and societal context, especially the importance of health, safety and environmental considerations to both workers and the general public. PO(9) - an ability to stay abreast of contemporary issues. PO(10) - an ability to recognize the need for, and to engage in life-long learning. PO(4) - an ability to function on multi-disciplinary teams. PO(7) - an ability to communicate effectively. 7

Process of Training Placement Two methods to obtain summer industrial training in companies/organizations 1. Students apply internship training places by themselves 2. Department assists students to apply and obtain training places via: Open recruitments, e.g. CLP, Cathy Pacific, Gammon, MTRC, Swire Properties Bodies contacted by Department, e.g. Government departments Private sector (consultants, contractors) 9

Process of Training Placement (Method 1. Students obtained training places by themselves) Now April to May No Students get internship training places by themselves* Dept. approves training Yes * Please provide information about the company and nature of the job (must have enough technical elements/content) Prior approval by the Department is a MUST June to August Students undertake training 10

Department assists students to apply training places) Students submit applications (full CV, cover letter, etc.) Before February 28, 2018 Dept. nominates students Students attend interviews (if any) Companies, organizations, CEDARS offer training places & invite application March to May Unsuccessful Successful Undertake training 11

Application Procedure 1. Enroll in MECH3417 through SIS within the Add/Drop period 2. Submit an Application Form to the Department (both Method 1 & 2) The Application Form can be downloaded from Moodle (MECH3417 Moodle course) Duly complete the Application Form by typing or printing Check your spelling and written English carefully You may prepare your full resume/cv and a cover letter and submit it together with the Application Form (a well written cover letter may increase your chance of getting a placement) 12

Application Procedure (cont d) Sign your Application Form (to give consent to the Department to release your information to the offering company) The Form together with the resume / CV (if any) in PDF format is to be submitted to the Department by email (The deadline for submission is February 28, 2018). The Department will start to process the applications, and looks for matching offers, so any late submissions will lose early chances The Form together with the resume / CV will be sent to the company that is willing to offer placement (if you have concerns about personal privacy, you may choose not to include certain details on the Application Form) 13

Application Procedure (cont d) Students might indicate their preference on the Application Form (e.g. training period, location, organization type, expected allowance). Note that these information will NOT be sent to the offering company Some applicants may wish to apply for Student Research Assistants and undertake training within the Department (supervised by our academic staff). Please specify in the Form accordingly. In this case, please also approach the relevant professor and ask if a place can be given. There is no guarantee that the Department will successfully find a training placement for every student Please take the initiative to seek for jobs yourselves 14

Nomination Procedure Department will inform students by email when vacancies are available The details will be posted on Moodle when available For open recruitments, students may express interest in applying by responding to the notice directly For companies contacted by the Department, matching will be conducted to select and nominate suitable candidate(s) to the jobs Interviews will be arranged between the companies and the students 15

Industrial Training How to increase your chance of success? Have clear and well-organized documents Your application form, CV, cover letter, other supporting documents Prepare well for job application and interview Know/study about the company; must be polite, humble, positive and enthusiastic, not bargain for training allowance Avoid being too picky and money-minded Better to accept a suitable job offer, rather than select (and wait for) the best job 18

Industrial Training Advice to non-local students Some companies prefer local HK students Can speak Cantonese; familiar with HK But there are companies that can accept nonlocal students (try to promote your strengths) e.g. speak good English or Putonghua; familiar with mainland China or other countries/culture May look for internship opportunities in HK, your home town/country or other places 19

Industrial Training Important points to note Job market is very competitive Economy, competitors (from other universities) Expectations of employers Do not expect high pay and comfortable job Allowance below minimum wage is not uncommon Organizations look for keen helpers but not leisure players We must thank the company/employer for providing training places 20

Industrial Training Important points to note (cont d) Remember that you are a representative of the University Behave like a delegate of HKU, MECH Stick to the agreed terms No early departure Do your best to maintain a good relationship between HKU and external bodies 21

Industrial Training You should not reject or resign from the assigned training place for unreasonable excuses such as: To engage with another company for reasons, such as higher pay, more convenient location, you think the new job suits you more; To prepare for viva/supplementary examination; To settle family/private affairs; To start doing Final Year Project earlier; If you do such, your Industrial Training will just be considered as unsuccessful 22

During Training Industrial Training Report for duty punctually, work with commitment, and stay until the last day of the agreed training period SAFETY FIRST! Avoid doing harm to yourself and others Obey the company regulations, work with ethics, respect your seniors and fellow workers If in doubt, discuss with your job supervisor or colleagues, or contact the Department 23

Course Assessment Assessment is based on Weekly / Monthly log Training report Employer s / Trainee s evaluation report of course (training) outcomes You must submit the training report (in binded hardcopy) to the Department by August 13, 2018 at 1:00pm No report will be accepted by the Dept. after the deadline, and the industrial training of any late submission will not be assessed 24

Company feedback Course Assessment The company (your supervisor or boss) will be invited to evaluate your performance and give a feedback Unsatisfactory feedback will lead to a Fail grade in the course Training report It will be marked by your Academic Advisor A student may fail the training course if his/her training performance / report is unsatisfactory A training certificate will be issued to record this training 25

Weekly Log Record A brief record that summarizes your training activities on a weekly basis Training supervisors may refer to it from time to time for monitoring your training progress A useful reference for preparing the training report A weekly log record template is available for download from Moodle 26

Training Report A comprehensive record of your industrial training An important basis for assessing your performance and to decide whether you pass or fail the industrial training course The Training Report with the Weekly Log will form a useful record of your practical experience during undergraduate studies 27

Training Report Type on A4 paper, double-sided and with proper margins and font sizes. It should be binded with reasonable quality The nominal length is not more than 4 A4 pages Focus on reporting what you have done and learnt. Avoid unnecessary details. Demonstrate that your training has satisfied the Course Learning Outcomes of the course. 28

Training Report Typical report elements History, background, main business of the company Organizational structure Your scope of work Your comments on the work done, types of experience gained, and problems encountered/solved Human relations with colleagues Views and recommendations References & Appendices You must obtain prior approval for disclosure of company sensitive information (e.g. tender documents) 29
