Technology The Project Community is a custom implementation of the following two salesforce technologies. Salesforce Communities Salesforce Communities is an online platform that enables rich collaboration between employees, customers, partners, suppliers and distributors. Organizations can create fully-branded public or private communities that connect members directly with each other and with relevant content, data and business processes. Salesforce Communities is the only community platform that combines the power of social with mobile participation, trusted security, and direct connection to business processes. Milestone PM Milestones PM is a great way to manage projects and tasks for your users. Milestones helps you track: projects, milestones, tasks, blocked tasks, overdue tasks, time and expense budgets and a whole lot more. The Project Community requires "Salesforce Partner Community" licenses and an implementation plan by ForceBrain.com. Salesforce Communities + Milestone PM
Login from anywhere. What are the benefits of a Project Community? As a professional services company, the center of our business at ForceBrain is project management. Our requirements are not unlike many companies in our position: Create projects, milestones, tasks, and log time in an easy to use app. Create a basic gannt chart of the timeline. Assign tasks to team members, customers, and external resources. Socialize the experience so team members can view feeds, post comments, polls, screenshots, media, links, and more. Track performance, including time & expenses, deadlines, escalations, and more. Do this all in a social cloud and mobile app, which everyone can access from anywhere, anytime. We call our Project Community "the ForceBrain LAB" and it's the backbone of our business.
It's Social. Better Project Management To keep up with the pace of today's demands, project management systems must be easy to use, accessible from anywhere, and most importantly highly social. Social features in particular are enabling teams to move fast, remain aligned, immediately tackle risks, and vastly improve productivity. A few examples of the social features include: Host public or private discussions on a project, milestone, task, issue, or time entry. Create a public (everyone) and a private (internal only) discussion group to collaborate, share files, links and more.. Share files. Follow people, projects, deliverables, issues, and more. Post links, media, and polls. Start a real-time chat. Send a private message.
It's Mobile. Mobile Project Management The Project Community can be accessed on smart phones and tablets as well, mobilizing your team members to: Stay Connected - Missing key project discussions and decisions can put a team member out of the loop fast. Update on the Run - Remain involved, even when you're away from your desk. Post Photos - Take project relevant photos with your smart phone or tablet and post to the project feed. Get Project Alerts - Get alerts at the project, milestone, task, or issue level.
Projects The Project At-a-Glance The Project page summarizes the high-level perspective of the project, which includes the following: Overview Details - Project Owner, Project Start Date, Project Launch Date, Project Budget, and any custom fields you would like to add. Gannt Timeline - An easy drag 'n drop gantt chart illustrates the milestones and dates. Milestones - Each project milestone has a deadline and contains a collection of deliverables. Logs - Team members are encouraged to log decisions, risks, and general logs through-out the project to keep accountability and facts straight. Custom Objects - You can also create custom objects to collect additional information, such as Team Members, Change Orders, Credentials, or anything you like.
The Tasks What are we doing? Tasks are assigned to various team members to complete before the milestone deadline. Assigned To - The Project Manager can assign tasks to internal or external team members or customers. Due Date - Each task can have it's own due date or you can set a milestone due date for a collection of tasks. Stage - It's typically best practice to customize the task stages to include a QA process. TIP: If a task is blocked it is best practice to set an automation to escalate to the Project Manager, so it can get resolved quickly.
The QA Process Polish until it shines! All team members are encouraged to log "Issues", which may include bugs, defects, revisions, or brand new requests. Issues generally have a severity level which drives the priority of the issue, such as: Blocker - This issue blocks the solution from being met and is the highest priority to resolve. Critical - This issue is mission critical, but there is a work around. Major - This is a major issue and the 3rd in priority. Minor - This is minor issue and therefore of low priority. Trivial - This is more of a nice to have, but would be great to resolve.
Time & Expense Budget Management The Project Management Community includes simple and effective time and expense tracking to keep your projects on budget. A few examples include: Team Members may log time against deliverables. Team Members may log project expenses. Managers can monitor time logged against budgets at the task, milestone, and project level. Managers can also monitor expenses against budgets at each level.
The Platform Since the Project Community is built on Salesforce, it includes the following benefits: Consolidation - Instead of tracking customers in a crm system, projects in a disconnected PM app, and project budget accounting in a 3rd app, all of this comes together on one platform (Salesforce). 360 Customer View - Relating projects to customers provides the entire organization a more accurate portrayal of the customer life cycle. Free Solutions - There are a number of free add-ons available on the AppExchange, including metrics, mobile apps, and more.
Pricing The App is Free! The good news is the Project Management App that the Project Community is built on is 100% free to install in your own Salesforce. NOTE: You will need to talk to your Salesforce Account Executive about Partner Community user licensing.
