Inventory Master Record Entry For ECFR Firehouse Web
We only need to document Capital items, (i.e.: those with County Property Numbers) with the following exceptions: Hose SCBA Bottles Ground Ladders Structural Gear & SCBA Masks
To add a new Master Inventory Record do the following: Click on the Inventory tab on the top tool bar. A new, blank Inventory record will appear. First click on the Inventory ID field and add an inventory ID number. The Inventory ID number will be the County Property Number for all Capital equipment.
For all items that do not have a County Property Number do the following: SCBA Bottles: Use the OL Number. Ground Ladders: Use the Serial Number. Hose: Use the hose number you labeled the hose with during testing. (Ex: 19-1.75-001) for Sta19 1 ¾ inch, first section tested. SCBA Face Piece: Use face piece number. Bunker Gear: Use Serial Number For all other equipment, use a model or serial number that is specific to that equipment.

Once you have entered the Inventory ID you will be prompted to add a new record, unless the item has already been entered previously. You must click Yes to add the new record. You will then complete the remaining fields in the Basic tab. Required fields will be in yellow, optional in white. For the Description enter all like items uniformly, and be sure you can tell what the item is based on the description. (Ex: MSA SCBA, MSA Air Bottle, 1 3/4 Hose, 14 Ground Ladder, etc.)
Please ensure the Station Number matches the station that equipment is located in. Please DO NOT enter the Staff ID for any items other than those issued to a member. (EX: Bunker Gear, SCBA) By entering a Staff ID it links that item to a specific member.

Please be sure to select the correct Inventory Class (See Previous Slide) This is critical for grouping like equipment together and pulling records. DO NOT use the Linked to Inventory ID or Unit fields. These are for apparatus only, and will be entered by Admin or Fleet Maintenance. Please fill out as much information as you can about the item under the Basic Tab
Once completed with the Basic Tab, click the next tab over labeled Specs. If the item you are entering falls into any one of those categories, please select it. Otherwise, leave it as Other, which is the default. This will allow for more thorough documentation of that type equipment.

If you select something other than Other under the Specs tab, you will be prompted to enter additional info on that item. Please be sure the Specs info matches the type of Inventory you are entering. This will pull more info when documenting testing/maintenance. (See Maintenance Requests & Equipment Testing Documentation Users Guide) Please enter as much info as you can, before moving on. This is time consuming, however once the database is built, maintaining it is easy.
Additional Information Required for (SCBA) Example
Once you are completed with the Specs tab, you can then save the record by clicking Save at the bottom. The only other tab you would need to use upon entering the Master Record initially, would be the Notes tab. There you could enter any other miscellaneous information about the Item.
Once the Master Inventory Record is complete, you may then track all testing and maintenance needs for it. See: (Maintenance Requests & Testing Documentation) You can use the Browse button at the bottom of the screen to locate inventory items for your station. The default search query will display and you can sort the data by categories by double clicking the grey bar at the top of the query list. (See Next Slide)
