Business and Logistical Details Programs PSB has worked to establish an efficient and optimized model of business. This model is focused on Teams, Camps and Clinics. All other ideas for additional programs or events must be put aside until Team, Camp and Clinic goals have been met and those programs have reached maturity in a market. Programs or events must be on the calendar two months in advance of its start date. Events will not be thrown together within two months of a start date. PSB has established detailed Policies and Procedures for all our programs and events for a reason. We have made mistakes and learned hard lessons about the need for detailed policies. Directors MUST familiarize themselves with all policies and ask questions if anything is not understood. Corporate Structure Directors work closely with a PSB Officer, PSB Marketing Manager and PSB Customer Service Agent. PSB Officers strategize with Directors concerning all aspects of that Director s market. PSB Customer Service personnel help clients and directors with website problems, handle payment issues, give discounts, update spreadsheets, and take phone calls regarding general information about teams and events. PSB Marketing Manager will supply Directors with promotional materials and work with Directors on social media strategies. Directors are responsible for communicating happenings in their markets that would make good social media posts.
Directors are responsible for posting appropriate pictures and videos on their respective social media accounts. Marketing Handbook is this manual. Marketing (Handbook) Word of Mouth PSB greatly relies on word of mouth and guerilla marketing. It is the responsibility of the Director to start and maintain a marketing strategy based on determination and hustle. Networking Directors are encouraged to get to know local coaches, town officials, league directors, league coaches and anyone else involved in the local basketball scene. Directors are encouraged to take part in local small business clubs or organizations. Meeting other local small business leaders can be very beneficial. Director MUST get to know local parent groups or organizations. Networking with parents is of utmost importance. Social Media PSB corporate offices and Directors work together on a social media strategy. As stated above, Directors are responsible for taking an active involvement in the social media marketing strategy determined by PSB Marketing Managers. Google Adwords & SEO PSB corporate offices is responsible for paying for, maintaining and optimizing an active and effective Google Adwords account. PSB corporate offices work with an SEO partner to maximize PSB online presence. Blogs A large part of PSB s online presence is determined by weekly blog posts written by PSB Officers and other Directors. Directors can contribute blog post ideas or write blog posts themselves. All blog posts must be approved by PSB corporate offices before they will be posted online. Print Material Directors are responsible for requesting any print material they feel is necessary.
Directors contact admin@proskillsbasketball.com to request flyers, posters, banners, etc. Newsletters Directors are responsible for sending admin@proskillsbasketball.com monthly content (pictures, videos, short write-ups, etc.) to include in their local newsletter. Customer Relations Directors are responsible for growing and maintaining positive relationships with their customers. This can be done through: In-person conversations Email Post-tournament communications/surveys Post camp or clinic communications/surveys Email surveys (conducted by PSB Corporate) Directors are to actively engage in conflict management by: Being available to listen to complaints Show the customer that you are attentive to their concerns Scheduling meetings between coaches, parents and players if necessary Being proactive in heading off future conflicts Setting clear expectations of all PSB coaches, managers, parents, players and directors. Sales (Handbook) Clients Directors are responsible for studying the PSB Sales Handbook and gaining a deep understanding of sales strategies for PSB clients, including parents, grandparents and players. Potential Coaches Directors are responsible for studying the PSB Sales Handbook and gaining a deep understanding of sales strategies for PSB coaches. Facility Directors Directors are responsible for studying the PSB Sales Handbook and gaining a deep understanding of sales strategies for securing practice gym space though managers or directors of facilities.
Refunds All refunds are handled by PSB corporate offices. Directors are to communicate with PSB corporate offices concerning any refunds they feel they owe clients. Team refund policies can be found in the PSB Select Policy and Procedures Handbook. Camp refund policy is: **REFUND POLICY** Campers are entitled to a full refund (minus a $20 refund fee) up to one week before camp starts. Within one week of camp, a credit for all fees paid will be issued and valid for one year. Credits can only be transferred to a family member. No cash refunds will be issued for any reason within one week of camp. Clinic refund policy is: **REFUND POLICY** Attendees are entitled to a full refund 48 hours before the clinic starts. Within 48 hours of the clinic, a credit for all fees paid will be issued and valid for 1 year. No cash refunds will be given for any reason within 48 hours. Accounting All budgets (city budget, program budgets, etc.) are be set by PSB corporate offices. PSB accountants will maintain all financial records for every city. All payments accepted and paid out flow through PSB corporate offices. For any outgoing payments, Directors must fill out an online Payment Form that automatically comes to PSB corporate offices. PSB writes checks or pay invoices for all outgoing payments, i.e. gym rentals, coaching fees and tournament entry/league fees. All tax documents are supplied by PSB offices and will be kept by PSB accountants. All company tax returns are prepared by PSB accountants. Communication Online PSB relies heavily on Slack and Google Drive to communicate with directors. PSB offices are responsible for setting up Directors with an @proskillsbasketball.com email address through Google. Directors must download the Slack app and are invited to a group by PSB offices.
Through the Director s @proskillsbasketball.com email address, Directors have access to Google Drive folders that are used for sharing important data and documents. Details below. Directors are to cc or bcc PSB offices ( admin@proskillsbasketball.com ) on all communications done through email. Phone Directors are assigned a extension for the official PSB phone number. This extension will be through RingCentral and will connect to the Director s personal cell phone. Directors have the choice to give out their personal cell numbers or not. PSB Corporate offices and Directors communicate via their personal phone numbers. No personal phone numbers are to be given out without the expressed authorization of the owner of said number. Phone or video conferences between PSB corporate offices and Directors are held weekly or daily. Use of Director s Portal & Calendar Documents All important documents and spreadsheets are stored on the Director s Portal of our website. It is of utmost important that Directors update Google Drive spreadsheets on a daily basis. Calendar Directors must also update the shared Google Calendar on a daily basis. Meetings Directors are responsible for making themselves available for their scheduled Weekly Director Calls. Punctuality is expected of Directors concerning all PSB meetings, whether they are online, via phone or in person. Directors are expected to attend said meetings with all necessary preparations.
Directors are expected to display the utmost professionalism when meeting local officials, potential coaches, parents, business leaders, etc. in their markets. Interviews It is the responsibility of the Director to conduct interviews with any and all potential contract workers (camp coaches, team coaches, camp directors, team managers) During these interviews, Directors must have the applicant fill out a Coaching Application form that is discussed below. Human Resources (Handbook) Directors are responsible for making sure that anyone doing contract work with PSB clients has filled out all necessary HR documentation. Documents include: Coaching Application Confidentiality agreement Coaches Manual Camp Handbook Skill Development Manual Culture and Core Values Handbook PSB corporate offices is responsible for doing background checks. Contractors are NOT allowed to take part in any PSB events unless a background check has been performed! Directors are responsible for verbally covering all HR forms and documents with potential contractors. Directors are then required to collect signatures on all documents that are verbally covered. Directors are required to IMMEDIATELY notify PSB corporate offices of any breach of PSB policies by the Director, contract worker representing PSB, parent or player. Supplies On-court supplies PSB provides Directors with basketballs, cones, whistles, ball-bags, pinnies, first aid kit, pens, markers and clipboards. Business supplies
PSB provides Directors with business cards, cash box, banners and other promotional material Apparel All PSB logoed coaching/director apparel is supplied by PSB corporate offices. Directors are given two polo shirts per year and two shorts. PSB corporate offices order and ship all camp t-shirts. PSB Select team members order and pay for uniforms and team apparel though official PSB partner apparel suppliers. Use of Logo PSB Corporate offices supply all logoed objects to Directors. All apparel, marketing material, giveaways, etc. is supplied by PSB. Directors are not to use the PSB logo unless given authorization from PSB corporate offices. Performance Management PSB corporate offices and the Director work together to plan, strategize and evaluate all happenings in the Director s market. Financial and participation goals are set and evaluated weekly or monthly by both PSB corporate offices and the Director. Any disputes concerning goals, strategies, pricing, etc. are voted on by PSB Officers and the Director. PSB corporate offices conduct online client surveys concerning the performance of the market and the Director. Yearly job performance evaluations are conducted between Directors and PSB Officers. PSB Officers and Directors work together to create a culture of constant self-development and self-improvement.
