Guidelines for Shipping Fresh Produce SE 2016 Exhibitor Kit Instructions 2016 Southern Exposure Guidelines for Produce and Booth Materials Shipping/Delivery In order to ensure that you have a successful event this year, we ask that you follow these MANDATORY instructions. Failure to follow the Produce Delivery Instructions can result in not having product in your booth. No Direct Shipping of Produce or Booth Materials to Diplomat: Due to venue restrictions, we are offering multiple ways to ship produce for the show this year. Please note that direct deliveries to the Diplomat are STRONGLY DISCOURAGED, MAY BE REFUSED and will result in additional fees. Produce Limits: Also due to venue restrictions, the amount of produce you may ship is limited this year to a maximum of 40 boxes of produce or a total weight of 1000 pounds per booth space. Additional product, above the maximum amount will not be delivered to your booth; it will be immediately donated to Feeding South Florida. Note: Donation could take place prior to delivery to showsite due to limited space available. Shipping Dates: Fresh produce may arrive at DiMare Fresh Tampa beginning on 2/24/16 until 3/3/16 ONLY. Deliveries outside of these dates will be refused. Fresh produce may arrive at Feeding South Florida beginning on 2/24/16 until 3/4/16 ONLY. Deliveries outside of these dates will be refused. Booth materials may arrive at AGS Advance Warehouse beginning on 1/25/16 until 2/26/16 ONLY. Any shipments received after the advanced receiving deadline or during the event will be assessed a late fee. Each and every box of product requires a label. Please include your exhibitor name, your booth number and Southern Exposure 2016 to avoid lost product and ensure a timely delivery. Please refer to the following guidelines to determine the best way to ship your produce and booth fixtures to Southern Exposure 2016: Fresh Produce Shipping (Perishable Items Only): Please ship produce only to DiMare Fresh or to Feeding South Florida - no other types of shipments will be accepted at these locations. Booth materials are to be shipped to the AGS Advance Warehouse. Do not have produce and booth materials combined into one shipment. Option 1: Delivery to DiMare Fresh Tampa (preferred option for fresh produce shipping) Please ship all fresh produce for the show to DiMare Fresh Tampa that needs to be stored/refrigerated at 36 degrees or 45 degrees (please use correct label to determine temperature needed). Please use the proper labels in this packet to ensure proper temperature storage. Each and every box of product requires a label. Please include your exhibitor name, your booth number and Southern Exposure 2016 to avoid lost product and ensure a timely delivery to your booth. Fresh produce may arrive at DiMare Fresh Tampa beginning on 2/24/16 until 3/3/16 ONLY. Deliveries outside of these dates will be refused. Produce stored at DiMare Fresh Tampa will be delivered to booth space on Saturday, 3/5 prior to the show floor opening. We cannot give you a specific time of delivery to your booth. Specific instructions, forms and labels for shipping to DiMare Fresh Tampa can be found on pages 7-10 of this kit. Guidelines for Shipping Fresh Produce Option 2: Delivery to Feeding South Florida (secondary option for fresh produce shipping) Please ship all fresh produce for the show to Feeding South Florida that needs to be stored/refrigerated at 45 degrees or above. Please use the proper labels in this packet to ensure proper temperature storage. Each and every box of product requires a label. Please include your exhibitor name, your booth number and Southern Exposure 2016 to avoid lost product and ensure a timely delivery to your booth. Deliveries at Feeding South Florida are accepted by appointment only. Please call Barbara Sayles at 863-224-0472 or 321-544-6497 to schedule a delivery Fresh produce may arrive at Feeding South Florida beginning on 2/24/16 until 3/4/16 ONLY. Deliveries outside of these dates will be refused. Produce stored at Feeding South Florida will be delivered to booth space starting on Friday, 3/4. We cannot give you a specific time of delivery to your booth. Specific instructions, forms and labels for shipping to Feeding South Florida can be found on pages 11-14 of this kit. Option 3: Personally Owned Vehicle Drop Off at Diplomat Produce drop offs using a personally owned vehicle will be allowed on Friday, 3/4 from 7:00am 4:30pm and Saturday, 3/5 from 7:00am 11:00am. The drop off location will be a the Diplomat Conference Center Porte Cochere (Follow signs to the front of the convention center, not the hotel) The AGS Services team will unload your car and deliver produce to your booth (delivering produce to your own booth is not an option this is a drop off location only, no parking is allowed. o Please note that produce drayage fees will apply to this option. Please Note: If you send a delivery truck directly to the Diplomat it may be refused. If it not refused, you will incur additional drayage fees, off target fees, and a marshaling yard fee of $50.00. Due to limited turnaround and limited dock size at the Diplomat, vehicle size is restricted to 38 or less. Drivers will be required to back in and make a semi-blind 135 degree turn. Booth Materials Shipping (All Non-Perishable Items) All booth materials (displays, backdrops, fixtures, etc.) are to be shipped to the AGS Advance Warehouse. Materials other than produce must be shipped to the AGS Advance Warehouse. Do not advance ship it to the Diplomat; it will be refused. Booth materials may arrive at AGS Advance Warehouse beginning on 1/25/16 until 2/26/16 ONLY. Any shipments received after the advanced receiving deadline or during the event will be assessed a late fee. Each and every box/container requires a label. Please include your exhibitor name, your booth number and Southern Exposure 2016 to avoid lost items and ensure a timely delivery to your booth. Specific instructions, forms and labels for shipping to AGS Advance Warehouse can be found on pages 37-40 of this kit. Additional items needed for booth (carpet, furniture, electricity, etc.) can be ordered through AGS Services please refer to this kit for options and order forms and work directly with AGS on your order. Shipping Fresh Produce - DiMare Tampa DiMare Fresh Tampa - Preferred Option Shipping Fresh Produce for Southern Exposure 2016 DiMare Fresh Tampa will once again be receiving in advance fresh produce items for this year s Southern Exposure 2016. This service is provided at no charge to our registered exhibitors but a material handling charge will apply. AGS Expo Services will be receiving any non-consumable items, booth fixtures, displays and other packaged goods not considered to be fresh produce. IF YOUR SHIPMENT IS A FOOD PRODUCT ITEM DO NOT SEND TO AGS EXPO ADVANCE WAREHOUSE. IF YOUR SHIPMENT IS BOOTH MATERIALS- THAT CANNOT BE CONSUMED- DO NOT SEND TO DIMARE FRESH. PLEASE FOLLOW THE GUIDELINES BELOW TO ENSURE A TIMELY DELIVERY OF YOUR SHIPMENT. Produce may arrive at DiMare Fresh beginning on Wednesday, February 24th up until Thursday, March 3rd ONLY. All other delivery times will be refused. All exhibitors will be sent a link to the AGS exhibitor kit which included labels for you to place on all cases of product that you are shipping to DiMare. Please be sure that each and every carton has a label attached. You are limited to either 40 cases or 1000 pounds of produce per booth space. Follow the colored label according to temperature: Use Blue labels for 45 degree storage Delivery time to your booth space for Blue Label produce begins on Friday-(no specified time can be given) Use White labels for 36 degree storage Delivery time to your booth space for White Label produce will be Saturday morning-(no specified time can be given) SHIPPING FRESH PRODUCE - DIMARE TAMPA Clearly write your company name, booth number and the contents of each carton on every label! POV Instructions for Fresh Produce POV Instructions for bringing produce to Southern Exposure Are you driving a POV (Personally owned vehicle) to the Diplomat? Is this POV a car or pickup truck? If you answered YES to ALL of the above, there is an option just for you. You may follow the signs on site to the Porte Cochere area in front of the convention center (not the front of the hotel) and the AGS team will unload your car and deliver your produce to your booth. This service will be provided on Friday, March 4 th from 7:00 AM - 4:30 PM and on Saturday, March 5 th 7:00 AM 11:00 AM. Produce Drayage fees will apply for this service.
